Subject: General Services Operating Procedures Number: OP-GS-001

1. PURPOSE

The purpose of this document is to outline the internal and external services provided by the General
Services section for OGC and OAGC employees within Obeikan Glass Company to assure the convenience
and comfort of employees and contractors.

2. RESPONSIBILITY

2.2. General Services Coordinators
2.3. Security Officer

3. PROCEDURES

These procedures apply to Obeikan Glass Company at OGC and OAGC.

3.1. Employee Personal Requests


3.1.1. OGC and OAGC employees shall make a request by filling the designated form to be sent in an
email to the General Services coordinators for personal requests including:
• Office supplies for new or current employees. Refer to R-GS-001
• Devices such as camera, walkie-talkie, etc. Refer to R-GS-008
• Internal maintenance
3.1.2. OGC and OAGC employees shall seek the approval of their superiors accordingly for further
processing.
3.1.3. Non-local OGC and OAGC employees are provided with the option of living in the company’s
accommodation facility.
3.1.3.1. Accommodation requester shall complete the designated forms to be sent in an email.
Refer to R-GS-005, R-GS-006
3.1.3.2. Accommodation requester shall seek the approval of their superiors
3.1.3.3. Obeikan Glass Company adheres to accommodation maintenance. Refer to R-GS-010
3.1.3.4. In the event of resignation or contract termination, employees shall complete the
designated form to be sent in an email for clearance purposes. Refer to R-GS-007
3.1.4. Non-local OGC and OAGC employees are provided with transportation service back and forth

between the company and the accommodation facility. Refer to R-GS-002.


3.1.4.1. Transportation is a monthly service, and fees amount is deducted accordingly based upon
prorated calculations
3.1.4.2. Employees could temporally suspend the transportation service while on vacation, in
order to pause the monthly deduction during that period

3.2. Business Trips


3.2.1. Given the need for managerial personnel and superiors to travel frequently to attend conferences,
meetings, or for training purposes, Obeikan Glass Company adhere to cover those expenses
including:
• Flight tickets
• Transportation
• Hotel reservation
3.2.2. OGC and OAGC employees shall make a business trip request through the company’s online
portal (Oracle).
3.2.3. OGC and OAGC employees shall make a request for hotel reservation by filling the designated
form. Refer to R-GS-009.
3.2.4. OGC and OAGC employees shall send the form through an email to the General Services
coordinators along with the following:
• Accurate personal information
• Date of arrival and departure

3.3.Lunch Subscription and Tea-room Services


3.3.1. Obeikan Glass Company provides free of charge and paid services to assure the convenience and
comfort of employees, including:
• Tea room refreshments
• Lunch subscription (monthly deductible amount)
• Vendor machines
3.3.2. OGC and OAGC employees shall fill the designated form for lunch subscription.
Refer to R-GS-011.
3.3.3. As for overtime operators and workers, meals request arrangements should go as followed:

3.3.3.1. Team leader shall report the total number of workers to the shift supervisor.
3.3.3.2. Shift supervisor shall send an email with the required information to the General Services
supervisor for further processing.

3.4. Celebratory Events Arrangement


3.4.1. Obeikan Glass Company is keen to commemorate departmental or corporate level achievements
and monumental milestones.
3.4.2. OGC and OAGC team leaders, managerial personnel, or superiors shall send an email to the
General Services section detailing the following:
3.4.2.1. Occasion information and purpose
3.4.2.2. Type of the event (internal or external)
3.4.2.3. Number of attendees
3.4.3. Budget is decided upon event requirements.

3.5. Security
3.5.1. OGC and OAGC employees and contractors shall use either gates to enter or exit the company.
3.5.2. OGC and OAGC employees and contractors shall prove their identity by showing their work ID.
3.5.3. OGC and OAGC employees and contractors shall present other necessary documents in
accordance with the work regulations.
3.5.4. Heavy vehicles such as shipment trucks, containers, cranes, etc. shall use gate 1 to enter or exit the
company.
3.5.5. Vehicles entering the company from both gates 1 and 2 are thoroughly inspected for:
• Metal containers such as cans, trays, aluminum foil, etc.
• Gas cylinders
• Animals
• Weapons

3.6. Complaints and Suggestions


3.6.1. OGC and OAGC employees shall submit their insights of the provided services by emailing the
General Services coordinators or filling out the designated form. Refer to R-GS-012.
