Overview of Time Processing
Overview

The Time Processing service has been built as a


cloud-native application that is highly scalable, and
buyers can use it in a variety of ways. The service:
▪ automatically calculates the hours worked based on
the clock in/clock out swipes
▪ automatically applies pay rules to determine standard
time and overtime
▪ codes time against the relevant purchase orders, cost
centers, work orders, and more
Timecards are then used to generate invoices in the
ERP solution and pay for resources or equipment

Term Definition
The person record found within the Time Processing service contains personal information required for individuals
Person record to be identified. Additionally, the assignment and work schedule information is stored in the person record.
A person record is associated to a single time template.

One or more time templates are assigned to a resource record grouping together all required information to
Time template successfully process time. These templates are highly configurable to accommodate both current known and
future unknown time keeping scenarios.

Time events are the actual clock-in and clock-out actions performed by resources. They are received in the Time
Time event Processing service via time gate pass system or time entry apps. Timekeepers can view, edit, and add time events
in the Time Processing service from the SAP Fieldglass user interface.
A time record defines a time period or duration for a particular task, activity, or event. Time records are processed
Time record into time bundles.
Time bundles are generated from a collection of time records which are grouped together over a period of time.
Time bundle These time bundles allow for time to be allocated to one or more rate/task categories or attributes. This data can
then be sent to one or more systems, including SAP Fieldglass.

1. The flow beings with either a badge swipe at a


gate pass system or time being entered in
manually via the desktop application or the
mobile app.
2. Once in the Time Processing service, the newly
created time events are validated and checked
for pairing (remember time-in and time-out)
based on the rules which have been established
throughout the configuration stage.

3. Once the pairing action has been


conducted, the time record is made
available. Time records are processed into
time bundles based on further grouping
rules. If needed at this point in the
workflow, the time bundle can be edited by
the timekeeper to define additional
attributes, such as overtime.
4. As soon as the time bundle is verified, the
completed time bundle is sent to the buyer
as a time journal.

The role of timekeeper

A timekeeper is a user either within the buyer or


the supplier organization who will be able to view,
create, and maintain relevant timekeeping items.
They will also have insights into the daily
tasks which are being completed by the
resources, in order to be able to properly allocate
the time.

Time may be defined as time spent on a certain


task, total hours, or standard time and overtime –
this is for the timekeeper to determine.

1. Click View in the menu bar and choose


Time Bundle from the dropdown menu.
2. Select the resource for whom you want
to allocate the time.
3. Click Allocate Further if you need to
further allocate time (e.g. to ensure that
standard time and overtime are correct).
4. Select the relevant Purchase Order
from the dropdown.

5. Select the Job Code from the


dropdown list. This will determine
the correct pay for the resource.
6. Choose the Supplier Agreements
from the dropdown.
7. Click Add, and then Submit.
