    Many notification emails for workflow items were found in the private folder after running reorganization and cleanup reports. These emails were sent when workflows failed with an error status. Running the reports does not delete these emails. To resolve the issue, the individual workflow can be identified from the email title or ID and traced in transaction SWI1 to find the error message and task details to address the root cause.

    Symptom
    There are many notification emails for workflow items can be found in output of program RSSO_DELETE_PRIVATE and
    RSBCS_REORG.

    Environment
    SAP Netweaver
    SAP S/4HANA

    Reproducing the Issue


    Execute BCS reorganization report RSBCS_REORG and these emails cannot be deleted since they are in the private folder.
    Or run report RSSO_DELETE_PRIVATE to display the user's inbox.
    Cause
    When workflow failed with error status, the notification email was sent to the workflow admin. If single workflow failed with
    multiple times, there will be the many emails triggered and saved into the private folder of the workflow admin.

    Resolution
    The emails in private folder can be deleted with report RSSO_DELETE_PRIVATE, check the following steps about how to
    identify the error of the individual workflow.

    *Please notice the information displayed in below screenshots are from SAP test environment.
    1. Identify the work item ID in the email title, for example if the email subject/title is "Workflow 387082 set to state
    ERROR", the work item ID will be "387082".
    2. Execute transaction SWI1, put this work item ID in 'Identification' field and execute.

    3. Click on "Trace" icon on the Menu bar, then the Workflow Log will be displayed.
    4. Hit the "List with technical details" icon and check the "Step History" tab.

    5. Click on the Task Id, the details of the work flow item can be checked, for example the item name and the application
    which is responsible for it.
    Then check with the team which generated this work flow to fix the error.
