The meeting was attended by key representatives from LGU Gerona and the TSU
Extension Team, consisting of various component heads and staff members.

Training and Development - Basic Computer Maintenance and


Troubleshooting:
During the meeting, the Training and Development session titled "Basic Computer
Maintenance and Troubleshooting" was discussed. The training would take place on
July 20, 2023, at the LGU Gerona venue. A total of 25 employees would participate in
the training. The attendees were informed that they should bring their laptops or office
computers to the session, and 3 desktop computers would be provided for practical
demonstrations. Additionally, participants were advised to bring their smartphones for
online activities using platforms such as Kahoot. The LGU took responsibility for
printing the necessary notes and modules for the training session. The ATAG Team was
assigned the task of creating and submitting the training modules by Friday, July 14.
The ATAG Team was required to arrive at the venue by 8:00 am on July 20 for setup
purposes, with the training session scheduled to start at 9:00 am. It was emphasized
that the delivery of the training should be lively and interactive, incorporating gamified
elements like Kahoot and Menti. The HR Department of LGU Gerona would provide
prizes for the gamified activities. Ms. Valarie D Simbol was designated to coordinate
with Sir Aljon regarding the availability of an online evaluation for the training activity.
The action points included ensuring participants bring their laptops and smartphones,
submitting the training modules, timely setup by the ATAG Team, delivering engaging
training, and coordinating the evaluation.

Software Development - HRIS Implementation:


The HR department presented the HRIS system from Veterans Bank (VB), including its
various modules. It was noted that a similar HRIS request had been submitted to CCS
(College of Computer Studies) for development, but there had been no response as of
yet. The ATAG team expressed their opinion that partnering with Veterans Bank for the
implementation of their HRIS system would be more beneficial as it is ready for
deployment, while developing a new system with CCS would require more time.
Action points included assessing the network readiness for compatibility with the VB
HRIS system, assessing the HR computer units for any necessary upgrades, inquiring
about the minimum software and hardware requirements from Veterans Bank,
scheduling an online meeting with VB involving the ATAG team, and discussing the
implementation of the biometrics module in alignment with organizational policies.

Policy Formulation:
Sir Ron presented the draft email policy, and Sir Marlon of the ATAG Team shared
another version following the SANS template. It was suggested to start with a general
policy that would serve as the foundation for all other IT-related policies. The policies
should align with regulatory bodies such as the Civil Service Commission and relevant
laws and rules. The TSU IT policy was presented as a benchmark. Compliance with
data privacy laws was highlighted as a significant consideration. The designation of the
Data Protection Officer (DPO) was yet to be decided by the Office of the Mayor. Sir
Marlon Gamido would provide templates for various policies, including acceptable use,
email, website, NDA (Non-Disclosure Agreement) for HR use, and biometrics collection
policies. The email policy was identified as a priority, with a particular focus on usage
guidelines for office email accounts.

Data Network Development:


Sir Edjie M. Delos Reyes presented the proposed improved design for the data network
infrastructure, along with its benefits and potential enhancements. The estimated cost
and bill of materials were shared. Sir Gil suggested exploring the possibility of using
Peer-to-Peer wireless connectivity to connect some offices, considering its cost-
effectiveness and flexibility. It was necessary to identify the availability of the budget
for the data network development from the Mayor's Office. In case of limited budget,
prioritization based on cabling needs was recommended. Sir Gil was assigned the task
of sourcing the required items from potential suppliers, ensuring accessibility. The LGU
was responsible for identifying the appropriate procurement scheme in compliance
with RA 9184.

The meeting concluded with clear action points for each agenda item, ensuring that the
necessary tasks were assigned and responsibilities were established. The participants
left the meeting with a shared understanding of the next steps to be taken to advance
technology and governance within LGU Gerona.
