Chapter I

Introduction

This chapter includes the Background of the Study,

Statement of the Problem, Hypothesis, Scope and

Delimitations and Significance of the Study.

Background of the Study

Martin Gibbs (2013). A record is a set of data stored

in the table e.g., costumer record. A record in a database

is an object that can contain one more values. Groups of

records are then saved in a table; the table defines the

data that each record may contain. In a given database,

there are multiple tables, each containing multiple records.

Think of the rows and the columns of a typical

spreadsheet rows are horizontal and go cross the spreadsheet

from left to right, whereas columns are vertical and flow

down the worksheet. Since a new row creates a new entry in

table/spreadsheet. It is called a record. The same is true

in a database records stored in rows that make up the table.

The fields in the database are the columns. A fancy word for

a database record is a types. Study lessons on a relational

database may use this term additionally, the column can be

called an attribute, and that table or dataset is a

relation.

Records in the Database provide a practical way to

store and retrieve data from the database. Each record can

have different kinds of data, and thus a row could have

several types of information. A costumer record could

contain an I.D number, name, birthdate, cell phone number,

full name, Age, gender, Birthday, Address, Contact no. ,

Parents name, Grade and section, Email and status. A good

database design could include a primary key for the table.

This means that each record in the data set has one field

that is unique among all the records; it cannot be repeated

ID like Microsoft access let you easily set field to be the

primary key: this is usually a field that is auto numbered

and keeps adding as you add row/records to the table.

Statement of the Problem

The study aim to determine the percentage of the

Acceptability and Effectiveness of using student database

records system for Faculties in Gateways institute of

Science and Technology Cogeo Branch.

Specially, it sought to answer the following question.

1. How does student database records system prevents the

mishandling of students records and information?

2. How student database records system effective to use by

the Faculties of Gateways Institute of Science and

Technology Cogeo Branch in terms of:

Null – Hypothesis

This research conclude that the Student database

records system will not be accepted by the Faculties in

Gateways Institute of Science and Technology Cogeo Branch.

Significance of the Study

The Traditional of Schools, Teachers and to use the

records of the students in paper to keep it on their locker

in the School. To provide the fastest way of looking for the

records of the student. The researchers creates a program a

Student Database Records System, the purpose of this study

is to fasten the record findings of Student records

especially the Graduated students of the School

The following will benefits from this Study:

School:

The School will benefit such a way that the school

promotes a program. They exposed their students, teacher and

staff to an easy way to find records.

Faculties:

It will serve an easy way to find any records of the

students, Grades and past sections. Faculties that faces

problems finding old records this program will make it easy

and less stress for the Faculties.

Students:

It will serve as to easily find the student record, document

at the same time it take less time by using database record.

Researchers:

This research help the researchers to gain more about

making a system or application that is related to the

This study focuses on the Acceptability and

Effectiveness of using Student Database Record for

Faculties. This settled in Gateways Institute of Science and

Technology (GIST) by Information Communication Technology

students.

The respondent are 10 Faculties in Gateways Institute

of Science and Technology (GIST) Cogeo Branch. Academic year

2019-2020.

Chapter II

Review of Related Literature

This chapter includes the Local studies, Foreign

studies, Local literature and Foreign literature, Conceptual

Framework and Definition of terms.

Local Studies

Celeda, Pareja & Enriquez (2015) Changes in

Information Technology allow schools to utilize databases

and applications such as Student Information System thus,

making the accessing of records centralized. One of the

changes that came about is the online -based applications.

These applications improved the traditional transaction

processing systems. Thus, most universities switch to the

online-based system because of it is effectively to acquire

process, store and retrieve information from the Internet.

Moreover, the system is accessible to all students’

information. Philippine Best Training System Colleges is

still using manual system and paper-based student

information system. Staff finds it tedious in searching and

laborious due to repetition of processes done in filing and

updating of records. As main goals of the school to generate

and disseminate new knowledge and technologies that will

promote sustainable resource development and enrich the

competent and effective services geared towards efficiency

and economy" the current system is inconsistent with the

asserted school's main goals.

Eileen Bayangan (2016) This study aimed to improve the

efficiency of the existing Student Information System of

Kalinga State University Rizal campus. To attain this

objective, an assessment of the existing system was done

through observation and interview methods from the Acting

Registrar, Campus Secretary, Faculty Members and students.

Results reveal that the existing student information system

met the five requirements: reusability, maintainability,

security, usefulness and functionality and evaluation on the

system appeal of a quality software only to a “moderate

extent”. Moreover, reliability of the existing system was

given a “low extent” rating. Based on the assessment

results, the existing student information system was refined

to include suggestions such as the inclusion of online query

access, online accessibility of student information, and a

role-based security in the system. During the try-out of the

developed student information system, it was assessed with

“high extent” of effectiveness in terms of all system

components except for its usability and efficiency which is

rated as “moderate extent”. The developed Student

Information System provided greater satisfaction to the

users compared with the existing system for an efficient

querying of student information records, keeping the student

records in a more secured manner, and it gives more reliable

information records of students in Kalinga State University

Rizal campus.

Rochelle D. Pacio (2013) Benguet State University

(BSU) is still using the traditional manual and

paper-based student information system. With the

current system, the registrar and accounting staff

resource development and enrich the academic programs

of the university” and “to establish competent and

effective services geared towards efficiency and economy”

the current system is inconsistent with the asserted

school’s main goals.

Cantos M. G. & Rabago L. W. (2015) This study

describes a conducive and structured information exchange

environment for the students of the College of Computer

Studies in Manuel S. Enverga University Foundation in Lucena

City, Philippines. The system was developed to help the

students check their academic result every end of the

semester, make self-enlistment that would assist the

students to manage their academic status that can be viewed

in their mobile phones. This system would also help the dean

next semester. The researchers applied Hill Climbing

Algorithm search technique for the system particularly in

creating self-enlistment and finding the best set of courses

to the class schedule, and in projection of number of

sections to be created for the next semester. Rapid

Application Development (RAD) was utilized for the system

development; PHP as the programming language, and MySQL as

the database.

Jake Maggay (2018) This is a fully customized Student

Information and Accounting System of Cagayan State

University-Lasam Campus to facilitate the enrollment and

accounting process and to cater the needs of all the clients

and the staff in the delivery of frontline services. It is

also compliance to the mandate of the CSC in Section 5 of RA

9485 (Anti-Red Tape Act of 2007). This study followed the

framework of Design Science Research for Information

Systems, thus, the researcher identified the problems

encountered in the enrollment and accounting process,

of the study. The SIAS operates in multiple computer units

over the network having a centralized database for data

storage and retrieval. It has different integrated features

that support the needs of the frontline service providers

and the clients. The overall functionality of the SIAS

increased the efficiency of the frontline service providers

since most of the processes are computerized and automated.

The result of the survey along with quality of services,

accuracy of records and reports, and timeliness reveals that

SIAS is significant and effective instrument in the delivery

of frontline services.

Valina et.al (2010) In this work entitled “Network-

based student Permanent Record keeping and Enrollment System

of Balian National High School”. This System was made to

lessen the time and effort exerted by both student and

school employees. It is also made to give accurate reports

important part of any system. In the academic world,

information is especially very important and essential.

Students have to register for courses, take attendance,

quizzes, and exams and as well as check their scores. Years

after graduating from the school, students come back asking

for transcript. It is therefore very important to handle

students' records in a way that is accessible, maintainable

and secure. The manual method of cumulating and storing

student record is often prone to various degrees of human

error and is also unsecured making it exposed to

unauthorized personnel. This paper presents the design and

development of a biometric student record management that

provides an interface between student and the institution to

enable prompt checking of grades, as well as track their

progress and efficiently record each student's attendance

servicing student academic records. This will serve as an

efficient and accurate information management and quality

assistance in grade inquiry and TOR request for the students

and alumni. It reduces the queues in the retrieval of

student/alumni records and aims to cater faster processing

of documents requested by the students/alumni from the

Registrar’s Office such as copy of grades, checklist and

Transcript of Records. This will be beneficial significantly

 Microsoft Philippines Communications Team (July 3,

2016). Lyceum of the Philippines University has partnered

with Microsoft Philippines to upgrade its educational system

for more than 1000 faculty members and staff throughout its

5 LPU campuses. The partnership was formed to equip school

personnel in order to provide students the quality education

and services that the institution has been known for since

being established in 1952. “The new solutions brought new

improvements on the delivery of our services,” said Devy M.

Galang, Information and Communication Technology Director of

Lyceum of the Philippines University Manila Campus.  “Our

stakeholders became more productive. They are now equipped

with the 21st century information skills and knowledge.”

process by which individuals organise themselves, function,

records keeping is a core component of good governance and

records enable programmes and services as well as public

access to them. Archival records support a variety of

functions and help institutions and society exploit the

value of individual and collective experience. Student

records are particularly important records series in any

educational institution. Student records are created for the

student once they enroll on the programme of the

polytechnic. The completeness and reliability of the records

are critical to the polytechnic system itself and to the

student. The study relied on the case study method which was

qualitative and investigative. Data collected was through

interview and observation and analysed qualitatively. A

total of 15 people been primary users of student records

participated in the study. The records life cycle was used

as the theoretical framework. Finding revealed the absence

Feras Al-hawari (2017) This study discusses how the

software development team at the German Jordanian University

(GJU) adopted the project management and software

development processes in the ISO/IEC 29110 series to

implement a complex Student Information System (SIS).

Specifically, it identifies the key points to be taken into

consideration in the analysis, design, implementation,

testing, and deployment phases during the iterative and

incremental SIS development process. The SIS is a

distributed three-tier web-based application that enables

registrars to perform various tasks such as system setup,

admission, registration, grades processing, graduation, and

reporting. It was launched in the first 2015/2016 semester

and enabled administration to maintain a comfortable

learning environment, assess instructor performance, enhance

teaching practices, and improve course content.

System deals with the maintenance of University data,

records, instructions, and students information within the

University. UMS is an automation system, which is used to

store the informations, students record, and information of

courses. Starting from registration of a new student in the

college, it maintains all the details regarding the

attendance and marks of the student. The project deals with

the retrieval of information through an INTRANET based

campus wide portal. It collects related information from all

the departments of an organization and maintains files,

which are used to generate reports in various forms to

measure Individual and overall performance of the students.

Development process of the system starts with System

analysis. System analysis involves creating a formal model

of the problem to be solved by understanding requirements.

A new system designed and implemented by using the tools of

Microsoft Visual Studio 2010 (.Net Framework Environment)

and Microsoft SQL Server 2008 R2 to solve most of the

problems and obstacles resulting from the use of the old

methods and techniques. The main work of the software design

process included requirements analysis, database description

and logical structure design of the data. Database System

test results show that the database system meets the

requirements of each module with a graphical user interface

and simple procedures. Student data can be updated by the

administrator of the system efficiently, accurately in a

short time and in a flexible manner. Finally concluded that

adopted this new database student information management

system helps to accomplish the tasks at high speed and

accuracy, also helps the management of the college in speed

of decision-making, which helps raise the level of

performance of the college in general.

Samir El-Masri (2013) The Content Management System

(CMS) becomes an important technology in any educational

portal that will be used for organizing and facilitating

collaborative construction of contents within a consistent

framework. The CMSs have a wide range of features that will

satisfy the school communication needs between students,

faculty, administration, and community that are well served

by dynamic web sites. Consequently, the primary goal of this

work is designing an appropriate framework for the School

Content Management System (SCMS). This system adopts CMS

features for creating, editing, organizing, and publishing

content relating to different schools' activities. These

activities include school administrative works, course

management, and classroom management. We applied the Web

Engineering Method (WEM) which combining the characteristics

of UML based Web-engineering (UWE) and the Unified Software

Development Process (UP), a method used for situational

development of CMS-based Web applications.

Noraidah Sahari Ashaari (2010) One of the main

elements in educational portal is Content Management System

(CMS). CMS is a web application technology used for managing

contents on websites which easy to be updated by anyone who

uses a web form. By using CMS, teachers are authorized to

contribute materials for teaching purposes while the

students do their experiment to test their understanding of

the subject. Problem Statement: In order to monitor the

student's assessment progress and maintain the “engagement”

of the students to the curriculum and assessments'

activities, it is important for the parent to get the result

of the assessment via mobile services. Approach: This

research will concentrate on the analysis and development of

futuristic CMS model by using Web 2.0 development, but the

paper will explain the theoretical basis of this research

first. The characteristic of Flow Theory will be considered

to ensure the “engagement” of the student to the CMS exists.

Result: A CMS model which can be used in secondary school.

ICT Form five secondary schools subject will be used as a

Conclusion: With the proposed CMS, it encourages the

“engagement” of the students in doing their curriculum

activities and at the same time improve their level of

understanding in ICT subject. As for their parent, they will

receive a message of their children's performance to help

them monitoring their children's performance in study.

Kornelis, M. & Seok Ock Y. (2014) In a population of

around 237,424,363 in 33 provinces, Indonesia is one

developing countries that needs an excellent School

Management Information System (SMIS) to accomplish its

educational mission. To reach the goal, it is necessary to

know the rules, culture of school and related data prior to

building the SMIS. This study is focused on the Indonesian

National Education Standards. It is has nine standards that

are described by the Regulation of Education Ministry. To

manage the schools' organization, this paper aims to develop

a SMIS based on the Indonesian National Education Standards

built using UML(Unified Modeling Language), this new system

conforms to the education rules of the government. Finally,

the conclusion and future research are described.

Zhang, L. & Hu, Z. (2016) Traditional methods of

graduation management of college students were facing

challenges as the graduation number of students are

increasing annually. Those methods often error pone, and the

legacy systems cannot meet the requirement of fast response,

broad throughput and secure of a modern application service.

Therefore, in this paper a Meteor framework based high

performance cloud information system is designed then

implemented for college graduation management. Experiment

results show that the proposed system, compared with a php

implemented traditional information system, advances in

response speed and throughput size. Thus, it provides a

reliable platform for replacement of traditional systems of

college graduation management.

maintain web applications without dis-tributing and

computers is a key reason for their popularity.This paper

presents a complex management information system designed

for Albanian high schools. The primary goal of this

application is to offer a suitable interface to its users in

order to simplify and reduce the time needed for information

and procedure management relating to different school

Alvin E. Dela Torre (2019) The researchers conducted

an inquiry into the operations of the school. It was found

that a major part of their business process involves the use

of Google sheets to manage their data, e.g. student

to human error thus resulting to an inconsistent and

Affairs and Discipline (OSAD) of the University of the

Immaculate Conception is one of the offices that supervise

student academic and non-academic activities of the

students. The OSAD kept these records manually and stores

data in a computer and files them in the cabinet. However,

the current data management system of the OSAD is

implemented in a stand-alone basis. The stakeholders from

the different academic offices in the University are in need

of these data as reports to monitor their students. These

stakeholders are the Prefect of Discipline, Associate Dean

of all programs, the Vice President for Academic, Dean of

College, guidance Counsellors and Admission Officer. Thus,

the monitoring of student’s activities, especially their

offenses, is not properly organized. The proposed system

included features for the enhancement and maximization of

the current data management system of the OSAD. The design

of the system included UIC database to maximize the storage

capacity, an online feature that will allow stakeholders to

access records from the OSAD to maintain the monitoring

System using low frequency Radio Frequency Identification

(RFID) and Short Messaging Service (SMS) in order to keep

track of the students within the school premises. A computer

program is to be developed to interact with the system. A

series of tests was conducted to prove the accuracy of the

entire system. With the aid of Chi-square test, the

researcher determined the significant difference between the

observed and expected data. The developed software can

capture and record the name, entry and exit time of the

students. Moreover, the developed software can monitor the

entry and exit time, account balance and schedules of

current classes of the student thru Short Messaging Service

(SMS).

This chapter summary of findings, presents the

conclusion and recommendation based on the result of the

study.

Summary

This study dealt with the assessment of the

Acceptability and Effectiveness of using database record

system for faculties in Gateways Institute of Science and

Technology (GIST) Cogeo Branch. These School are located in

the Region IV A CALABARZON.

This study covered the School year 2019-2020 and

involved all the 10 Faculties of Gateways Institute of

Science and Technology (GIST) Cogeo Branch. In as much as

this study dealt on the assessment of a Program. The

Descriptive method was used. The data were gathered through

a questionnaire which was accomplished by the respondents.

The Researcher made use of Interview in clarifying some

vague points revealed in the Questionnaire.

In the Statistical treatment of data, percentage,

ranking, mean and weighted average were utilized. These

statistical techniques helped the researcher in answering

the specific questions raised in the study.

Findings

This study yielded the following findings:

1. How does student database records system prevents the

mishandling of students records and information?

It prevents mishandling of records by having a

secured database to store student records. Also by having a

Login System to protect the student records.

terms of accuracy.

2.2 In verbally interpreted as whole with the general

weighted mean of 4.58 that is strongly

agree in terms of design.

2.3 In verbally interpreted as whole with the general

weighted mean of 4.9 that is agree in terms

of time.

2.4 In verbally interpreted as whole with the general

weighted mean is 4.24 and the researchers

verbally interpreted as agree in terms of security.

3. What is the purpose of the student database records

system? The purpose of student database record system is

the Faculties in Gateways Institute of Science and

Technology? Faculties can add or update the

informations of the student. Faculties can also search or

find student records in easy way whenever the student or

faculties need a record.

Conclusion

Based on the findings of the study. The following

conclusions are:

1.) The researchers conclude that the

respondents agreed that the Student Database

Record good and satisfy in terms of

Accuracy.

2.) The respondents are also agreed and satisfy

in Student Database Record in terms of

of the developed Student Database Record System

is superior, more efficient and effective than

the old type of record keeping in the Gateways

Institute of Science and Technology.

Hypothesis

Based on the data gathered overall all Faculties

(respondents) said that the Student Database Record System

is accepted and effective to the faculties of Gateways

Institute of Science and Technology Cogeo Branch.

Recommendation

From the study, findings and conclusions the researcher

recommends the following:

1. It is recommended that the student database record

system be implemented in order to improve the delivery

of record keeping of student information as well as to

address the problems encountered with the old type of

record keeping.

2. The developed system should be given attention for

further study and enhancement especially in terms of

its usability and efficiency.

personal information, student subjects enrolled and

class schedules, and knowing the overall performance of

a student
