Executive Summary

This report is prepared as requirement of the MBA program of Shanto-Mariam


University of Creative Technology. This focus on three month working experiences in
Sundarban Courier Service (Pvt.) Ltd. I tried my best to provide a clear idea about
Operation activities.

This report contains six chapters. First chapter deals with Introduction, origin, objective,
scope of the report, Mission, Vision, Limitations, Methodology, etc. In Second chapter is
the Organizational profile of Sundarban Courier Service (Pvt.) Ltd. where I have tried to
show an overview of Sundarban Courier Service (Pvt.) Ltd. and its theoretical
background, History, Services, organogram etc . Third chapter deals with SWOT
analysis. Fourth chapter contains Competitive analysis. Fifth chapter contains Ratio
Analysis. On the Sixth chapter discussed with the Findings, Recommendations,
conclusion and Reference.

The report has been made by a careful review of published annual report, case study &
discussion with responsible persons of Sundarban Courier Service (Pvt.) Ltd. who are
engaged & connected with my related department. While working with Operation
division in Sundarban Courier Service (Pvt.) Ltd., I have tried to find out some problems.
Sundarban Courier Service (Pvt.) Ltd has inefficient employees, lack of online facility,
insufficient number of Transportation, etc.

At last, I have tried to give some recommendations against problems of Operation


division such as arranging proper training to the employees, launching online service,
sufficient number of Transportations, etc.

Introduction to Report

1.1: Organizational overview
Sundarban Courier Service (Pvt) Ltd. the first and fastest courier pioneer in the field of private
sector in Bangladesh, since 1983. Sundarban courier service is a privately owned company which
is anindependent business. It is a large organization and one of the top five courier service in
Bangladesh. Sundarban Courier Service (Pvt.) Ltd had started its journey in the private sector when
Biman Bangladesh Airlines stopped their service in Bangladesh. Sundarban courier service (Pvt)
Ltd is the founder of the courier service association of Bangladesh.
Sundaraban Courier Service (Pvt). Ltd has been expanding regularly on the basis of requirement
and opportunities sought. Accordingly it has developed footprint throughout Bangladesh in each
and every District and at the same time it is maintaining offices in may key areas besides the
districts. This is a strategic plan for the Company to actually make itself available to all within their
fingertips. With more than 140+ offices it has made its presence felt in the remotest of locations. In
addition to that it has expanded with nominated Agents which are 700+ throughout the Country.
This has helped Sundarban to actually do strategic planning on the basis of requirements and at the
same time ensure serviceability too all.

Major Customers
Sundarban’s main customers are mainly government offices, corporate, banks and small medium
business. They also focus on individual parcel delivery but comparatively it is low in number.
Sundarban’s Major Corporate customers are: Aarong, Rokomari, Ajker Deal, Walton
Bangladesh, Singer Bangladesh, Uttara motors, Oppo Bangladesh, Dutch Bangla Bank, Daraz,
Evaly. City Bank, Creative Solution, Realme Bangladesh, Progoti Insurance Ltd.

Origin of the Report


As a student of Business Administration, I had to complete a 90 days attachment with any
organization. My attachment was with Sundarban Courier Service (Pvt) Ltd, and I worked as an
Intern from December 10, 2021 to March 10, 2022. And that period, I collected information
regarding preparing a report on Operation Activities of Sundarban Courier Service (Pvt.) Limited.

Job Duties
 Documents financial transactions by entering account information.
 Substantiates financial transactions by auditing documents.
 Reconciles financial discrepancies by collecting and analyzing account information.
 Prepares payments by verifying documentation, and requesting disbursements.
 Prepares special financial reports by collecting, analyzing, and summarizing account
information and trends.

Rationale of the Study
I have decided to study on Operation Activities of Sundarban Courier Service (Pvt.) Limited. As
a student of MBA majoring in AIS, its important to apply my analytical knowledge in practical
world and to find out what result comes out. This will help me to find out the gap between my
educational knowledge with the practical world. The internship program I worked under Finance
& Service Control Cell that helps me a lot to bridge this gap and increase my analytical
knowledge. As a student of major in AIS, it’s more important to me to enrich my analytical
knowledge more than the theoretical knowledge. This paper however attempts to find out the
Operation Activities of Sundarban Courier Service (Pvt.) Limited. And to find out what is the
present situation of Sundarban Courier Service (Pvt.) Limited.

Objectives of the Study


The main objective of this report is to gather practical knowledge regarding Courier system
and operation. This practical orientation gives us a chance to coordinate out theoretical
knowledge with the practical experience. The following objective for this practical oriented
in Couriers given below:

 To describe the Operation Activities of Sundarban Courier Service (Pvt.) Ltd.

Methodology

In this study, I have used two methods of data collection sources. I have used both the
primary sources and the secondary sources to complete this report

Primary Source: Primary source or primary information is what we can get from direct
involvement with the subject in question. In my case, I have gathered my primary
information from working in the company. While working in Sundarban Courier I have
worked with people not only from my department I had to work with people from almost
all the departments.

In this process, I got to know about the policies of the company, its management
practices, marketing plans, and other things like that. I got the chance to interact with the
customers and the merchants and got to know about their opinions and their expectations

Secondary source: Secondary sources are the materials that have already been published
or the studies that have already been one on the subject. It is a private limited company
they maintain some sort of secrecy in giving information to the general public so I did
not many such reports or writings. So I took help from the people that have been an
intern in this company before and had done a thorough study for their internship reports.
I took their works for reference and also found some other work on the internet

Limitation of the Study

The study also has some limitations. First of all data finding of Sundarban Courier Service
(pvt) Ltd was a trouble some work because of shortage of time. Secondly, adequate and in-
depth well-organized literature was not available because a few researchers endeavored to
work on such project in the past. It is a private limited company they maintain some sort of
secrecy in giving information to the general public. The officers of Sundarban Courier are
always busy with their works. As a result they could not make enough time to talk to me.

 This Report doesn’t show the total operation procedure of Sundarban Courier Service
(pvt) Ltd.

 Department were ignored for study due to the time constraint.

 Some data could not been collected for secrecy of the management.

 The time stipulated for the Internship program for clear understanding the operation
system of Sundarban Courier Service (pvt) Ltd. was not adequate enough.

An organizational chart is a diagram that shows structure of the organization and it also show
an employee’s designation, position and relation with the organization and organizational

SCS follow taller hierarchical structure. They have many levels of hierarchy. The span of
Control is narrow and it is very easy for the employee to get promotion in short time.
Employee has to report their team leaders and then up to operational management. They have

to follow long chain of command. Junior has to work in under a supervisor and each
supervisor under works so many employees. Employee have to get command from supervisor
and follow indication after doing the work they have to report their supervisor. Sometime
supervisor monitor their subordinate activates its help them to guide properly their
subordinates.
SCS take their decision centrally. Top management has all rights to take their decision. Top
Management didn’t take any direct opinion from their employee. If any employee has any
Opinion he or she can express opinion to his or her supervisor and supervisor passed it to
their top management. By using top hierarchy level they are getting some benefits. The
advantages they are getting by their tall hierarchy level are discussion below:
 Management structure is very clear.
 Every supervisor control smaller number of subordinates it means employees are
closely supervised by their supervisor.
 The function of each layer is clear and distinct. Its help employee identify their
responsibility.
 Progression and promotion ladder are very clear.
 Advantage will be there and there will be some disadvantage also. UCBL employee
faces some problem to work under tall hierarchy level. Sometime it is a reason for
extra stress.
 Sometimes freedom and responsibility of the employee is restricted.
 They need a longer time for decision making and approval needed for each layer of
the authority
 Management cost is very high because manager has to provide greater amount than
sub ordinates.

system.

This is a special type of booking & delivery done with special care & we charge very
reasonable rate.

iv. Super Express Service:


This Service is extended for delivery within 8-24 hours in all District/Pourashova area.

v. Value Declared Service:


Our value declaration section is the most influential division of Sundarban Courier Service
(Pvt.) Ltd. We maintain money transfer from one individual to another, one family to another
family within Bangladesh. We don’t allow any commercial transaction regarding money
transfer from one company to the other and one office to another.

This Service is extended for the Bangladeshi expatriates. This Section receives & delivers
Bank drafts, Cheques, Documents, packages through our foreign agent. It is very easy to trace

While I worked for Sundarban Courier Service (Pvt.) Limited in the ales & acquisitions
division I tried to observe every details to gain as much knowledge as possible. I found that-

 They have a very well decorated system process from Operation to delivery to thecustomers.
 The Process of the way to handle a client in a proper manner.
 Each and every merchant gets registered both manually and digitally for security purpose.
Sometimes, information is taken via email. Information like- NID, photos for sign-up.
 Data like photo, NID are attached with every sign-up merchant forms at the end of every
working day to make sure there is no dissimilarity in numbers.
 Giving the proper date in really very important. It is both for the signups and the pick-up
orders.
 At the end of every working hour the operation manager makes sure that the every delivery is
completed in a right manner.
 Delivery products are divided based on zone, division, riders, etc.
 Special packaging for product safety is also required, which is like DHL packaging.
 Every executive is responsible for generating their daily work report at the end of every
working day and submits to the direct supervisor who is in-charge of that person.
 I have to work as much as executives, which means I need to meet the targets as well

Recommendations:

Throughout my job period, there are a few issues that traversed my psyche and I might want to
scribble down as a type of proposal for the organization. I personally think, there are some
issues need to be sorted out are-

 Sundarban Courier has almost 20000 customers depending on it. To maintain the
system more effectively and easily.
 In this system every customer can confirm his/her parcel has delivered or rejected and
how many quantity has the form being filled with and what they are.
 One of the biggest factors of online shopping is on time delivery and security. But
sadly these have been the major alarming factor and also challenge of Sundarban
Courier Service (Pvt.) limited
 Sundarban Courier Service (Pvt.) Limited is failing to provide quality security as the
number of seller is increasing day by day If they can increase their man power and
trained them properly they will easily provide a secure and fast delivery service in
Bangladesh.
 The online panel needs to be easier, since not everyone is tech friendly.
 Sundarban Courier Service (Pvt.) Ltd. is basically using Own logistics to deliver the
product outside Dhaka.
 More educated riders required they need to be generous and polite towards customers.
 More promotional campaigns also required for the company, not only offers providing
to the customers. But also the IMC strategies.
 There should be Courier Vans to provide the deliveries for the safety of the product.
Bulk amount deliveries can done on one trip.
 Many other product categories should also need to deliver along with the usualproducts
like t-shirts, gadgets. Cake & food delivery is also a demanding factor.
 Insurance required for the product damages. The process need to be fast, since there’s a
high chance for clients to switch.
 Online merchant registration required than manual. Manual signups require is more
time consuming.

booking system management officer should have enough knowledge in database
management. Proper information management system and employee efficiency have crate the
organization success. To create employee efficiency each employee gives a proper training.
In courier management system it is so complicated to reserve customer information so

generally old in the market of Bangladesh yet it has just turned out to be one of the fastest
