INTRODUCTION

Serving as a case study, this document describes a solution and way forward recommendation for the
issue regarding improper/incompletely daily log closed more than 365 days earlier..

ISSUE DETAILS

While opening a new Daily Log, the following system message is prompted by IPAS to the user
regarding improper closure of any daily log belonging to a date more than 365 days ago:

“The file whose input log entry is MU/E/2015/25 and whose number is MU/O/2015/1 has not
been captured yet”

RATIONALE

The aforementioned IPAS system message serves the purposes to advise/remind the user specific
IPAS business practice for performing data capture timely after file reception was not followed
properly. Although IPAS allows delay in performing data capture up to the time defined through
specific configuration setting, it is strongly recommended the user should perform data capture timely
and before the maximum permissible delay time to be set through the configuration described below.

CONFIGURATION SETTING FOR MAXIMUM DELAY PERMISSIBLE FOR DATA CAPTURE

The following parameter (as highlighted in the screen below) under the ConfigParam view in IPAS
Designer is used to determine the maximum number of days for which the data capture of an
application file or user document, which is received, can be kept pending

In this use case, the “Max days with file or user doc capture pending” was set to 365 days.

Note: This parameter is generally set to 365 by IP Office, meaning that any application file or user
document can be data captured within one year (365 days) from the date of file reception.

RESOLUTION PROVIDED/RECOMMENDED

Non –technical aspect:

To perform data capture timely after file reception.

A solution was provided to resolve the reported issue as described below.

1. Close all previous daily log(s) properly by performing the following actions:
a. Click on the link 'Check affected files' to confirm that all the affected files are specified
b. Click on the link 'Check file capture' to confirm that all the application files are data
captured
c. Click on the link 'Check userdoc capture' to confirm that all the relevant user documents
are data captured

2. Create a respective new daily log (if required)

3. Open the newly created daily log. The operation is performed successfully
