People Operations Associate – First-Round Work Exercise

Thank you for your interest in joining One Acre Fund! As part of our recruitment process, we are asking
candidates selected to move beyond the first-round phone interview to do a take-home work exercise.
This work exercise has two components - please submit both responses within 3 hours of receiving the
instructions..

Scenario: ​You are leading an in-person HR onboarding orientation at our Kakamega HQ office in Kenya
for a group of 20 new staff, all of whom are starting at the middle-management to senior leadership
level. This orientation highlights key HR information (payroll and benefits, health insurance, work travel,
etc.), followed by a Q&A portion for attendees. Most to all staff members attending this training will be
located globally across One Acre Fund’s various countries of operation, and once they complete their
onboarding at Kakamega, they will return to their permanent work location.

1) Spreadsheet Contact List

One of your tasks for the orientation is to collect basic employee information to confirm this matches
our Human Resources Information System (HRIS). Typically, staff members would directly update their
personal information onto the platform, but the current third-party HRIS is down for maintenance for
the next week. You know the importance of having this key information before the new hires depart
Kakamega, so you decide to collect all updates by hand, and then create a spreadsheet to upload
address changes to an HR database at a later time.

Please see attached names, addresses, and other contact information that you’ve been provided by our
staff.

Please create an Excel spreadsheet to write up and organize this information. We may need to do a mass
upload with some or all of the information and/or analyze it, so please keep that in mind when creating
your spreadsheet and presenting the info.

2) Research Staff Question & Draft Email to One Acre Fund New Hires

During the Q&A portion, one newly hired staff member requested more information on how to obtain a
business visa for work travel planned to other OAF countries of operations. Other attendees, of various
nationalities, are also interested in learning the answer. You agree to send a follow-up email to the new
hires with more information on this topic.

Please research this staff question and draft an email to orientation attendees, sharing:

1) How to obtain a business visa to other countries of operations. ​(For the purpose of this exercise,
please limit research to business visas for: Rwanda, Tanzania, and Malawi.)
2) What is the cost for the business visa for these countries.
3) Links to any resources where they can learn more about business visas.

The email should be clear and informative, but ​succinct​!

Please note:​ We do not expect you to do a lot of research on obtaining business visas for the countries
listed above. As noted, the email should be accurate and informative, but brief, so you should not need to
do a lot of research to write it. The primary focus of your time should be spent on completing the Excel
Contact List and on drafting the email.
