Introduction VW

This user manual describes Volkswagen's requirements for the Global Transport
Label (VDA 4994, ODETTE LL08).

If special requirements apply to Volkswagen, these are described in the relevant


chapters. All other regulations of the VDA 4994 in connection with the VDA 4987
apply unchanged for Volkswagen. The specifications of the Volkswagen and Porsche
guidelines for VDA 4987 – Global DESADV apply to formats (numeric, alphanumeric
and length) and the status (mandatory or optional) for user data on the GTL.

In principle, the specifications of the VDA apply to the layout, e.g. B. Font sizes, font
styles and spacing. Goods recipients and goods senders can agree on deviations
bilaterally if this makes sense from a process perspective and/or is technically
necessary.
The 2D code mentioned in the VDA recommendation is technically the data matrix
symbol code according to ISO/IEC specification 16022:2006. For reasons of
simplification, this code is only referred to as data matrix or data matrix code in the
Volkswagen guideline.
The Excel spreadsheet in the appendix refers to various news recommendations. VDA EDI
This also includes the VDA 4987. This was introduced with version 2.5. raised to the
EDIFACT Directory 20B. Among other things, segment group numbers have
changed as a result. For example, segment group 10 in directory 07A corresponds to
segment group 11 in directory 20B. Volkswagen is planning to switch to VDA version
2.5. For the time being, the information in the table also refers to the VDA versions,
starting with the number 2.5, even if the migration has not yet taken place.

1. Introduction VDA
The information on the labels must correspond to the VDA 4987 data. In addition,
they must be consistent with the shipment documents according to VDA 4939.
Unless expressly stated otherwise, the regulations of the Volkswagen or Porsche
guidelines for VDA 4987 apply in case of doubt with regard to the status and format
of data.

3. Connection between shipment and transport


Consignment within the meaning of the VDA is the scope from a goods sender to a
receiving plant and delivery point (goods recipient).

4. Size, layout and attachment of the labels
4.1 Dimensions
Normally, labels in A5 format and small load carriers (small KLT) are used worldwide.

Exception: Currently, labels in A6 or B10 format (AIAG format) are to be used for
deliveries to the Chattanooga plant, USA.
The use of the new label format for trays and special containers with a low overall
height, for which the standard sizes cannot be used, is permitted, but must be
agreed beforehand with the respective goods recipient.

The MAT label according to VDA 4992 is not used at Volkswagen as a replacement for the
GTL. The MAT label is therefore not permitted as a replacement for a GTL.

5. Explanations of the data blocks


In principle, customer references, such as e.g. B. the supplier number, can be taken
over unchanged from the delivery schedule and printed.
Exceptions are the details for names and addresses. Due to the limited space on the
label, these in particular cannot always be shown in full. If necessary, company
name and/or address information should be abbreviated in print. If necessary, fonts
and sizes can deviate from the VDA recommendation if this has been agreed with
the recipient.

A2 – consignee

Lines Z1, Z2 and Z4 as well as the postal code and place of the recipient of the goods
must be printed. They should be given in a manner customary for the recipient.
Example Germany: name, street, country, zip code, city. Example USA: name, street,
country, city, abbreviation state, zip code.

A3 – Label Type and Data Matrix

B1 – Customer Reference
The supplier number is to be taken from the delivery call-off and printed out
unchanged.

B2–Custom routing
The regulations of the VDA recommendation apply. At the time of publication of
version 1.2 of the Volkswagen guideline, this procedure was not used at
Volkswagen.

B3 - Logistic reference
Gross weight: Deviating from the VDA recommendation, decimal places can be
printed according to the value in VDA 4987. Weights < 1kg are rounded up to the
nearest kilogram. The net weight can be omitted. The codes in the "Form EN"
column from theTable 2 - Translation of the EDIFACT units of measurement into
ANSI units of measurement and abbreviations on the labelsto be used in the VDA
recommendation.
Dates must be given in the following format according to the example in the VDA
recommendation: YYYY-MM-DD. If it is necessary to state times, they must be
separated from the date by a slash "/" and printed in a 24-hour format HH:MM (see
example in the VDA Guideline).

C – Customer part number


The item number is unchanged, including spaces (VW) or points (Porsche) from the
delivery call-offs.

D1 – Package ID
The regulations of the VDA recommendation apply.

D2 – Customer Reference 2 Part generation/

Basically, the values from the ASN are to be printed. Values should be separated
by a slash (/).

E1 – Data at the discretion of the supplier (supplier field)


The regulations of the VDA recommendation apply. Deviations from this, e.g. B. the
further use of code 93, can be agreed with the goods recipients, which then only
apply to this special individual case.

Volkswagen currently does not transfer any customer-specific references as PCI+16
or PCI+3 in the call-offs. However, the VDA specification also applies here. If
customer-specific references are transferred, they must be printed in field E2.

The units of measurement in the “Form EN” column must be used. The quantity unit
"C62" for pieces from the EDI message may not be used in the proof.

6. Identification of packages and loading units


In principle, the rules for forming the license plate according to ISO 15934 apply
with the following restrictions.

Only UN is to be used as the IAC (Issuing Agency Code). Only the DUNS number is
permitted as the CIN (Company Identification Code). The value from NAD+SF is to be
used as the source for the DUNS number. In the delivery call-offs, Volkswagen does
not yet differentiate between the buyer, NAD+SE, and the shipper, NAD+SF. Both
values should therefore be identical in the EDI message VDA 4987 in order not to
create a contradiction. The value from the first DE 7402 (package number) of the
GIN segment is to be used as the serial number.

7.2.4 User data for coding in the data matrix code


In principle, all user data listed in Table 5 of the VDA recommendation must be
contained in the data matrix if they are also in the associated ASN, e.g. g. VDA 4987.

Expected arrival date: If DTM+2 (date according to the delivery call-off) and
DTM+132 (arrival date estimated by the supplier) are transmitted in the VDA 4987,
only the value from DTM+2 is to be encoded in the DMC. If only DTM+132 is
transmitted, this value must be transferred to the data matrix. At Porsche, DTM+2
must be transmitted and thus encoded.

Smart labels are currently not used in the standard delivery process at Volkswagen.

8. Delivery scenarios and label content requirements

Case 3 is the standard for Volkswagen. This means that the labels for the inner
packages of a pallet must be completely filled. However, cases 1 and 2 described in
VDA 4994 are permitted if this has been agreed with the recipient plant. Batch
numbers and expiry dates must always be printed, if available.

Special case Volkswagen: No receipts on the inner packaging
Under certain circumstances, the labels on the inner packaging of loading units can
be omitted entirely. The situation occurs, for example, when the parts are
automatically removed from a system or when the inner packaging consists of trays
that are not controlled separately in the process. Only one master slip then needs to
be attached to the entire loading unit.

These cases are defined by the recipient plant and agreed bilaterally with the
supplier.

9. Label for empties shipments


There are currently no GTLs in use at Volkswagen for the empties process.

Appendix 1 – General overview of data fields (Excel spreadsheet)


Goods senders and recipients can bilaterally agree on deviations with regard to the
font size if this makes sense in relation to the delivery process and/or is technically
necessary. Some of the contents of Annex 1 - General overview of the data fields
have been specified more precisely for Volkswagen. For example, some data fields
are marked as "Required" (mandatory) that only have the status "Optional" in the
VDA recommendation. Appendix 1 of this VW specification is also part of the
Volkswagen guideline for VDA 4994.
