basis once CUSTOMER formally confirm the intention by sign and return this Agreement by 12 June 2023 at
the latest.
If this Agreement is not fully execute by CUSTOMER by the above mentioned date, the HOTEL have right to
release the space.

GROUP CONDITION
o The rates are quoted on a per room per night basis.
o Inclusive of 21% prevailing government tax & service charge.
o Inclusive of VIP check in with cool towel and welcome drink upon arrival.
o Inclusive of daily buffet breakfast for maximum 2 persons in the dedicated Hotel’s Restaurant.
o Complimentary wi fi throughout the resort.
o Complimentary 2 bottles mineral water in the room, daily replenished.
o Complimentary tea and coffee facility in the room.
o Complimentary dedicated group check in area at the group lobby.
o Complimentary usage of hospitality desk at the group lobby area.

PRE AND POST STAY


Subject to availability, we are pleased to offer the group rate for three (3) days prior to the event and three
(3) days following the event. After this period, only The Best Available Rate will be offered.

BEDDING REQUEST
Bedding type will be subjected to Hotel’s availability.

THIRD PERSON RATE


Additional charge for extra person in the Main Resort (Deluxe Room or Grande Room) for age twelve (12) or
above is USD 50 Net/Night included extra bed and daily buffet breakfast.
Additional charge for extra person in the Palace Resort (Ayodya Palace & Ayodya Suite) for age twelve (12) or
above is USD 85 Net/Night included extra bed and daily buffet breakfast and Palace benefit.

CHILD POLICY
Two (2) children under four (4) years old is allowed to sharing the parent’s room using existing bed and
breakfast will be on complimentary.
Baby cot for children under four (4) years old will be subjected to its availability.
Two (2) children under 12 years old is allowed to sharing the parent’s room using additional extra bed and will
be charged 50% of the extra bed rate.

ROOMS CHECK-IN TIME


The check in time is from 15:00 hrs. Guest arriving earlier will be strictly subjected to Hotel’s availability.

ROOMS CHECK-OUT TIME


The check out time is 12:00 hrs. Late check outs will be subjected to Hotel’s availability.

Late check out until 18:00 hrs will be charged at 50% of the special group room rate.
Late check out after 18.00 hrs will be charged at 100% of the special group room rate.

GROUP CHECK IN
For your convenience, a special group checks in is available where prompt check-in and briefing facilities are
available.

PORTERAGE AND GRATUITIES


There is no mandatory charge applied at check-in or check-out for porterage.
Delivery of room gifts, a charge of USD 2 Net/Room/Delivery will apply. Room delivery/room drop for food
and/or beverage from outside company is strictly prohibited.

AIRPORT TRANSFER
Dedicated airport representatives are available for your group as optional with additional cost.
o Toyota Innova USD 20 Net/Car/Way max. 03 persons
o Toyota Hiace USD 100 Net/Car/Way max. 12 persons

CANCELLATION OR NO SHOW ROOMS


o Any cancellation made within 8 June 2023 to be considered as “no show”, will be fully charged

RELEASE PERIOD/ ATTRITION


To ensure that we have a good control of the number of rooms and availability for such an important event,

RESERVATION AND ROOMING LIST


The customer shall provide the hotel with a rooming list, containing all the information requested by the
Hotel on the group attending event, prior to (Due Date 12 June 2023) .The information requested by the Hotel
such as guest’s name and sure name, arrival date, departure date, room type, time of arrival, passport
number and issue date, date of birth and payment method.
If more rooms are requested than the number agreed herein, the additional rooms shall be subjected to
availability and if available, the best possible rate at the time of requesting the change shall be offered.

CHECK-IN & CHECK-OUT TIME


o Check -in time for equipment and supplies is at 00.00 hour. An additional charge is applicable for
requirement of earlier check-in time.
o Check-out time for equipment and supplies is at the latest completed by 06.00AM on the next day.
Additional charge is applicable for requirement of earlier check-in time or later than check-out time.

CHARGES FOR ADDITIONAL HOURS

PROGRAM / EVENT ARRANGEMENTS

OUTSIDE FOOD & BEVERAGE


o Should the Client opted for Food to be provided by an outside caterers a charge of USD 22.5 Net/Person,
the Resort will be responsible for any setup for outside Food arrangements.
o Corkage charges for outside beverages :
 USD 22.5 Net per Wine bottle opened
 USD 22.5 Net per Champagne/Spirit bottle opened
o Fully consumed or partly consumed are considered to be opened bottle and will be charged accordingly.

OUTSIDE CATERERS
The following requirements are applicable for Outside Caterers:
o The Client should obtain Loading Letter from the Resort for its Outside caterers, The Resort reserves the
rights to decline entrance for any failure in presenting the signed Loading Letter to the Resort’s Security
personnel,Loading access will be advised by the Event Manager and/ or Security Personnel.
o Caterers are responsible for disposing their own rubbish, All rubbish is to be transported and dispose
outside of the Resort area.
o It is STRICTLY PROHIBITED to dispose and/or pouring any sauces, liquid food, cleaning materials and/or
any beverages onto the grass.
o The Resort does not provide washing area, water and/or cleaning supplies, The Caterers should provide
their own requirements,Caterers are responsible for their own operating equipment and operations.
o The Caterers should provide a tent with flooring for their cooking and/or services area, The Resort
reserves the rights to discontinue setup and cancel the event for any failure of fulfilling this condition.
o The Caterers should provide a tent for their waiting staff and consult with the Resort as where the tent
will be installed,All Caterers staffs should be properly attired at all times (Company Uniform and/or Shirt
with sleeves must be worn at all times), Food is not to be consumed in the Resort’s Public Area.
o Smoking is STRICTLY PROHIBITED inside the Resort and ONLY allowed in the designated area.
o The use of guest facilities is prohibited.

SIGNAGES & DECORATION


o Flower boards brought into the Resort can only be placed in the designated area, Flower boards MUSTBE
removed from the Resort at the latest by check-out time, Failure to do so will incur in additional charge of
USD 300 Net regardless of the number of boards left behind.
o Banners, flags and backdrops can be placed only around the Event area.
o Nailing and stapling are STRICTLY PROHIBITED on building interiors (ceiling, walls, pillars, floors, furniture
and furnishings) and on all trees within the Resort area.
o Lighting should be installed using external ridging.

GARDEN APPEARANCES (TREES & PLANTS)


o The Client is responsible for all grounds and facilities and is liable for any damage to the Resort site
including grass, trees and plants.
o Prior approval have to be obtained for installation of Fairy Lights and Paper Lantern Decoration and/ or
any.

GENERAL CONTRACTOR
o The Client should obtain Loading Letter from the Resort, The Resort reserves the rights to decline
entrance for any failure in presenting the signed Loading Letter to the Resort Security personnel.
o All General Contractor’s staffs should be properly attired within the Resort area (Shirts must be worn at
all times), Food is not to be consumed in the Resort’s Public Area.
o Smoking is STRICTLY PROHIBITED inside the Resort and ONLY allowed in the designated area, The use of
guest facilities is prohibited, Parking area for contractor only on the designated area.
o Caterers are responsible for disposing their own rubbish, All rubbish is to be transported and dispose
outside of the Resort area.
o It is STRICTLY PROHIBITED to paint and saw inside the Resort.
o Installation of Electrical Cabbling should follow the instructions given Event Manager with priority to
safety as advised by the Resort,The Contractor should coordinate Resort Engineering Team to avoid any
electrical problems.
o Production Storage Boxes should be neatly placed in a designated area.
o The Contractor should provide insurance for all its workers and will release the Resort to responsible for
any accident occur on the Resort during the pre-setup or setup of the event as well as during the event,
The Client and its Contractor will release the Resort for any responsible for their staffs.

ELECTRICAL SUPPLY & EVENT EQUIPMENT


o The Resort will only provide 3.000 Watt of electricity, For any requirements for more than provided
electricity, the Client needs to arrange their own silent generator or submit a request through the
Resort,Placement of silent generators must be consulted with the Resort.
o The Client is obliged to coordinate placement of stage, lighting and sound systems with the Resort. Layout
of Event should be submitted to the Resort at the latest 30 days prior to event date.

ENTERTAINMENT CONTENT
The Resort is not responsible for any content and or the vendors contracted by the Client and the Client will
release the Resort from any dispute arises in relation with the entertainment content, vendor selection and all
related matters.

AMPLIFIED SOUND& SOUND CURFEW


o Maximum power for Amplified Sound is 80dcb.
o It is prohibited for the Client to administer an amplified sound check in the case of the Client order a Pre-
setup Event date prior to the actual event date.
o Permitted sound check time is after 11.00 hours on the event date for max. 1 hour.
o Amplified entertainment must conclude at the latest at 22.00 hours. This is in accordance with the local
ordinances and for the respect of surrounding hotel guests. The Resort will monitor and decide upon the
appropriate volume for any event both inside and outside.

INDEMNITY AND HOLD HARMLESS


The Organizer indemnifies Ayodya Resort Bali its subsidiaries, affiliates and its agents, contractors and
employees, against any and all claims, actions, damages, loss, liability, cost charge, expense, outgoing or
payment (including legal costs and expenses) whatsoever which, Ayodya Resort Bali pays, suffers, incurs or
becomes liable for in relation to the equipment supplied, the services or in respect of any breach of this
agreement by the Organizing Committee, act or mission or default or negligence on the part of the Organizer, its
agents, contractors or employees.

EVENT EXPOSURE
The Resort is authorized to take photographs and/or short videos during/ after event on the date set forth in
this agreement. No compensation will be given to the client. The Resort shall have complete ownership of the
footage/images, to be used only for purposes of digital publicity via social media including but not limited to
Facebook, Path, Twitter, Instagram, and Youtube and promotion purposes for the Resort. Full credit will be
given to the event name at the photograph or video title. The Client understands the footage remains the
property of the Resort.

EVENT PERMIT
The Indonesian Government requires a Meeting Permit for any kind of meeting held in the country. The
organizer is required to file this application directly with the government; alternatively your appointed ground
handler will be able to provide this service. To facilitate this process, the hotel will apply to the government
on your behalf; however a copy documents below should be submit no later than 30 - 14 days of your event
date :
 Copy of ID card/ Passport
 Copy of Family Reference Letter/ VISA
 Events program
 Application letter with company letter head
To proceed this permit the Submission fee is at USD 150 Net/Event will be posted to your master account.

FIREWORKS
The use of fireworks is ONLY permissible before 09.00PM and IDR. 1.500.000 Net/Event is applicable for the
firework’s permit. The Resort reserves the right to cancel the launching should the permitted time has been
passed. In the event of any Fire Wording of Logos will be launch. The Client should provide a flooring under
the stand of the Fire Wording to protect the grass and/ or properties of the Resort.

WET WEATHER PLAN


For event on our outdoor Resorts, wet weather plan would be:
o Weather Call at the latest is 15.00 hours on event day, where is the client decided to relocate the event
into any available indoor venue within the Resort and event setup will be done.
o The Resort will issue a Disclaimer Letter for any indecisiveness on the event relocation.
o Double table set-up on both actual and back-up venue will be charged at USD 10 Net/Person. Last-minute
cancellations of outdoor rental sites due to inclement weather will not be considered for refunds.

EVENT PLANNING DEPARTMENT


We understand the importance of individuality. For this reason, we nominate one experienced and dedicated
professional from our Event Planning Department to liaise solely with you to assist with all aspects of your
event. Whether it is creative menu design, technical facilities or the needs of your special guests, they will be
able to offer guidance and advice during all stages of planning and will remain as your on-site contact during
the event proper.

*This is not the Actual Billing as the above is a minimum F&B and Catering spends calculated based on the
current F&B and Catering requirement.

DEPOSIT POLICY
1. An Initial deposit One night deposit of IDR 22.400.000nett is required by 19 May 2023 This deposit is non-
refundable and non-transferable if the group is cancelled at any time prior to group arrival.
2. Full payment of accommodation and known food and beverage coasts is required, with the group
rooming list, no later than 7 days prior group check in.
3. Full payment of all remaining charges is required prior to the group departure unless prior charge-back
facilities have been approved by the hotel.
4. A credit application form is required with the return of this contract unless previous credit references
have been established.

Payment can be made by cash or telegraphic money transfer. Should payment be made via bank transfer, please
make it payable to our banks accounts as follow:

If the above deposit policy is not strictly adhered to, the Ayodya Resort Bali reserves the right to release all
rooms and space reserved. Different credit terms or guarantee agreements must be established with the
Resort during the contract negotiation phase.

BILLING AND TERMS OF PAYMENT


Unless payment for the group’s incidental charges is guaranteed, credit card imprints or individual deposits
need to be taken upon check-in. Unless other arrangements are agreed to prior, all charges not covered by
deposits must be paid prior to departure.
If credit terms are agreed and payments are delayed, the hotel reserves the right to charge late payment fees
equivalent to the prevailing interest rate + 2%, as indicated by Bank Indonesia on all outstanding amounts. If
parts of invoices are under dispute, the non-disputed portion is to be paid immediately.

DEFAULT
If the Group fails to pay any moneys due under this Agreement or otherwise does not comply with its terms, the
Resort may terminate this Agreement and forfeit any deposit.

IMPOSSIBILITIES OF PERFORMANCE
This agreement will terminate without liability to either party if substantial performance of either party's
obligations is delayed, impeded or prevented by any cause reasonably beyond that party’s control, Such causes
include, but are not limited to, acts of God, regulations or orders or governmental authorities, fire, flood or
explosion, global war, disaster, civil disorder, curtailment of transportation facilities or other emergencies
making it inadvisable, illegal or otherwise impossible to provide the facilities or the services as to hold any
conference or meeting; sale of the hotel, any delay in necessary and essential construction or renovation of the
hotel, arrest or seizure under legal process, strike, lockout, work stoppage, other restraints of labor, either
partial or general, from whatever cause.

CONDUCT OF FUNCTION
The Group must conduct the Function in an orderly manner, in full compliance with the applicable laws, and
comply and ensure compliance by all persons in attendance with the same and with all reasonable directions of
the Resort, The Group must ensure no disturbance or nuisance will be caused to the Resort or any of its guests
or visitors or neighbors, The Resort is entitled to remove any person from the Event whose behavior, in the
opinion of the Resort, is objectionable, improper or undesirable.

FIRE, LIFE & SAFETY


The Ayodya Resort Bali places a very high priority on the safety and security of our guests. The Resort has
implemented extensive measures to ensure such priorities including equipping guest rooms and public areas
with sprinklers and smoke detectors.

SECURITY
Your organization acknowledges that Ayodya Resort Bali cannot be responsible for the safe keeping of
equipment, supplies, written material or other valuable items left in the function rooms, accordingly, your group
Acknowledges that it will be responsible to provide security of any such aforementioned items and hereby
assumes the responsibility for loss thereof,
