School Campus Maintenance Procedure

1. Purpose

The purpose of this Standard Operating Procedure (SOP) is to provide a detailed guideline for the
effective and efficient maintenance of the school campus. This SOP aims to ensure that the school
environment remains clean, safe, and conducive to learning for all students, staff, and visitors.

2. Scope

This SOP applies to all maintenance activities performed within the school campus, including but not
limited to cleaning, repairs, landscaping, waste management, and general upkeep of facilities and
equipment.

3. Responsibilities

3.1 Administration Manager:

Oversee and coordinate all maintenance activities within the school campus.

Ensure compliance with safety regulations and protocols.

Maintain a record of maintenance activities and schedules.

Provide necessary resources and support for the implementation of the maintenance procedures.

Communicate any specific requirements or changes the maintenance staff.

3.2 Maintenance Staff:

Carry out assigned maintenance tasks as per the schedule.

Report any maintenance issues or concerns to the Facility Manager promptly.

Adhere to safety guidelines while performing maintenance activities.

4. Procedure

4.1 Cleaning and Sanitization:

Develop a cleaning schedule detailing the frequency and specific tasks to be performed.

Ensure all classrooms, corridors, restrooms, and common areas are regularly cleaned and sanitized.

Use appropriate cleaning agents and equipment for different surfaces and materials.
Dispose of waste in designated bins and follow proper waste management practices.

4.2 Repairs and Maintenance:

Conduct regular inspections to identify areas or equipment in need of repair or maintenance.

Prioritize and schedule repairs based on urgency and impact on school operations.

Document repair requests and ensure timely resolution.

Maintain a stock of commonly used repair materials and supplies.

4.3 Landscaping and Grounds keeping:

Develop a landscaping plan to maintain an aesthetically pleasing and safe environment.

Schedule regular maintenance activities such as mowing, trimming, weeding, and pest control.

Monitor irrigation systems and ensure proper functioning.

Dispose of garden waste in designated areas.

4.4 Equipment Maintenance:

Create a schedule for routine inspections and maintenance of furniture and equipment such as desks,
offices, fans, ACs, HVAC systems, generators, and audio-visual equipment.

Keep a record of equipment maintenance activities, including repairs and servicing.

Follow manufacturer guidelines for maintenance procedures and intervals.

Ensure proper storage and handling of equipment.

4.5 Emergency Preparedness:

Develop an emergency response plan that includes procedures for evacuations, power outages, fire
incidents, and natural disasters.

Conduct regular drills to familiarize staff and students with emergency procedures.

Maintain emergency supplies and equipment, such as first aid kits and fire extinguishers.

Update the emergency response plan as needed based on feedback and changing circumstances.

5. Communication

5.1 Training and Awareness:


Provide training to maintenance staff on the SOP and specific procedures outlined within.

Conduct regular refresher sessions to ensure understanding and compliance.

Create a centralized location, such as an intranet or notice board, to post relevant information and
updates.

5.2 Reporting and Feedback:

Establish a system for maintenance staff to report completed tasks, issues, or suggestions.

Encourage open communication and feedback from all stakeholders regarding the effectiveness of the
SOP.

Address reported issues and suggestions promptly to continuously improve the maintenance process.

5.3 Information Dissemination:

Communicate the SOP to all relevant parties, including staff, faculty, and contractors.
