Dear parent
Your toddler can now go to school for the first time.
Or perhaps you would like to move your child from their current school to a different one.
The information in this brochure is important for you in both cases.
The choice of school is important. So take all the time you need.
If you would like to get to know the school better, you can always visit in advance.

All schools in Leuven organise Open Days


TIP
on Wednesday 15 February 2023 from 9 am to 12 pm
and on Thursday 9 March 2023 from 2 to 5.30 pm.

We work with an electronic registration system for all Leuven primary schools.
This brochure gives you information about the time of registration and enrolment in a nursery
or primary school in Leuven, Heverlee, Kessel-Lo, Wilsele and Wijgmaal.
All schools work with the same system.
This makes it easier for you as a parent and gives everyone an equal chance of enrolling their
child in their school of choice.
Via this website you can register your child not only for schools in Leuven but also for schools
in Herent, Oud-Heverlee and Bierbeek. For more information about these schools, consult
https://meldjeaan.leuven.be or the schools or websites in these districts.

How should you register and enrol your child?
IMPORTANT! FIRST REGISTER, THEN ENROL
There are 3 steps that you must take to register and enrol your child:

STEP 1: Register your child: register your child with the schools of choice via the website
https://meldjeaan.leuven.be
STEP 2: You will receive an e-mail and message in your personal inbox at https://meld-
jeaan.leuven.be. These will contain details about where you can enrol your child
STEP 3: Enrol your child: the school will contact you to complete the enrolment of your child.

Your child can then start school:


For older children who are changing school, that date will be 1 September 2023.

For children born in 2021 there are different entry dates:

When should you register and enrol your child?
Period 1: Priority for children who already have a brother and/or sister
in the school, and children of personnel
Registration: from Tuesday 10 January 2023 (9 am) to Tuesday 24 January 2023 (5 pm)
Allocation message: on Tuesday 14 February 2023
Enrolment: from Monday 16 February 2023 (9 am) to Thursday 23 March 2023 (5 pm)

Period 2: All children


Registration: from Tuesday 28 February 2023 (9 am) to Tuesday 21 March 2023 (5 pm)
Allocation message: on Friday 21 April 2023
Enrolment: from Monday 24 April 2023 (9 am) to Monday 15 May 2023 (5 pm)

Period 3: Enrolment period for all children who are still looking for a school
From Tuesday 23 May 2023 (9 am).

Important:
✓ Check the dates carefully and register within this period.
✓ You can always change your details during the registration period.

Period 1: priority for brothers and sisters and for children of personnel
If you already have a child in the school, or do you work at the school, then you get priority in
that school.

STEP 1: Register your child


When? From Tuesday 10 January 2023 (9 am) to Tuesday 24 January 2023 (5 pm).
Important! After this you will lose your priority status.
Brothers and sisters means all children that live at the same address, or have the same
father and/or mother even if they don’t live at the same address.
STEP 2: You will receive an e-mail or letter
On Tuesday 14 February 2023 you will receive an e-mail. This result will also be
available in your personal inbox at https://meldjeaan.leuven.be.
If you don’t receive any news on Tuesday 14 February 2023, please send a mail to
info@meldjeaan.leuven.be or call 016 27 26 17. It may be that a school doesn’t
have enough places and that your child is put on a waiting list. You can then register
your child at another school from Tuesday 28 February 2023 (9 am)
STEP 3: Enrol your child
The school will contact you to enrol your child
When? From Thursday 16 February 2023 (9 am) to Thursday 23 March 2023 (5 pm)

Period 2: registration and enrolment of ALL children
In advance: Get to know various different schools and select a number of them.

How?
✓ You can find all of Leuven’s nursery and primary schools in the schools list (see pages 10-13).

✓ Make a list of the schools in which you would like to enrol your child. You can find out how
many free places are available in the schools from 27 February 2023 at https://meldjeaan.
leuven.be (in the bar top right under ‘info over scholen’). You can enter as many schools as
you like. It is important to choose several schools. This will give you a better chance of an
enrolment. It won’t affect your first choice.

✓ Make a note of the schools in order of preference in the table below. Always put your
favourite school at number 1. For the first three schools you automatically have an extra
chance of a place.

STEP 1: Register your child


When? From Tuesday 28 February 2023 (9 am) to Tuesday 21 March 2023 (5 pm).
STEP 2: You will receive an e-mail or letter
On Friday 21 April 2023 you will receive an e-mail. You can also find the results in a
message in your personal inbox at https://meldjeaan.leuven.be.
If you don’t hear any news on 21 April 2023, then send a mail to
info@meldjeaan.leuven.be or call 016 27 26 17.
What happens if there is no place for your child? Then your child will be put on a wait-
ing list for all schools at which you registered. A place might become available for your
child at one of these schools.
The school will contact you in this case.
STEP 3: Enrol your child
When your child is registered, that doesn’t mean he or she is enrolled.
The school will contact you to complete the enrolment process.
When? From Monday 24 April 2023 (9 am) to Monday 15 May 2023 (5 pm).

Period 3: For all children who still have no place
Still haven’t found a place for your child in the previous period(s)?

On Tuesday 23 May 2023 (9 am) the open enrolments begin.

On Monday 22 June 2023 you will find an overview of the open places on the website
https://meldjeaan.leuven.be (bar top right under ‘info over scholen’).

How to register

Practical steps:

✓ Go to https://meldjeaan.leuven.be

✓ Watch the video clip to find out how the registration system works

✓ Choose a username and password

Remember your username and password; you will need them whenever you want to
check or change your details.

✓ Follow the steps on the screen

What do you need?

✓ A list of schools (or the school in the priority period for brothers/sisters and children
of personnel), and accompanying postcodes, where you want to enrol your child.

✓ Your child’s national registration number (see ISI+ card, the back of the Kids ID or a
sticker from your health insurance fund)

If your child has no national registration number, please contact one of the or-
ganisations listed (see page 16 and 17) or mail info@meldjeaan.leuven.be or call
016 27 26 17.

✓ If you don’t have a computer, you can go to one of the digipoints (see page 18) or
a school.

How are the open places distributed?
Distance and preference
For each school, all registered children are ranked according to 2 criteria: distance to the school
and preference for a school.
Each school can decide for itself whether to prioritise children who live close to the school
or the parents’ choice of school. The school chooses one of three options for allocating the
open places:
✓ 70% on basis of preference and 30% on basis of distance,
✓ 30% on basis of preference and 70% on basis of distance,
✓ 50% on basis of preference and 50% on basis of distance.

Preference:
For the first 3 schools at which you register your child, you get an extra chance of being allo-
cated one of the open places.

Distance:
As far as distance is concerned, the school takes into account the home address of the child
and possibly also the parent’s work address.
The distance is calculated as the crow flies.

The computer allocates each child to one school. A judicial officer ensures that the allocation
procedure is carried out correctly.

How to enrol?
1. Make an appointment with the school.
2. Go to the school to enrol your child.
3. The enrolment is only final once you agree to the school regulations and the pedagogical
aims of the school.

What should you take with you?


If possible, take your child’s Kids-ID or ISI+ card. If your child has no official document, the
school will find another solution.
All your child’s details will be noted on an enrolment form.

What happens if your child cannot be enrolled


in the school of choice?
If one or more of the schools higher up in your list of preferred schools has no places left, your
child will automatically be placed on the waiting list of the school(s).
You will then receive a notification of refusal. This is proof that your child has been placed on
the school’s waiting list.
The waiting list is valid until Friday 6 October 2023. For toddlers born in 2021, the waiting list
is valid until 30 June 2024.

The waiting list is only based on the criterion ‘distance from the home address of the child to
the school’. The ‘preference’ criterion is no longer relevant in this case.

What happens if a place does come free in one of these schools? Then the school will contact
you. If you like, you can still enrol your child in this school. You can do this even if you have
already enrolled your child in another school in the meantime.

Special needs primary education:
Leuven and surrounding areas 
In order to meet the specific requirements of certain children, there are also special needs
schools.

For enrolment in a special needs school, you will need a report for access to special needs
education provided by a centre for student guidance (CLB). You can find the addresses of the
CLBs on page 15.
A report can only be created following an investigation and advice.
It is therefore essential to contact the CLB in good time. Together we can find a suitable school
for your child.

The special needs schools have different registration and enrolment periods. Brothers and
sisters and the children of personable are enrolled from 6 February to 17 February 2023.
Other children can register from 27 March 2023 2pm to 21 April 2023 2pm.
