Project Initiation

1.1 Title of the project


Transformation in workplace of Hameedia organization due to covid – 19 pandemic

Project management process

A) Project Initiation
Initiation is the initial stage of the project management life cycle. This is the point at
which the project's worth and practicality are analyzed. During first stage of the
project, a group is created, and a business case is prepared that create the project
plan.

B) Project planning

Once a project is approved, project managers must have a good plan to lead its
team, complete the project before schedule, and then under budget.

This will guide you through the process of getting resources, gaining money, and
obtaining necessary components. The project plan directs the team's efforts to
produce high results, manage risk, get approval, communicate advantages to
stakeholders, and manage suppliers.

C) Project Execution

This is the phase which many people think of when they think of project
management. The goal of execution is to create customer satisfying deliverables.
This is achieved by team leaders assigning resources and insuring that team
members are engaged on respective given responsibilities.

D) Project Monitoring and Controlling


Teams should regularly monitor their own performance as they carry out their project
plan. Because they usually happen at the same time, monitoring and control are
commonly connected with execution.

To ensure that what was promised is delivered, teams must keep an eye on tasks to
avoid project scope, generate key performance measures, and monitor errors from

E) Project Closure
This key step in the project management helps the group to examine and
document the project before moving onto next, learning from former project
failures and achievements to create better procedures and much more successful
teamwork.

Project Methodology
A project management methodology is essentially a set of guiding principles and
processes for managing a project. Your choice of methodology defines how you
work and communicate. (Cohen, 2019).

Kanban Methodology
According to (TIT, 2019) Kanban is a project management tool that allows you to
gain a better understanding of the activities that need to be completed or have
already been completed. The project being monitored using the Kanban Methodology. It
includes a physical or digital platform with three columns (To Do, In Progress, Done).

What are the benefits of Kanban Methodology?

 To create a flow chart for your project - Objectivity in project management


might help your team become more engaged.
 To find and resolve obstacles - To reduce increased manufacturing and reduce
various types of waste during the project, set work limitations for an in column.
 Teamwork should be improved - This can help the organization to establish
more accurate time delivery estimations, resulting in a higher project positive
outcome.
 Your productivity will improve as a result of this - Clarity results in a quicker
procedure and less work.

Hameedia was founded in 1949 and has since grown to become a major menswear
brand known for its flair and performance. The company has developed greatly since
its beginning 71 years ago, and the Hameedia brand has now developed a global
superstar in Sri Lanka and is fast gaining popularity around the worldwide.

Hameedia has developed itself as a market leader in the performance of appropriate


custom-fit and ready-made apparel for men, helping them to appear their job
perfectly. The company has a large network of huge and beautiful showrooms
throughout Colombo and its surroundings, and is committed to providing clients with
a world-class shopping experience. Looking forward, Hameedia is well positioned to
maintain its position as Sri Lanka's leading menswear brand while also expanding its
global footprint and brand awareness.

1.2 Business case
A business case supports the performance of a project, program, or portfolio. It
examines the advantages, disadvantages, costs, and risks of many alternatives
before recommending one. A business case is a management tool that allows
decision makers, stakeholders, and the general public to make proof and informed
decisions. (Definition from APM Body of Knowledge 7th edition , n.d.)

In my project, I've provided details about the workplace transformation at Hameedia


as a result of Covid- 19. Since according my research, every one of the adjustments
that had occurred in the Hameedia organization's management environment as a
result of Covid -19. However, even when the pandemic situation becomes usual for
employee flexibility and corporate safety requirements, companies could continually
develop and practice the beneficial improvements.

1.3 Aims and objective of the project


 The issue that it helps in solving is mentioned in the project's goals and
objectives. Objectives and goals are an approach for setting goals and
determining what the project should accomplish. Many of the objectives should
keep you on schedule and engaged in the aims.

Objectives
a) To find out what issues that Hameedia Organization had during the Covid 19
pandemic and how they managed them.
b) To learn about the advantages Hameedia organizations receive and how they
faced challenges during the Covid 19 pandemic.
c) To identify the economic expense control that Hameedia has been faced.
d) To increase awareness, improve perspectives, and strengthen actions to COVID-
19 prevention and control.

e) To help the organization with COVID-19 prevention and control.

COVID-19 has had a significant impact on human life. Nowadays, people have
started to use the term "social distance" and should maintain it at all times. Who
would have believed that many places could even be closed down at once? It also
affects how people work, where they work, how they cooperate with others, and how
they reach their objectives. Many people are experiencing emotional suffering as a
result of the COVID-19 outbreak, which has impacted their daily lives in unexpected
ways.

Changes that have taken place in Hameedia organization during covid-19.

 Employees will be ready to work from home

Although the Covid -19 pandemic, sales of our organizations are reduced, and
managers and employees are increasingly working from home to promote their
sales. However, for customers the options available on the online orders are
exciting. We can find a variety of products and brands from a variety of sellers all in
one spot. Customers can see all of the latest trends without having to pay for a
ticket. We have a fantastic opportunity to shop from Hameedia during covid-19.

The skill of employees' behavior, mindsets, attitude, and beliefs to adjust to change
has been critical to their achievement. Having a fast and reliable internet connection
became one among the most difficult challenges. People had learned to build an
appropriate work environment at home based on their months of experience working
at home. We grow comfortable to completing daily duties without needing to visit an
actual workplace.

 Flexibility improvement

Because of the COVID-19 outbreak, Hameedia organizations have had to double-


check what our employees must achieve on a regular base. Flexibility does not
impact specific goals, but managers will think about whether the "where" for workers
might shift as well. Working from home full-time it's not the only option. That is what
the Hameedia organizations conform to. A responsibility of managing to a Work from
Home arrangement may not be practical, our employees are given the opportunity to
review why they needed to have been in the workplace and consider the lower
payments of having a shorter workspace.

 Another change that have taken place is, Hameedia organizations continue to
perform more maintenance and sanitary procedures in their buildings. It is also
helping COVID-19 relief operations in the area, intending to provide medical
supplies and help in the recovery of places impacted worst by the pandemic. As a
result of the corona virus's development, Hameedia organizations have increased
the number of high places, improved cleaning and sanitation procedures, and

good access to their facilities. In some instances, distribution drivers do not stop
their vehicles, reducing the number of accidents.

Challenges and achievements


This was a year of huge difficulty for Hameedia groups, but also of great opportunity.
The safety of our employees is critical at this difficult period. Hameedia employees
face various health risks, depending on the type of work they do, where they work,
and their personal health. Trying to distance, increased cleaning, and supplying
protective clothes were all taken into consideration in this case. Furthermore, it is
critical that all critical including essential contact details for all employees, been
maintained during this period.

During lockdown period, the customer situation shifted greatly, and our sales people
has continued to support each customers who's really able to service while staying in
touch with those are incapable. As they face their own issues created by quickly
changing demand habits, our groups has improved the performance of their
customer satisfaction, giving the finest help they can provide. During the COVID-19
pandemic, they were by their customers' sides. They continue providing help and
gain relationships as they reopened in time with less regulations, delivering masks
and hand sanitizer to meet increased environmental safety.

One of the challenges facing the Hameedia organization is how to work in a safe and
expense way. Health and safety rules, for example, make it more difficult to achieve
the same efficiency on the work area. Even if demand grows, this could have a sales
and profits.

1.4 Purpose and benefit of the project


Purpose of this Project -:

As a response to the COVID-19 pandemic, this project aims to finding ways to keep
the business running through covid 19 pandemic.  We plan to fill the workplace with
useful, accurate, and wanted to think information on all aspects of COVID-19
maintenance.

Benefit of this Project-:

Hameedia organization are charged for handling the company's most valuable
investment, its people, it performs an important step in every organization's business
plans. That's where organizations aim to get the best talent, maintain it, and boost
worker in order to achieve a challenging advantage in the organization.

Our Hameedia employees enjoy the option to engage additional time with family and
home life, particularly since complete families are quarantining alongside.
Employees are much lesser stressed than they were before to the outbreak. We
provide rewards cards, monthly deals, and other advantages to our customer base
because they are the most important part of our business. Our company can re-
allocate budgets and reduce running expenditures. Costs are now regarded in a
"more reasonable and company perspective, yet the global financial situation is still
considered carefully. The cost of the office, equipment, and leasing costs can now
be used to aid with the current financial condition. Employee benefits have taken on
a new level as a result of the Covid pandemic. Job possibilities, employee migration,
job form and employment conditions, and laws have all contributed to the growth of
employee opportunities.

The project's personal advantage

Between setting up a date to creating a question to performing the interviews, I'd like
to use this opportunity to deliver my thanks and respect you all of the help and
knowledge I've gained as a result of this project. That provided a fantastic
experience for me to conduct an industrial interview and gain knowledge using the
suggestions of my teachers. I was having trouble linking the concept to the project
just at starting, but after I got start, I realized how and where to present and execute
it in a real; researching study. Interview method as part of a research assignment
provides an excellent way to improve interviewing abilities.

A project budget is the entire amount of money set aside for a specified project
objective over a given time period. Budget management's aim is to keep project
expenditures under control while still meeting the project's objectives.

dates, and costs. To put it another way, it's the work that needs to be done in order
to finish a project.

The project will aid in determining how Covid 19 impacted Hameedia, as well as the
obstacles and benefits associated with the Corona pandemic and also finding ways
to keep the business running through covid 19 pandemic. By the 15th of October
2021, the project will be completed. This project will cover the changes that occurred
in the workplace at Hameedia during the Covid 19 pandemic, the employment
conditions provided to employees during the Covid 19 pandemic, and the challenges
that Hameedia had in adopting this technology and how they overcame them.
Finally, this project includes various changes that have been made for the
improvement of the Hameedia.

1.7 Deliverable of the project


The term "project deliverables" refers to the measurable goods or services which
should be supplied after a project is completed. Project deliverables are the items
that must be delivered in order for the project to fulfill its objectives and fulfill the
requirements of its stakeholders. They are really the final outcome of achieving the
final result. (Anon., n.d.)

 Customers nowadays choose to buy their necessary Hameedia clothes from


shopping websites, and hameedia's shift to online sales will gradually increase
the company's financial performance.
 Customers can trust Hameedia will deliver their requested clothes whenever
customers buy them online and have those done as soon as possible.
 Employees are able to work safely and conveniently from home, and that
employees will gain extra skills because they'll be working under different
situations. Since employees are able to work from home, the cost of the working
system can be reduced.

1.8 Risk management process


According to (O'Connor, 2020) Risk management is the process of detecting,
identifying, and minimizing or limiting risks to a project's anticipated results. Project
managers usually supervise the risk management process all interested groups the
project duration. To successfully manage risk, project managers should establish a
friendly and reliable of their goals in order to detect any potential obstacles that may
restrict the team's responsibility to generate outcomes.

We must inform employees understand we do have a risk plan, a business continuity


plan, and a conflict plan in place then take the time to go over it with them. Explain
what each plan comprises and how it will be implemented. While equally attempting
to elicit their participation and Impact. Each week during the project, the project risk
will be modified and reported in the weekly progress report. Planning risk, financial

People today are worried, overworked, stressed, afraid, and distracted. The costs of
failing to manage our employees during this period can be considerable (health and
safety, financial, legal, and operational).so this can be a risk matter during this
pandemic. The most difficult aspect of Covid-19 is the time it took to re-establish
creates the possibility when the company was restarted. As a result of the shutdown
of  store locations, customers are increasingly turning to online shopping, so at this
instance, although employees sell the product through online, he actually don’t know
whether this product has been reached safely to the customer during this time, so
this could be an risk management. As a result, Hameedia has continued to sell
through its online platform while enhancing customer satisfaction.

The need to manage the pandemic in the environment is reducing worker availability
and making it harder to work on-site. Due to the requirement to protect employee’s
teamwork, it is leading to growing acceptance of faraway working and social
distancing. All of this has changed and affected the way safety practices are
implemented on a daily basis in Hameedia.

Planning risk process-: Because of the COVID 19 outbreak, there may be


unexpected time limits and curfews, making preparation more difficult. Because most
of the scheduled work could be postponed, we need to focus mostly on performing
online interviews, discussions, and contact.

Interviews risk-: Because meetings were restricted owing to the current situation,
conducting interviews is more difficult; one approach to solve this challenge is to
schedule zoom meetings.

Time management risk -: It is possible that the research will lose time so the project
will not be completed within the time specified in the project scope. To reduce this
risk, the project should include a Gantt chart and a Work Breakdown Structure
(WBS) so the activity may be started and finished on period.

Because the project starts with people ordering clothes online, the organization
should choose and buy things instead of other customers, which takes a long time,
rather than clients coming to the shop and buying, where Hameedia delivers the
clothes product as quickly as possible, because time is of the essence at this point.

1.9 Communication plan


According to (TechTarget Contributor, 2015) A communication plan is a decision
method to sharing data with other users. The plans clearly states who must receive
detailed information, when it might get supplied, and which exchanges would be
engaged to communicate the details.

The purpose of the communication plan is to maintain all project team members up
to date through interview. Lecturer and Manager of Hameedia Apparel Kandy Branch
are among the audience members. In order to provide advice, the instructor, who is
an important part of finishing this project, must speak clearly. Next, we will provide a
clear understanding of the project through a proposal, and we will be able to
complete the project in a timely manner as a result of this approach. Hameedia must
offer regular updates, and at the end of the project, we must submit a report that
includes all of the data we gathered.

Internal communication

According to (Novak, 2021)Internal communication occurs when members of an


organization communicate and get information from one another. It is only open to
employees, coworkers, or anyone else who works for the company. Nothing is made
available to the general population.

At the workplace of Hameedia - :

Internal communication is performed at Hameedia to interact among employees


and key team members to learn about their perspectives and also where people
enjoy working, as well as when they can creative regarding workplace situations. The
data is suitable for creating a variety of positive suggestions and determining how to
increase satisfaction in a company.

External communication

According to (Novak, 2021)the exchange of information between a company and


then another entity outside the company is known as external communication. The
information may still be available within the company, but it is aimed at an audience.

At the workplace of Hameedia - :

External communication with stakeholders is being performed throughout the


study. The purpose of the research would be to analyze and fulfill expectations.
Online channels like surveys, questionnaires, mail, what’s app, and Telegram could
be used for external communication. Customers will be able to express their
problems using such communication methods, which are also applied to speed up
communication and better understand customer problems and recommendations.

Annual reports, research reports, budgeting reports, and staff ideas must all be
included. Communication process, or information moving from supervisors to
employees, makes employees feel important as well. We might also add a summary

of our company's operations, any communication issues, and risk management
approach.

To successfully communicate and maintain good on everyone's work, plans, and


difficulties, we must provide a weekly status report. Weekly status updates allow us
to have less discussions and increase Hameedia workplace communication. The
reports also make it possible for team to focus in an efficient way.

1.10 Project constraint


Project constraints are limitations including risks which may have an impact on the
project's quality, final outcomes, and satisfaction in the workplace. Schedule, scope,
and money are the three key restrictions that most project managers should examine
first. Quality, resources, and risk are all interlinked. (Anon., n.d.)

Time constraint -: Because the project begins with people ordering clothes online,
the organization should choose and buy things alternatively of another customers,
which takes a long time, instead of the clients come to the shop and buying, where
Hameedia delivers the clothes product as quickly as possible, because time is
limited at this point.

Cost constraint-: The project's cost, often defined as the budget, includes all of the
financial resources required to finish the project on time and within the specified
scope. The project budget would really be boosted regarding quality management
due to significant labor and safety considerations. Quality control and additional
labors such as delivery drivers, online customers, and a sales team recruited would
increase the project expense because of quality control and extra labors.

Scope constraint-: To meet the goals and grow sales of the Hameedia delivery, the
company must first obtain permission to delivery within in the pandemic shut downs.
Sales limits will originally be reduced until consumers accept the online ordering
system. Everything would be delivered to the consumer on time.

1.11 The project manager's responsibilities and roles


Project manager-:

According to (Coursera, 2021) , a project manager is a person who manages,


plans, and performs projects while following to budget and scheduling constraints.
Project managers are responsible for directing teams, creating goals, interacting with
stakeholders, and overseeing the project delivery.

Interviewers -: The interviewer is the person responsible with carrying out the
interview that is, presenting the questionnaires asking the questions, listening to and
recording the interviewees' responses in accordance with the rules and regulations
described in this instructions.

Gantt chart
A Gantt chart is a widely used graphical depiction of a project timetable. It's a type of
bar chart that shows the beginning and ending dates of project elements such as
resources, scheduling, and dependencies. The Gantt chart is the most commonly
used chart in project management. These charts are helpful for planning a project
and establishing which activities must be accomplished in what order. Typically, the

2.2 Project milestones
A project milestone is a management tool for identifying a certain point in a project's
timeline. Milestone points can be used to identify the beginning and end of a project,
as well as the conclusion of a key phase of the work. Milestones can be used to
represent anything that has begun or completed, although they are most commonly
used as a scheduling tool.

How this works?

A milestone is an exact moment in the life cycle of a project that is used to track
progress towards to the end goal. Milestones are used in project management to
mark the start or achievement of a project, external evaluations or feedback, budget
checks, the submission of a major deliverable, and so on.

Project milestones of my project


When all of the initiation phases have been performed then the project then
continues on to the planning phase, in which the project management strategy is
worked out, and the project reaches the second milestone. The project reached the
third milestone as we interviewed people and gathered the relevant data necessary
for the research.  When the project analyzes the data and draws a conclusion about
the results, the fourth milestone is completed. In the final milestone the
Project reaches the last milestone when he or she makes a decision with solutions
and communicates such in a research project.

2.3 Change management register


These Change Management Samples include all the key procedures,
documentation, and procedures you'll have to start managing transformation in your
company. The team can use the Modification Register to keep track of how the
change will affect the project. (Anon., n.d.)

The project's tasks were planned to be completed as expected, and no adjustments


were made to the activities.  The main challenge that we will face is determining
when the interview will take place, as there is a difficulty in getting permission to visit
the organization.

Quality management is the practice of keeping the project operations required to

3.1 Background study of research


Market research is the technique of informally interviewing target customers to
determine the usefulness of a new good or service. Market research helps a
business to identify its target market and obtain ideas and other information from
customers regarding actual involvement in a goods or services.

This research will investigate the challenges and obstacles that the Hameedia
organization faces, so that the company is aware of the issues. . The goal of the
study would have been to discover and understand what's really necessary in the
Hameedia organization, as well as the opportunities and drawbacks it faces, and to
determine the difficulties and problems it faces, as well as how it has solved them.
Hameedia has implemented adjustments in the workplace as a leading organization.
So if that country is now within the lockdown, Hameedia enterprises have employees
available continue providing 10-hours of service to their clients. To safeguard the
safety of Hameedia consumers, the company's goods are shipped straight to their
customer’s doorstep, and that they usually supplied inside 10 hours to boost
consumer happiness.

The goal of market research is to examine the market for a specific product or
service in order to determine how the target audience will react. Workers, customers,
and the company all gain from this research, because when the project is completed,
the organization may continue to operate without delay, because if the covid 19
outbreak survives. This included data collection for market segmentation and product
difference that can be used to adjust advertising campaigns or establish which
attributes are considered most important by customers.

new technology supports the organization and needs to move forward in order to
maintaining data flow, managing contacts, analyzing operations, and keeping
employee records up to date. Technology allows organization to function more
effectively and successfully.

Research questions -:

and how did they overcome them?
2) What are the ideas and thoughts for improving Hameedia in the future?
3) What are the positive things and benefits that customers can enjoy during this

3.3 Literature review


According to (McCombes, 2019) A literature review is an examination of scholarly
sources on a particular subject. It gives you a clear view of present understanding,
helping you to recognize relevant ideas, techniques, and research gaps.

According to (Berry, 2021) As a result of COVID-19, the conversation about


employee experience and digital tools has soon turned, going from attracting new
people to allowing and maintaining a totally distributed workforce using purpose skills
and technologies. Successful organizations must prepare for the complete workplace
ecosystem and motivate individuals to manage business operations in the new
distanced workplace.

According to (ONLINE, 2021) with the COVID-19 pandemic in 2020, digital


workplace transformation, which has been on the rise in recent years, will continue.
To keep the business going, companies have to make a major shift to distant work
and radically change established systems to welcome in the workplace. The new
workplace allows for unrestricted connection and increased productivity, as well as
flexible and flexible IT services based on intelligence and efficiency.

According to (Abdullah, 2020) Organizations and employees are faced to long


periods of insecurity as a result of rapid changes in customer demand. Organizations
here have started to make major changes to their staff in order to conform to the
Covid-19 environment. We predict a significant impact on workforce change in the
long run.   To confirm that the workforce is linked to business goals, it examines the

According to (Jr., n.d.) The change of the workplace has also occurred in businesses
may use to improve their plans and results. Combining technology and data
solutions successfully can support employers in addressing these emerging
concerns and managing the dangers that come with them. To successfully manage
the workplace impacts of new technology-related efforts, these concerns must be
identified and planned for from the start. This provides advice that helps business
leaders to anticipate and solve a wide variety of legal, economic, and human
resource concerns.

Employers want much more normal clear rules to address transformation issues.
When specific issues develop in the setting of management reforms, researchers
provide the customers with a clear overview of the situation and advice on how to
analyze the larger major challenges.

Research Methodology
According to (Jansen, 2020) The practical "how" of any certain research study is
referred to as research technique, But basically how a researcher plans a study in a
systematic manner to determine whether the results are accurate and believable and
therefore the research goals and targets are met.

Research method
Methodologies for gathering and evaluating data are known as research methods.
Qualitative and quantitative research methods are two types of research methods.

According to (Streefkerk, 2019) Quantitative research focuses with numbers and


statistics while gathering and analyzing data, whereas qualitative research deals
with words and meanings. Both are necessary for obtaining various types of
information.

Research project managers are in charge of leading research projects that are
aimed to achieve a certain business goal. They are also in charge of analyzing data
analysis activities, verifying acquired data, writing reports, and engaging with various
research stakeholders.

The project manager will perform a small-scale study to gather information on the
issues and obstacles that Hameedia faces. The data for this study was gathered
using a qualitative research method.

Interviews with outstanding questions, written observations, and literature reviews


that investigate concepts and theories are all examples of qualitative techniques. We
can gain a better understanding of people's perceptions, feelings, and perspectives
by using qualitative data. Qualitative analysis will provide a more in-depth look at
situations, allowing us to learn more about people's perspectives and ideas.

3.4 Research strategy


According to (Jenny, 2014) A Research Strategy is a move action plan that guides
the ideas and actions, allowing anyone to do research in a structured and timely
manner to deliver high-quality data and accurate information.

The survey approach was the research strategy I selected for my project. During the
interview, the survey supported us in obtaining data about the behavior and
conditions at one particular moment in time. The results of the survey give
knowledge about the problem. It also improves the analysis of the scenario. Surveys
improve in the measurement of changes, which is why I selected the survey method
for my research. Individual perspectives and experiences can be measured through
surveys. Surveys, when done correctly, provide actual numbers on people's attitudes
and behaviors, which can be utilized to make crucial decisions in workplace.

3.5 Sampling and data collection tool


Sampling
The practice of making statistical judgments about a selected population is known as
sampling. This new and highly powerful business tool supports inside a better
knowledge of company activities, customer behavior, and quality and availability
management. (Taherdoost, 2020)

There are 2 types of samples in sampling: probability sampling and nonprobability


sampling.

1. Probability sampling

According to (McCombes., 2019) "Probability sampling" relates to the fact that each
and every member of a population does have an equal opportunity of being chosen.
It's mostly employed in quantitative studies. Probability sampling techniques are the
best option for producing results that really are typical of the entire population.

There are 4 types of Probability sampling, they are:

 Simple random sampling


 Systematic sampling
 Stratified sampling
 Cluster sampling
2. Non-Probability sampling

According to (McCombes., 2019) Individuals are chosen depending on non-criteria in


a non-probability sample, but not each person does have an opportunity to be
shown. This sample is quicker to obtain and less expensive, but it does have a
greater threat of sampling. As a result, the population analogies one can draw are
poorer than it is with probability sampling technique, and your findings could be more
restricted.

There are 4 types of Non-Probability sampling, they are:

 Convenience sampling
 Voluntary response sampling
 Purposive sampling
 Snowball sampling

Non-Probability sampling is the method I've chosen for this project. The reason for
choosing probability sampling is that because the samples represent a population

group, it will be easier to obtain the information needed. Purposive sampling and
convenience sampling were used to choose the nonprobability sample. Purposive
sampling was used to choose the manager of the Hameedia Kandy group. Purposive
sampling is preferred since it eliminates unnecessary data, produces better inquiry
outcomes, and takes little time.

In order to complete this study, I used convenience sampling to recruit 3 senior


managers for my interviews. We will conduct the interviews over business phone in
order to obtain their perspectives on the improvements in the workplace.
Additionally, this will make things possible for me to gain a thorough understanding
of the changes made in the workplace as a result of the Covid-19 pandemic and the
adjustments in work.

Data collection tool


Data collection methods are significant since the technique and analyzing viewpoint
mostly used by the researcher affect how the information obtained is used and
whatever conclusions it might provide. Data collecting allows for the gathering of
greater information. Because after data has been received, testing will take place,
during which the expectations will be debunked and the data will be judged with
explanations.

An interview consists of two parties: an interviewer who directs the chat and asks
questions, and an interviewee that answers to the questions. Structured, semi-
structured, and unstructured interviews are the three types of interviews.
(Easwaramoorthy, n.d.)

The interview method is a research method by where I, as a researcher, ask


questions of the company I'm interviewing and, ideally, receive responses. The
purpose for using an interview as a data gathering planning is because the
interviewer has complete management around the interview questions and can
acquire a thorough understanding of the participant's arguments. This process is
good for improvement and allows for the inclusion of challenges in data analysis.

This helps in gaining a thorough knowledge of data explaining it, next I have
selected questionnaire as our data collection methods because a questionnaire is a
quick and easy approach to get data from a big group of individuals in a short
amount of time. As a result, the questionnaire is necessary to confirm correct data
collection and understandable and useful outcomes. Dichotomous questions
become the type of questionnaire I've chosen for my project. Yes-or-No questions
are a type of dichotomous question. This type of inquiry allows for a simple and rapid
solution. It is simple to make comparisons with others.

3.6 Carry out small-scale research by applying qualitative and


quantitative research method as a preliminary step of your
project

For this preliminary investigation, a qualitative research method was chosen. That


project manager would execute a small-scale research and gathering information
about the workplace's problems and potential challenges. Observation as well as
interviews were used in the research. A small and appropriate sample selection is
used most of the time. In order to gather in-depth knowledge and acknowledgment,
qualitative research methods were applied in this study. Face-to-face interviews
allow researchers to obtain a greater understanding of the concepts in order to
perform study on it. During the interview, the survey method supported us in

Qualitative and quantitative data analysis are two types of data analysis methods.
For this preliminary investigation, a qualitative research method was chosen in our
research .Qualitative data is a type of information that identifies attributes or
characteristics. It's gathered through questionnaires, interviews, or observation, and
it's usually presented in story form. The information could be in the form of qualitative
words which can be analyzed for patterns or significance using coding. (Anon., n.d.)
Interviews, notes, video and audio recordings, photographs, and documents all fall
under the category of qualitative data.

The organization must primarily and mainly concentrate on doing and developing
successful market research in order to understanding the nature of the market. The
following step is referred to as the initiation stage. This states that qualitative
research should be conducted before quantitative research, and also therefore the
results of the first can be applied in both.

The survey done in the following part with the purpose of obtaining basic data could
become highly useful for Hameedia's project. During the interview, the survey
method supported us in obtaining data about the behavior and conditions at one
particular moment in time. The results of the survey give knowledge about the
problem. It also improves the analysis of the scenario. Surveys improve in the
measurement of changes, which is why I selected the survey method for my
research. This became related to the reasons that it may be applied to properly
confirm target client wants and expectations, as well as many other customer needs.
This supports in connecting out to an increasing number of customers. The
information gathered was supposed to help in the data analysis. Research Design is
also relevant and appropriate for investigating a separate aspect and its impact on
the company. With concerns of qualitative study, the overview approach was
performed, and were in charge of specific good compared questions.

The project's research method was an interview. The researchers was capable of
learning more about the changeover of the Hameedia organization's workplace
because to the COVID-19 pandemic as a result of this. The total number of
employees in hameedia's workplace is 24.

Because of security reasons, the interview was conducted over the phone. Three
employees from the Hameedia participated in the interview.

Analysis;
1) Objective 1: To identify what obstacles did Hameedia have in
implementing these improvements, and how managed they
manage them.

a. What challenges did the Hameedia organization have in making such


changes, and how did they overcome them?
 Interviewee 1: For Hameedia organizations, this was a year of severe difficulty,
but also of great opportunity. During this tough time, the safety of our personnel is
crucial.  Hameedia personnel are exposed to a variety of health risks. In this
scenario, attempts at distance, greater cleaning, and the provision of protective
clothing were all considered. Furthermore, it is crucial that all critical information,
including critical contact information for all personnel, be kept up to date during
this time.
 Interviewee 2: One of the issues facing Hameedia is determining how to work in
a safe and cost-effective manner. For example, health and safety regulations
make it more difficult to reach the same level of efficiency on the job. Even if
demand rises, sales and earnings may suffer and on the other hand selecting the
incorrect candidate for the business can also have major effects, not only
affecting the happiness of the other of your organization and their involvement,
but also increasing absenteeism, affecting customer support, decreasing
performance, and eventually affecting your income.
 Interviewee 3: There was no danger of COVID-19 transmission because the
company was set up without using any of these necessary safety safeguards.
Since all of the employees were provided their own hand sanitizers, throwaway
hand gloves, cleaned towels, and thin plastic face mask packets, there's no
reason to share, and this form of transfer could be prevented.

According to the interviewee 1, how many challenges did Hameedia face in


making these upgrades, and how did they overcome them? Things don't often go
as expected, therefore it takes a bit of time. Interviewee2 answered, but he
noted that choosing the wrong candidate for the task might have serious results,
like raising absences, impacting customer service, reducing ability, and affecting
earnings. According to Interviewee 3, the situation left him feeling protected and
allowed him manage his distance from everyone else.
b. What services were provided throughout the pandemic, and also how did
they support your work?
 Interviewee 1: Customers are fine with the Hameedia organization's time
constraints. Because the project starts with people ordering clothes online, the

organization will have to make sure and buy things instead of other customers
that also takes a long time, rather than the clients coming to the shop and buying.
 Interviewee 2: Hameedia needs to deliver the clothing product as early as
necessary and should meet customer demands on time, because time is of the
essence at this moment, and as a manager, we must be responsive in situations
like this, where we cannot be certain that everything will happen on time, so we
must provide safety precautions for the product that customers have ordered.
 Interviewee 3: The Company was concerned about the health and safety of the
personnel, therefore they established shipping and medical check-up services for
everyone. A quick test will be performed if the employee's temperature is
elevated in place to safeguard them, their relatives, and workmates from covid-19
virus.

According to interviewee 1, the company must ensure that it purchases items


rather than relying on other customers. This also takes a long time, as opposed
to customers walking into the store and purchasing them. Interviewee2 directly
responded, stating that Hameedia products must be supplied on schedule, as is
customary. Interviewee 3, The Company must be interested about the
employees' health and safety in the workplaces.

c. What steps does the organization take to reduce staff turnover?


 Interviewee 1: We will supply a variety of supporting advantages to our valued
employees, such as free lunches, additional bonuses, company picnics, and
holiday allowances. Employee turnover is reduced as a result of employees
feeling at comfortable in our workplace. We keep providing them benefits such as
inexpensive lunches, company trips and regular company visits for the relatives,
as well as a pleasant working atmosphere. Laborers are also rewarded with
advancements and acknowledgment.
 Interviewee 2: Employees' progress is reviewed, and they are made suggestions
and reward to help them succeed. We also use job rotation and giving them time
off again to sleep and enjoy. It helps benefitted in overcoming obstacles.
 Interviewee 3: Furthermore, we intend to provide computers for them to use in
their work. These adjustments were beneficial .We weren't allowed to eat lunch
together, so there was no way for us to communicate with one another. That fact
we still have to consider.

According to Interviewee 1 stated that the organization provides a number of


benefits to our qualified employees, whereas Interviewee 2 stated that employee
performance is examined and checked, and therefore that employees are also
received guidance. Employees are motivated by this, and they are occasionally
given time off to enjoy it. Interviewee 3 during the implementation of the COVID-
19 precaution, he took employee ideas into consideration.

2) Objective 2: To identify the Recommendation for the betterment


of Hameedia organization.
a. What are the ideas and thoughts for improving Hameedia in the future?
 Interviewee 1: I would advise Hameedia to set up a delivery service that includes
high-quality health and safety procedures. As a result of the pandemic, everyone
is in a position where they must take adequate health and safety protections in
order to adapt to experience and increases the potential. As a result, the
customer expects the goods to be delivered in a safe manner, and I recommend
that delivery services be provided within a timely manner.

 Interviewee 2: As we respond to the growing pandemic, keep an eye out for


chances for creativity. We must inform our clients about the new ways we plan to
service them. Some of these improvements may not be required once the
pandemic is ended, but many of them may establish new rules. Think of ways to
create that will continue to be successful and important once things have went
back to normal. We will consider it a point to inform our customers about our
efforts to improve service.

According to Interviewee 1, everyone in a position to respond to learning and


enhance their ability should undertake proper health and safety precautions. Like
a response, the consumer wants the product to be transported safely, and he
suggests that shipping solutions be supplied as soon as possible. Interviewee 2
Changes may not be necessary once the pandemic is over, according to
Interviewee 2, but several of these could set new guidelines. Consider how you
can continue to produce in ways that are both effective and valuable once things
have returned to normal. It must make it a priority to keep our consumers
informed regarding the strategies to correct services.

b. What budget does the organization set out for hiring and training?
 Interviewee 1: We make investments 4% of company pay budgets in
development, which is important since we need to maintain that our employees
are up to date on the current security regulations and production procedures, and
we want to bring better productive methods as time goes forward.
Interviewee 2: We invest 4% of our pay budgets on recruitment and training to
the Hameedia organization , which is important and we'd require to guarantee
that our recruiters are updated on the most recent security situation and
manufacturing practices.
Interviewee 3: We’ve done it successfully, so it gives your staff the knowledge
they need to perform their jobs well and have a good impact on the company. It

c. How did employees' work-life balance during the lockdown be affected by


the working situations provided at home?
 Interviewee 1: Yeah well! While the Covid -19 pandemic, our companies' sales
are down, and managers and employees are frequently working from home to
boost sales. Employees' company can correct their behavior, perspectives,
attitude, and understandings to change has been extremely important. One of the
most difficult challenges has become obtaining a fast and helpful internet
connection. Based on their months of experience working at home, employees
have learnt how to create an appropriate work situation at home. We become
adapted to increased confidence tasks without having to go to a busy job.

 Interviewee 2: Employee happiness is a top priority in the Hameedia


organization. We guarantee them benefits such as free food, company holidays,
and open company attendance for their friends and relatives, as well as a
pleasant working atmosphere. Workers are also rewarded with advancements
and rewards.
 Interviewee 3: Yes, however employees that work more than a kilometer distant
from the workplace were provided the opportunity to work at home. I live 5
kilometers first from workplace, and I had to drive to work.

According to Interviewee 1, they expressed their satisfaction in providing a


welcoming workplace for its employees and supporting their well-being. It also
improved their reduced income since employees want to work in an environment
in which they are recognized and where they can readily express their thoughts
and concerns. Interviewee 2 discussed the organization's benefits for
employees, emphasizing that the company promotes their health, and how
employees are acknowledged and awarded for their achievements.
Interviewee 3 states employees' safety and very well were considered, and
work-from-home options were provided to them when traveling risk was
considered.
3) Objective 3: To identify the favorable aspects and advantages
that consumers and organization can take during this time.

a. What are the positive things and benefits that customers can enjoy during
this time period?
 Interviewee 1: Our Hameedia employees appreciate the opportunity to spend
more time with their families and at home, especially because entire families are
quarantining together. Employees are less stressed now than they were
throughout the outbreak. Because our customers are the most important aspect

b. Do you think your service would be alright for customers?


 Interviewee 1: Yes, our service is excellent, and we hope that no further
problems develop. However, customers will like the lot of options provided on
online orders. We can locate a wide range of products and brands from a wide
range of sellers in one good place. Customers can view all of the most recent
trends without purchasing a ticket.
Interviewee 2: During covid-19, we have a fantastic opportunity to shop from
Hameedia. Hameedia delivers the clothes product as quickly as possible,
because time is of the essence at this point.
Interviewee 3: Temporarily, we have organized and signed a contract with daraz
service officers to provide transportation to people who place orders with our
company.

According to Interviewee 1 and Interviewee 2, they were impressed with how the
service was provided to customers by hameedia’s. Interviewee 3, giving a daraz
service to customers during this period would be ideal for running our business
as well.
c. How about the communication plan were implemented in order to run this
business?
 Interviewee 1: Our communication plan is simple, the communication plan's goal
is to keep all project team members informed through interviews. Among the
audience members are a lecturer and the manager of Hameedia Apparel Kandy
Branch. We must submit a weekly status report to effectively communicate and
keep track of everyone's work, plans, and challenges. We can have fewer
debates and improve Hameedia workplace communication by providing weekly
status reports. The reports also allow the team to concentrate more effectively.
The instructor, who is a crucial element of completing this project, must
communicate effectively in addition to the support.
 Interviewee 2: Following that, we would deliver a direct knowledge of the project
through a proposal, and as an outcome of this process, we will be able to finish
the work on time. Hameedia must provide regular updates, and we must present
a report at the completion of the project that contains all of the information we
collected.
 Interviewee 3: We can have fewer debates and improve Hameedia workplace
communication by providing weekly status reports. The reports also allow the

Interviewee 1: "Yes! Working life have improved because many people now work
from home while others engage in a workplace."
Interviewee 2: "Yes! Only with pandemic, we've had to deal with a lot of adjustments
and problems, and functioning from home between several commitments has
become a problem for me as a Hameedia back-office manager."
Interviewee 3: "Yes! Acting as a customer service representative at Hameedia, I
found it simpler could engage with consumers in the beginning compared it is now
that I am interacting with covid."
According to Interviewee 1, Interviewee 2 and Interviewee 3, The COVID-19
pandemic had caused significant changes in everyday life and in business. Some
people find it uncomfortable, while others find it acceptable. Employees at Hameedia
have expressed their dissatisfaction with the situation. Some people are much less
adjusted to quick shifts, but some will dislike them. Lockdowns and restrictions put
on the consumers by countries to safeguard their protection have decreased every
day is go for work, and human connection with close ones.
b. What are the most effective methods/tools used for improving the
workplace?
Interviewee 1: The survey conducted with the goal of gathering basic data could be
extremely beneficial to Hameedia's project. The survey method greatly helped us in
getting data regarding the behavior and circumstances at a certain point in time
during the interview. Surveys are better at measuring changes, which is why I chose
the survey method for my study. This facilitates in reaching out to a larger customer
base.

Interviewee 2: On the hand we have selected to use a qualitative research method.
That project manager will conduct a small-scale investigation and collect data on the
workplace's difficulties and related issues. The investigation included both
observation and interviews. The majority of the instances, a small and acceptable
sample selection is chosen. Qualitative research methodologies were used in this
project to gain in-depth information and acknowledgement. 
Interviewee 3: Gantt charts are helpful for project planning. They support you in
identifying how duration of each activity, identifying the resources required, and
planning the order in which activities and tasks will be completed. WBS allows
workers to be given to particular tasks. It requires the project manager, teammates,
and customer base to describe the methods necessary to develop and deliver the
product in hameedia’s.

According to Interviewee 1, the survey supports researchers in gaining a huge


amount of information in a short time. This was quite helpful in gathering information
on the behavior and conditions at a certain moment in the interview. Changes can be
measured more accurately through surveys. Individual facts, attitudes, recent
activities, and opinions can all be collected through surveys. Interviewee 2 responds
that qualitative research wants to give important data used in product development,
such as information on consumer demands, ways of behaving, and use scenarios.
Many of these methods has advantages and disadvantages, and they can all benefit
from being combined. Interviewee 3 responds how WBS and grant charts
implemented during covid -19 to hameedia’s organization.

c. What impact does technology have on the business?

Interviewee 1: Our organization is heavily technically advanced. Because of the


growth of innovative technology, our company has taken on a new aspect.
Customers are extremely focused with specific advancements, as well as we are
always in the time continued of home step delivering in the upcoming years, for
example, the impact of online transactions just on existing consumers or even the
website visits has become a huge element of the impacts of technology. 

Interviewee 2: All enterprises will be affected by technological development.


Adjustments in basic functional areas will be forced by technological change.
Management will be held more accountable for the organization's results, putting a
greater plan into place, judgment, govern, and communication.

Interviewee 3: “yes well! The impact of technology on Hameedia has significantly


improved given the pace at which goods or services are sold, including both
production and communication. Because of technological advancements in the
workplace, employees have grown more productive than ever before during this
pandemic. Which used to take a lot of time, can now be completed in minutes.”

According to Interviewees 1, Interviewee 2 and Interviewee 3 simply state as
lacking technology, businesses will probably likely fail to reach everything that has to
be done. Therefore, Technology is used by hameedia’s to improve company
communication, manufacturing, stock control, and record keeping.

Conclusion and recommendation


As I have mentioned above, for Hameedia organizations, this was a year of severe
difficulty, but also of great opportunity. The company has been using a variety of
methods and approaches to build successful processes. Working from home offers
both benefits and drawbacks to employees. When an employee works from home,
and they are no longer isolated areas. It's possible that the current pandemic would
make an impact on how we operate in the future. Employees' perspectives and
interests about workplace flexibility and the distribution of duties for the future were
affected by their mostly positive experiences with home working during this time.
Employees are always looking for non-monetary rewards that help them succeed
while also helping them save money, thus the motivation methods used are
excellent. For example, we also supply them with loyalty cards, monthly promotions,
and other advantages. Employee benefits have risen to greater levels as a result of
the Covid outbreak. As a result of growing job possibilities, employee migration, job
forms, and employment conditions, employee opportunities have grown.

In case consideration for each picked tool is presented in order to acquire good
findings from analysis to this research project. The use of both qualitative and
quantitative research methods leads to a greater information about the research
target. We've decided to conduct our investigation in a qualitative manner. In order to
improve the workplace, that project manager must perform a research study and
collect data about the workplace's troubles and issues involving. Observation and
interviews were both used in the inquiry. In the majority of situations, a reasonable
and suitable sample size is chosen. In order to obtain in-depth data and
appreciation, qualitative research approaches were applied in this study.

However the organization has a strategy in place to ensure that employees are
capable of completing their responsibilities without difficulty. The researcher believes
that Hameedia organization should investigate further. More solutions are needed
because the product needs equally skilled labor personnel. More steps should be
taken by the company to address the issues. Employees generally choose to
perform duties for and they are also properly prepared and have a strong interest,
thus the researcher believes with the selected samples that supplying them with
better appropriate role will help them execute their tasks better happily and boost
profitability.

Reflection on the report

a. The Lessons Learned from the Preliminary Research


I'd want to express my gratitude to my lecturer, MS. Samoo, who allowing me to
undertake preliminary research. She helped myself across the project by providing
me inspiration, making comments, and correcting any problems. The specific goal
defined by Hameedia can allow us to better understand the social, environment, and
economic impacts which would being placed on the organization in order to conduct
its commercial operations properly.

The assignment greatly supported me in identifying my skills and weaknesses, as


well as developing myself to conquer obstacles in general. Many of the faults that
occurred during this assignment will serve as useful lessons for my profession path. I
learned a lot about doing interviews and creating interview questions, and I acquired
a strong belief by performing the interview alone. While working on the project, I
faced certain difficulties, which happily my lecturer supported me with completely
overcome.

b. The learning of using quality research method


For review each area of the research investigation, an appropriate methodological
tool is used. Explanation against the other picked tool is presented in order to
achieve great findings from analysis. The nature of qualitative research study leads
to a better perception between research followers. The high-quality research strategy
I followed for my research proved to be quite beneficial to me during the process. I
selected to gather data through the qualitative method only with support of the
assessor because it is the best appropriate way for this assignment. Since it being
my first all go an interviewing, I was really stressed during the process. I were

managed to receive positive comments from the workers by doing the questionnaire

began studying it to confirm that the project's goals were met. I were prepared to
complete the project's goals and achieve my results inside the required format, along
with suggestions. I was indeed allowed to create a connections between staff and
customers, including way they communicate with one another as how personnel
support as concern for their clients.

c. Personal Reflection
The business management school I took at the British College of Applied Studies in
Kandy provided me with an absolutely clean motivation and development
perspective. I have gained a great deal of knowledge. I was concerned about
conducting this preliminary research at first. It can be investigated in addition to
making a research study more effective, and planned procedures and frameworks
are established within the project. The entire research is focused on the research's
declared objectives and goals. During this pandemic, a research project gave me
with an extremely demanding and exciting experience. By conducting this research, I
was ready to get back to improving my technical writing learning skills how and
where to effectively manage a project.

I realized that I needed to strengthen my work management skills and perform my


research in a much better organized manner in order to avoid any problems. From
now I’ll keep in mind I have a clear strategy in place, don't delay, and work on
exchanging ideas. My parents and sister, on the other hand, supported me in
properly overcoming these difficulties. Unless the interview was already over, I was
shocked that I had made it, that I had handled the situation well, and how I had
properly conducted a business interview. The interview is that more interesting and
risky aspect of the entire project. At first, I was afraid and worried. Making an
interviewing date is not the most difficult part. Preparing a questionnaire, on the other
hand, was the most difficult task. However, with the support from my lecturer and
classmates, I was managed to make a better questionnaire that allowed me to
collect condition that leads for my project.

Time managing is an important area of the project, and completing work allowed me
understand regarding arranging and actions, cost management, and working within
deadlines. By completing this report, I managed to understand quickly and in
scheduled. I realized that in order to avoid problems, I needed to enhance my time
management skills including doing my research in a much more arranged style. By
completing this assignment, I understood that my information gained is insufficient to
conduct research, I need some more practical experience.

I'd like to mention that every single task in this project took me one and a half months
to finish. I'm excited and grateful that I completed my project on schedule and in
keeping with the requirements. I was interested in determining my abilities and
drawbacks as a result of this research. I must also note that the lessons I learned
from this research project are useful. So, with this project management experience, I
would be qualified to perform many more projects similar in the future without even
getting concerned or besides myself, because it had allowed me increase my trust,
and my lecturer's amazing advice seems to have been important in finishing this task
on deadline. It gave me more personality. This assignment provided me with an
excellent aim to display my faults. And now I'm going to concentrate on my faults and
work on those. It will boost my confidence in my ability to achieve things in future.
