PREFACE

Life is a long journey, wherein each one of us crosses a number of milestones.


Every stoppage teaches us a lot. I, being a student of management learnt abundant
of things and was blessed with lots of learning, events, projects and seminars.

The BBA Program has enriched my learning by adding on to the world of

EXECUTIVE SUMMARY

This report is about my summer internship program with, ESPI VISA


CONSULTANTS Pvt. Ltd. In this comprehensive report, I have discussed about
every major aspect of OPERATIONAL Department, which I have observed and
perceived during my internship program.

In this report you will find the detail about the Company right from its
incorporation to the current position. Along with it, the process, policies, and
procedure of the Company are also discussed in detail. During my internship
program, I mainly worked in OPERATIONAL PROCESS Executive Trainee. All
the departments of the company have been discussed in detail and all the policies
and procedure have been discussed thoroughly.

As the main purpose of internship is to learn by working in practical environment


and to apply the knowledge acquired during studies in a real-world scenario in
order to tackle the problems using the knowledge and skills learned during the
academic's process, in this report the details analysis of the organization has been
done and all the financial, technical, managerial and strategic have been evaluated
to analyze the current position of the organization.

This internship report covers many important aspects which are basically related
with the TRAINING and working of OPERATION Department.

In the end the learning and experiences sections consist of all the policies,
processes, practices and procedure which I have undergone through and learned
during my internship program.

1.To carry on in India or abroad the business activities of providing consultancy,
advise, guidance pertaining to immigration and allied services, work permits, visa
related services including student Visas, permanent visas, tourist visas, overseas
placements services, overseas settlement services.

ATTAINMENT OF MAIN OBJECTS ARE
1.To acquire, build, construct, improve, develop, give or take in exchange or on
lease, rent, hire, occupy, allow, control, maintain, operate, run, sell, dispose of,
carry out or alter as may be necessary or convenient any lease-hold or freehold
ands, movable or immovable properties including building, workshops, warehouse
stores, easement or other rights, machineries, plant, work, stock in trade, industrial
colonies, conveniences together with all modern amenities and facilities such as
housing, schools, hospitals, water supply, sanitation, townships and other facilities
or properties which may seem calculated directly or indirectly to advance the
company's or objects and interest either in consideration of a gross sum of a rent
charged in cash or services.
2. To apply for, purchase, acquire, and protect, prolong and renew in any part of
the world any patents, patent rights, brevets d'invention, licences, protections and
concessions which may appear likely to be advantageous pr useful to the company
and to use and turn to account and or grant licences or privileges in respect of the
same and to spend money inexperimenting upon and testing and improving Or
seeking to improve any patents, inventions or rights which the company may
acquire or proposes to acquire.
3. To establish, provide, maintain and conduct or subsidize research laboratories
and experimental workshops for scientific and technical researches, experiments
and tests of all kinds and devices and/or to sponsor or draw out programmes for
promoting scientific, technical, social, economic and educational research and

studies and researches both scientific and technical investigations, endowing or
assisting laboratories, workshops, libraries, lectures, meetings and conferences and
by providing or contributing to the award of scholarships, prizes, grants ○ students
and generally to encourage, promote inventions of any kind that may be considered
useful to the company.
4. To form incorporate, promote, purchase, acquire, undertake or takeover, the
whole or any part of the business, profession, goodwill, assets, properties (movable
or immovable), contracts, agreements, rights, privileges, effects, obligations and
liabilities of any persons, firm or company or companies carrying on all or any of
proposing to carry on or ceasing to carry on any business, profession or activities
which the company authorized to carry on or the acquisition of all or any of the
properties, rights and assets of any company or subject to the provisions of the
Companies Act, 1956, the control and management of the company or the
undertaking of the acquisitions of any other object or objects which the opinion of
the Company could or might directly or indirectly be beneficial or advantageous to
the Company and to pay all or any of the costs and expenses incurred in connection
with any such promotion or incorporation or takeover or acquisition and to
remunerate any person, firm or company in any manner, it shall think fit for
services rendered or to be rendered for and in respect of such promotion or
incorporation or takeover or acquisition or in obtaining subscription of or the
placing of any shares, stocks, bonds, debentures, obligations or securities of any
such company or companies, subject to the provisions of the Companies Act, 1956.
5. Subject to the provisions of applicable law to procure registration, incorporation
or recognition of the Company in any country state or place and to establish and
regulate agencies for the purpose of the company's business and to apply or join in
applying to any parliament, local government, municipal or other authority or
body, Indian or foreign for any rights or privileges that may seem conducive to the
Company's objects or any of them and to oppose any bills, proceedings or
applications which may seem calculated directly or indirectly to prejudice the
Company's interest.

6.To enter into partnership or any arrangement for sharing or pooling profits,
amalgamations, union of interest, co-operation, joint venture, reciprocal
concessions or to amalgamate with any person or company carrying on or engaged
in or about to carry on or engaged in any business, undertaking or transactions
which this company is authorized to carry on or engaged in any business,
undertaking or transactions which may seem capable of being carried on or
conducted, so as directly or indirectly, to benefit the company.
7. To acquire or amalgamate, absorb or merge with any other company or
companies or to form promote subsidiaries having objects altogether or in part
similar to those of this company.
8. To manage, sell, dispose of, let, mortgage, exchange, redeem, underlet, grant
leases, licences or easements or turn to account otherwise dispose of in any manner
the whole of the undertaking or any properties (movable or immovable), assets,
rights, and effects of the Company or any part thereof, on such terms and for such
purposes and for such consideration as the company, may think fit and in particular
for shares, debentures, or securities of any other company having objects altogether
or in part similar to those of this Company and in the event of winding up of the
Company to distribute among the members in specie or kind any properties or
assets of the Company or any proceeds of sale or disposal of any properties of the
Company, subject to the provisions of the Companies Act, 1956.
9. To enter into arrangements with any government or authorities municipal, local
or any persons or company in India or abroad that may seem conducive to the
objects of the company or any of them and to apply for, secure, acquire, obtain
from such government, authorities persons or company any right, privileges,
powers, authority, charters, contracts, licences, concessions, grants, decrees, rights
which the Company may think desirable.
10. To pay all costs, charges and expenses of and incidental to the promotion,
formation registration and establishment of the Company and charges in
connection therewith and or make donations (by cash or other assets) to
remunerate by allotment of fully or partly par shares or by call or option on shares,
debentures, debenture-stocks or securities of the or any other company or in any
other manner, whether out of the Company's capital or profit to any person, firm,
company assisting to place or guaranteeing the subscription of other security of the
company in or about the formation or promotion of the Company or for any other

reason which the company may think fit subject to the provisions of the Companies

11. To promote or join in the promotion of any company or companies including
subsidiary companies (wholly owned or partly owned) for the purpose of acquiring
all or any of the properties, rights of and liabilities of the company or for any other
purposes which may seem directly or indirectly calculated to benefit the Company
and to underwrite shares and securities therein.
12. To do all or any of the above things in India or in any part of the world as
principals, agents, contractors or trustees and either alone or in conjunction with
others.
13. Subject to Section 58A of the Companies Act, 1956 and the rules framed there
under and the directives issued by the Reserve Bank of India, to borrow or raise
money or to take money on loan on interest from banks, financial institutions,
government agencies, co-operative societies, persons, companies, firm, in such
manner as the Company may think fit and in particular by the issue of debentures
or debenture-stock, perpetual including debentures, debenture stock convertible
into shares of this Company or perpetual annuities and in security of any such
money borrowed, raised or received to mortgage, pledge, hypothecate, or charge
the whole or any part of the properties (movable or immovable) assets or revenue
of the Company present or future including its in called capital by special
assignments or to transfer or convey the same absolutely or in trust and to give the
lenders power of sale and other powers as may be deemed expedient and t○
purchase, redeem or pay off any such securities. The Company shall not carry on
any banking or insurance business which may fall within the purview of Banking
Regulations Act, 1949 or the Insurance Act, 1938, respectively
14. To make, draw, accept, endorse, discount, execute, negotiate, assign and issue
cheques promissory notes, drafts, hundies, bonds, railway receipts , bill of
exchange, bills of lading warrants, debentures, and other negotiable or transferable
instrument.
15. To guarantee the payment of money secured or unsecured by or payable under
or in respect of any promissory notes, bonds, debenture stocks, contracts,
mortgages, charges, obligations, instruments and securities of any company or of
any authority, central, state, municipal, local or of any person whomsoever whether
incorporated or not incorporated and generally to guarantee or become sureties for

the performance of any contracts or obligations of any person, firm or company

16. To guarantee or become liable for the performance of the obligations and the
payment of interest on any debentures or securities of any company, corporation or
association or a persons in which such guarantees may be considered beneficial or
advantageous, directly or indirectly to further the objects of the Company or the
interest of the members.
17. Subject to the provisions of the Companies Act, 1956 to accumulate funds and
to invest or deal in with and invest money belonging to the Company in any
deposits, shares, stocks, debentures, debenture-stocks, kinds obligations, or
securities by original subscription, participation in syndicates having similar
objects and to tender, purchase, exchange and to subscribe for the same and to
guarantee the subscription thereof and to exercise and enforce all the rights and
powers conferred by or incidental to the ownership thereof.
18. To open and operate current, overdrafts, loan, cash credit or deposit or any
other type of accounts with any banks, company, firm, association or person.

1.7 ESPI- A PRIVATE COMPANY

 Restriction on transfers and number of members.


1. The Company is a Private Company Limited by shares within the meaning of
Section 3(1) (ii) of the Act and accordingly.
(a) Restricts the right to transfer its shares, in the manner and to be extent as
hereinafter provided
(b) Limits the numbers of its members to 50 (Fifty) but, not including.
(i)Persons who are in the employment of the company

The first presents a general diagnosis of the sector including that of Analysis of
market, environment and business. The second chapter is the framework concept
and research hypotheses. The third chapter develops the methodology used to meet
the research hypotheses. The fourth chapter is interested in analyzing the results
descriptively as well as by testing hypotheses. The fifth chapter concludes this

5.1 GENERAL RULES & REGULATIONS

 Maintain Punctuality in both Office open time and scheduled meetings.


 Every employee should provide the details of sales and purchases with
invoice to the Account Dept. If in case Account Dept. raised any question to
anyone regarding the same, everyone have to provide an explanation.
 The Organization can terminate your service by giving you one month’s
notice or salary in lieu thereof. Similarly, a notice of one month will be
required from you while leaving the organization, for enabling the
Organization to make necessary arrangement for your replacement.
However, the Organization reserves its right to relieve you on receipt of your
resignation without waiting for the notice period to expire without
compensation thereof.
 Your employment is subject to transfer/deputation at other offices of the
Organization or any of client’s place or at the place of any associate’s office
at the discretion of the management of the organization. A protest in this
respect will be regarded as breach of discipline, for which employee is liable
to dismissed.
 Your employment will be covered by the terms & conditions herein laid
down and the service rules and regulations of the Organization as modified
from time to time.
 Depending on the work load and need of the organization, your duty hours
would vary to suit the rush and extend the convenience to our clients. Protest

 Absence for a continuous period of ten days without prior approval by your

 Being late more than 15 minutes for more than 3 times in a month will be
count as half day.
 It is strictly advised to avoid unnecessary gossip during office hours.

 Mobile ring tone volume should be kept as low as possible.
 It is advice to used internal call and IP message service for internal matter
coordination with each other.
 During office time do not leave the office premises without permission or

the working hours at office and at field. The person coming to office and
going to field without the ID card will not be allowed to work and also will

contain the name of the person and official contact details and designations

 To new employees, ID will be issued on completion of probation period.

 The dress code guidelines are comprised in three parts:

 Presentable
 The following guidelines must be always observed regardless of the
formality of dress required in any situation:
 Every employee has to wear Formals/ESPI T-Shirt on Monday to Friday and
Casual / ESPI T-shirt on Saturday; irrespective of gender, position, place of
work and so on.
 Occasionally employees are allowed to wear casuals but, all clothes must be
appropriate for the office. Clothes worn typically in workouts, outdoor
activities or recreation ventures are not allowed.
 For female employees, clothes that are too revealing or inappropriate for a
specific situation are prohibited.
 Employees should avoid clothes with stamps that might be perceived as
offensive or inappropriate.

 Working Hours & Attendance Policy

 You will be on probation for a period of 3 months from the date of your
joining. Any decision to the contrary or to extend the probation period will
be communicated to you by the Human Resource Department.
 Company reserves the right to reduce/dispense with or extend your

 You will not be treated as automatically confirmed after completion of
probation period till you are issued confirmation letter in writing.

 Leave Policy

 Short leave
 2 hours at once in a Month, Short leaves cannot be availed in parts.
 Un-availed short leave within the month, the short leave will not be carry
forward to next month.

 Paid Leaves
 The entire leave quantum is categorized as Casual Leave & Sick Leave
for confirmed employee.
 All confirmed Employees are entitled to 12 - casual leaves and 6 - sick
leaves in a year. 3 Casual leaves per quarter with prior intimation.
 Un-availed Paid leave within the quarter will be not be carry forward to
next quarter.

 Half day leave


 A half-day means 4:30 hours of working in a day excluding the lunch
break of 30 minutes.
 The reporting time for availing half day leave will be 10:00 AM to 2:30
PM for first half, 2:30 PM to 7:00 PM for Second half.

 Salary Entitlement Policy

 Salary shall be paid on 7th to 10th day of every subsequent month.


 Salary directly credits in employees accounts.
 Minimum 26 days of working from date of joining is must for entitlement to
salary.

 Separation of Employment

 Age of Retirement - 58 years


 Management reserves the right to reduce the minimum age of retirement
looking at the employee’s medical fitness and his ability to fulfill his/her job
profile.
 This policy is applicable to all permanent employees for all purposes, the
age as registered with the company at the time of employment and proof of
date of birth as per records alone shall apply.
 Management has the right to extend the continuation of services after
retirement on contractual basis for a maximum of two more years subject to
the employee’s Medical Fitness and his ability to contribute to the success of
the company in his/her function as perceived by the Management.

 Resignation and Notice Period:

 In the event of resignation, the employee shall be required to serve 1-


month notice period, which shall be reckoned from the date of
resignation.
 During the notice period the employee shall not be allowed to avail any
leaves. If the employee avails leave during the notice period shall it get
extended by such excess leaves. However, if the employee remains
absent intentionally to delay his/her relieving date then management shall
be free to take the decision in the best interest of the company.

Internship Problem 1:

Not Being Assigned Enough Work: As surprising as it may sound to some

great but feel less appreciated and this can be greatly discouraging.

Solution: This internship problem can be solved by the intern understanding and
keeping in mind that hard work doesn’t go neglected for a long time. It is to
believe that someone is watching and perseverance can do a lot for you. If you are
in this position right now, take it from us that you won’t continue to be overlooked
if you persevere and continue on your good work.

Internship Problem 4:

Having Competitive Co-interns: Most times, it’s not that your co-interns are
competitive and trying to outdo you. It is just them being hardworking and high-
spirited. This can get you intimidated sometimes especially when you didn’t expect
that your internship will be a competitive one.

Solution: This might be difficult for you to accept but by the end of your
internship, you will find that competitive co-interns make your internship
experience better. When you feel the pressure to work, you’ll find that you learn
more than you would have without the competition. We recommend you take part
in the competition and work towards doing great works everyday. You’d be
surprised how this will enrich your internship experience.

Internship Problem 5:
Having Issues with Time Management / Self-Management: It’s your first
experience at a job and you’re yet to adapt to the new changes in your lifestyle and
the work conditions and environments. This is unlike college where your lateness
to classes and assignment submissions were tolerated. This makes you frustrated.
You feel you are not good enough or not trying enough. Time management is
being difficult for you. Not to worry, we have a solution to this.

Solution: Even though we have a solution this, it is not something you can learn
easily – forming a new habit. Self and time management can be achieved only
through forming new habits and consciously adopting a better organized life. Make
conscious efforts to work on this problem and watch it form into a new habit.

Internship Problem 6:

Having Supervisors Who Forget That You’re New to the Field: This can be
quite challenging. You have a supervisor who completely forgets you are new and
always require that things be explained to you. They assign projects to you and
leave you without detailed explanations.

Solution: Ask! You never go wrong by asking. Ask your supervisor when you
don’t understand a thing. Just ask! For the many times it happens, just ask!

Internship Problem 7:

You Receive Inadequate Compensation: You accept an internship having read


the outline of the compensation that will come with a certain amount of
compensation. Maybe you find that you are doing much work than you are being
compensated for and this internship problem usually hurts.

Solution: The first thing you need to understand is that you are intern and interns
receive lesser pays than fulltime employees. This is because of their short-term
contract and the learning experiences you gain. However, if you the compensation
is too low and doesn’t meet your day to day expenses, you can reach out the HR to
make your complaints. This situation can be corrected. Most times, interns are
usually afraid to ask such questions but what they don’t know is that their
employers are always happy to rectify issues like this. This is especially employers
who value good working relationships with their workers.

Internship Problem 8:

You are Hesitant to Ask Questions: This is usually one of the biggest internship
problems. You get a good internship only to find that it is strictly professional. And
as a result, asking questions become difficult for you because you fear being
judged or thought dependent and self-insufficient.

Solution: Don’t be afraid of being judged. Your employees know you are an intern
and will probably have loads of questions to ask. They almost always wait in
expectancy. Don’t assume something is wrong or right. Just ask questions. It is
always better to write your questions down and then ask.

7. WORK RESPONSIBILTY TAKEN

The internship period provided me an opportunity to get first-hand knowledge


about the operations of the operational department of ESPI Visa Consultants.
Understanding various consultant roles and responsibilities can help you determine
if it is the right career choice for you. Consultants help their clients achieve their
business goals by providing expert advice in their field of proficiency. They work
with their clients and advise them on matters such as business development,
finance, marketing, sales, operations, customer service, accounting and financial
planning, among others. Some major responsibilities of a consultant include:
 Understand the requirements, issues and needs of the client's short-term
or long-term goal
 Conduct interviews and surveys to collect data and analyse it to identify
and understand a problem or issue
 Present and explain their findings to the management
 Advice or suggest improvements to achieve the objectives of the
organisation
 Formulate plans to implement their recommendations and provide
training to the staff to cope with the changes
 Evaluate the situation periodically and make changes as and when
required
 Discover the most suitable solutions for any problem at hand
 Help their client's business become more functional and successful
