INVIGILATORS

GENERAL INSTRUCTIONS TO INVIGILATORS FOR EXAMINATIONS

❖ Invigilators must remain vigilant at all times. They are not allowed to bring hand phones
or chromebooks/books into the exam hall. Invigilators are also strictly not allowed to
mark while invigilating.

❖ Invigilators are responsible for the proper conduct of examinations in accordance with
the instructions given below.

PREPARATIONS BEFORE EXAMINATIONS

❖ The Level Supervisor is responsible for distributing the examination pack, containing all
examination materials including the student name list 10 minutes before the start of the
examination.

❖ All invigilators should be present in the examination room at least 20 minutes before the
start of the examination.

❖ Question papers should be laid out face downwards.

❖ The Announcements to Students (detailed in the Attachment below) should always be


read out prior to the commencement of each examination.
❖ Should there be a need for clarification exam papers, invigilators can signal to the level
supervisor who will regularly patrol their exam halls. Level Supervisors will call exam
setters. No attempt to interpret the examination questions for students is allowed.
Note: Any response to a query should be announced to ALL the students.

ADMISSION TO THE EXAMINATION

❖ Students should be admitted to the examination room 15 minutes before the start of the
examination.

❖ Equipment (pens, pencils etc) to be taken into the exam hall must be taken into the
examination hall in a clear plastic bag.

❖ Students are not allowed to wear hoodies or sweaters during the exams. They should fold
the mentioned items neatly and put them INSIDE their bags.

❖ All bags should be arranged neatly in TWO rows at the back of the exam hall.

❖ Get students to clear their pockets to ensure no unauthorized materials are kept.

❖ Attendance is to be taken by the invigilators ONLY. You need to mark a tick for
present students and write ‘Absent’ for absentees.

❖ You need to fill in the Absent Form for each absent student. You need to ask the Level
Supervisor for the form.

ANNOUNCEMENTS TO STUDENTS BEFORE THE START OF THE


EXAMINATION
The following announcements should be made to students before the start of the examination:

● “Electronic gadgets and communication devices such as hand phones are not allowed.”

● “Please complete the front covers of the answer books before the start of the
examination.”

● “Please check that you have the correct question paper, correct number of pages and
note the duration of the examination”.

● “Any queries regarding the question paper should be raised to your invigilators. The
answer to any query will be announced to all students taking the examination”.

● “If you require to leave the room temporarily you will be accompanied by an invigilator”.

● “You will be informed of the time 30 minutes and 15 minutes before the end of the
examination”.

● “Once the examination has been completed, students must remain silent and in their
seats until all exam papers are collected.”

● “Please read carefully all the instructions on the examination paper.”

MISCONDUCT
If any student is suspected of cheating or other misconduct, the following procedure should be
followed:
➢ The student’s question paper should be removed and endorsed by the invigilator .

➢ Any unauthorized materials should be removed and attached to the student’s original
question paper.

➢ The level supervisor should be notified of the misconduct immediately after the incident
and the invigilator will be advised if the student is allowed to proceed with the
examination or not.

➢ Teacher will have to fill up an INCIDENT REPORT FORM to be attached to the exam
paper.

END OF EXAMINATION
❖ The examination should be stopped punctually, and students should be advised to remain
in their seats until the exam papers have been collected.

❖ Students are not allowed to leave the exam hall earlier even if they have completed their
exams.

❖ The Invigilator should count the number of exam papers collected and complete and sign
the Invigilator’s Report on the exam envelope.
❖ Exam papers and all other materials should be returned to the Control Team in an orderly
manner. (Near Ustazah Sumaya’s Office)

MARKERS

MARKING/CHECKING INSTRUCTIONS

● Marking should be done on the same day of the examination. Teachers may take one
additional day to complete their marking at the discretion of the exam control
committee. Marking should take place inside the school.

● In the event any student writes more than one answer for any particular question, the
answer should be considered WRONG.

● In the event any student leaves any question blank, the teacher should indicate by putting
a cross on the blank.
Example : 23 – 10 = ____________

● If a student obtains a zero for any question, the number should be spelt out (ZERO) . Do
not indicate the zero mark in numeral form (0).

● Marking has to be done in red ink and the checking of the papers should be indicated in
blue ink with the word CHECKED.

● After marking and checking, papers should be arranged according to the name list before
the papers are being returned to the control.

● HODs will decide the checkers list.

● Marks should be written on the name sheet provided and keyed in into the ERP and
google gradebook IMMEDIATELY.

● Result analysis must be completed in the google gradebook and HODs will fill up a form
to confirm that marking and checking has been completed.
