CONSTITUTION of ahinsan jss old students 2000 class

ARTICLE 1: NAME AND ADDRESS


Section 1:
Name: The name of the group shall be known and call ahinsan jss old students 2000 class
Section 2:

Address: The postal address of the group shall be P.O.BOX 3092 ahinsan

ARTICLE 2:AIMS AND OBJECTIVES OF THE GROUP


• To unite all old students and help each other

• To reorganize ourselves and give back to the school and the community
• To seek at all times the welfare and protect the interest of its members and support
each other in times of need.
• To encourage beneficial social and cultural activities which foster unity and advances
the course of the group)
• To use various platform to encourage our youth the importance of education

ARTICLE 3: MEMBERSHIP
• Membership shall be open to all who completed ahinsan jss in 2000
• Where it is considered membership would be detrimental to the aims and activities of
the group, the Executive committee shall have the power to refuse membership or may
terminate or suspend the membership of any member by resolution passed at a
meeting.

• Any member of the group may resign his/her membership by providing the secretary
with a written notice.

ARTICLE 4:ADMINISTRATION OF THE GROUP


The group shall have the following executives constituting of the

• Chairperson
• The Vice Chairperson
• Secretary
• Public relation officer
• Organizer

• Financial secretary
• Treasurer
• Women organizer
• Chaplain

And any additional officers the group deems necessary at the meeting required to carry out the
required activities.
2.The above officers shall form the executive committee and their term of office span for two years and
may be eligible for re- election for another term of office.

ARTICLE 5.

FUNCTIONS OF THE OFFICERS.

A.THE CHAIRPERSON

1.Shall take full responsibility for the smooth running of the group.

2.Shall summon all meetings in conjunction with the secretary.

3.Shall preside over all meetings

4.Shall supervise the executive committee in the general administration of the group.

5.Shall be a principal signatory to the groups bank account

6.Shall monitor the expenditure of the group

7.In the absence of the chairman he/she shall delegate the vice chairperson or any executive member to
preside over meetings.

B.VICE CHAIRPERSON

1.Shall assist the chairperson in the performance of his/her duties

2.Shall act and perform the duties of the chairperson in his/her absence

C.THE SECRETARY

1.Shall in consultation with the chairperson summon both general, executives and emergency meetings.

2.Shall record all deliberations at all meetings and circulate minutes of meetings to members.

3.Shall take custody of all legal and administrative documents of the group
4.Shall perform any other duties as may be assigned by the chairperson or vice chairperson.

5.Shall prepare annual reports for the group

6.Shall be a signatory to the groups bank accounts.

D.TREASURER

1.Shall bank(deposit) all monies collected on behalf of the group in the groups account

2.Shall keep and operate all ledger accounts

3.Shall prepare financial statements of the group and present to members at a General meeting

4.Shall be a signatory to the groups account

5.Shall perform any other duties as may be assigned by the chairperson.

6.Shall receive and collect all dues and contributions

7.Shall perform any other duties as may be assigned by the chairperson.

E. PUBLIC RELATION OFFICER

1.Shall be the porter of all meetings

2.Shall be the official communication officer of the group

F.ORGANISER

1.Shall organise for all meetings

2.Shall act as a liaison officer among members and executives

3.Shall ensure the smooth organization of all social activities of the group.

4.Shall liaise with the chairperson and secretary to perform his/her duties

5.Shall perform any other duties as may be assigned by the chairperson.

G.women organizer

1.shall organize the women for all purposes

2.shall advice the committee on matters on the affairs of the women

h.chaplain

1shall handle matters on religion most especially good morals of the group

ARTICLE 6.MEETINGS AND QUORUM

1.GENERAL MEETING
There shall be a monthly meeting of the group. The time and venue of the meeting shall be determined
by the executive committee.

2.EMERGENCY MEETINGS

There shall be emergency meetings when the need arises.

3.EXECUTIVE MEETINGS

There shall be an executive meeting at least 5 times in the year and the time of meeting would be
determined by the executive members)

4.ANNUAL GENERAL MEETING.

It shall be held in December during which financial statement for the year shall be presented.

5.QUORUM

The quorum for General and emergency meetings shall be 10 full members. The quorum for the
Executive meeting shall be 3 members of the executive)

5.ATTENDANCE

It is compulsory for all members to attend meetings. Any member who for some reasons cannot attend
meeting must ask permission to absent him/herself.

ARTICLES 7. FINANCES

1.Any money acquired by the group ,including donations ,contributions and bequests ,shall be
paid into an account operated by the Executive committee in the name of the group .All funds
must be applied to the objectives of the group and for no other purpose .
2.Bank account shall be opened in the name of the group. Any deeds, cheques etc relating to
the groups account shall be signed by at least two (2) of the following committee members:
chairperson, treasurer or secretary.
3.Any income /expenditure shall be the responsibility of the treasurer who will be accountable
to ensure funds are utilized effectively and that the group stays within budget .Official accounts
shall be maintained and will be examined annually by an independent accountant who is not a
member of the group .An annually financial report shall be presented at the AGM. The groups
accounting year shall run from 1st January to 31st December
1.A registration fee of TEN CEDIS shall be paid.

2.Every member shall pay a monthly dues of GHC20 and shall be subject to yearly review.

3.The group shall operate a savings account with any bank approved by the group

4.The signatory to the accounts shall be the chairperson, secretary and treasurer.
5.Cash withdrawals from the group accounts shall be done by the treasurer and any one of the
following, the Chairperson or Secretary

6.All cash deposits in the bank accounts shall be done by the treasurer and/ or the financial secretary.

ARTICLE 8. AUDITING

1.All accounts and books of the group shall be audited every six months

2.An audit team of three shall be appointed from among members at the annual general meeting in the
last quarter to audit the accounts of the group and present a report within two months.

3.When found necessary external auditors shall be appointed.

4.Audited accounts shall be read at the first general meeting of the year.

ARTICLE 9. WELFARE AND BENEFITS FOR MEMBERS

A.DEATH

In the event of a member losing the following relations, these amounts shall be paid

1.CHILD……………1000GHC

2.SPOUSE ………..1000GHC

3PARENTS ………..500GHC

4.CONTRIBUTOR(SELF) ………2000GHC

B.DISASTER

When any member suffers from any disaster he/she shall be visited and an amount to be given shall be
levied on all members depending on the situation and his/her contribution.

C. MARRIAGE

In the event of the above, a member shall be given a cash money or a gift value of ghc……300

D. OUTDOORING

In the event of the above, a member shall receive a donation of ghc….200 for three delivery.

E. SOCIAL ACTIVITY

The group shall organize social activities as and when necessary.The budget and any contributors for
such activities shall be predetermined by a committee appointed by the executive members and funded
by the group.

ARTICLE 10.DISCIPLINE AND PUNISHMENT

1.A member(s) who absent him/herself more than three meetings without any justifiable cause or
reasons shall be liable to a fine of ghc20. Exceptions will be made for those outside the region of the
meeting
2.Members whose conducts are not consistent with the views of the group shall have their attention
drawn to such conduct and given the opportunity to desist from such conducts. If there is no change in
their conduct, then their membership may be terminated upon deliberations at a general meeting)

DUES.

1.A member who fails to pay his/her dues for three consecutive times ceases to be a member.

2.If the member decides to rejoin the group ,he/she shall pay dues owe to date outright with a penalty
of ghc50.

3.All dues paid before the dismissal of a member is not refundable.

4.Members shall benefit from their contributions when they have paid their dues for six month
continuously.

ARTICLE 11. AMMENDMENTS

This constitution shall be subject to an amendment only by two- thirds of members voting in favour of
the amendment at a general meeting
