Just before a week of commencing the clearance process, call the


individual and inform them necessary details like:
1. it is much easier to process clearance using the HR system,
2. the process starts from the work unit they were present last,
3. provide the list of address / contact person the resigning
employee can call if different work units are not responding on
the clearance,
4. to keep following the status on the HR system by visiting their
near by Branch or office,
While you shall do the following to enhance the process:-
1. Send reminder emails for work units that shall always respond
to clearance process,
2. Prepare a schedule before hand and inform the resigning
individual when they shall come for collecting the clearance
document and certificate of  service

The collective time for the resigning employee depends on the


response rate of work units that give clearance
