Part 1: Records Management System Case Study


Missing Files Case Study
To address this issue there is few things I will do. The following are some of the actions I will

take; I will speak to Ashley very calmly and explain to her how frustrating it gets when the files

cannot be found where they should be. I will then inform my manager as to what has been

happening. My suggestion will be to create a sign in sign out sheet. Create file cards to have

them signed, dated, and initialed when it is being used. This is going to make it easier to locate

when it has not been returned. For example, when I go looking for a file and I don’t see it the

file card will tell me when it was taken and by whom. Also, I would suggest that the files have a

time frame which it can be returned. For example, if Ashley borrows a file, she cannot keep it no

longer than three days.

Part 2: Managing Email


To effectively manage my email/inbox and have a specific workflow to maximize the use of my

time, these are some of the ways in which I plan to do so:

1- I will start by creating Color Coded Folders to put my emails into, for proper organization.

2- I will label these folders- Archive, Sales, Important, To Do, School.

3- I will take the time to sort through all emails, dating to a year back, and delete

everything that is unnecessary or junk.

4- I will color code each email.

5- I will place the color-coded emails into their appropriate folders.

6- The folders will be written in bold according to its importance.

7- I will check my email at least three times a day, morning time, right before lunch, and

just before my day is over.
