Policies and Procedures

We appreciate all your hard work and dedication to the Richardson ISD
community! We are proud of the immediate pivot our District has made in filling
classrooms so that our students may receive the best education possible. Thank
you for your hard work and patience in helping us navigate through this unusual
year. As we approach the new school year, we want to ensure that Richardson
substitutes are prepared for the new semester and have a clear continued
understanding of our expectations.

 ESS Badge- Your ESS badge must be always visible on the outside of your
clothing. If you cannot locate your badge, please bring your state-issued ID with
you. If you need a replacement badge, email ESSRichardson@ess.com
as soon as possible.
 Arriving to School- Please report to the main office at least 15 minutes early so
you have plenty of time to gather your subbing materials for the day. Additionally,
all substitutes are required to sign in with the sub coordinator (Campus
Executive) to receive full credit for the workday.
 Half Day Assignments- If you work two half days at separate schools, you are
still expected to arrive early for your second assignment. If you are unable to
arrive early, please avoid accepting the job and risk being tardy. As a reminder,
you cannot ask to leave early from your first assignment. 
 Departing Your Assignment- Before leaving for the day, there should not be
any students left in your room or zone under your guidance. Once all students
have left, check in with your sub coordinator (Campus Executive) to make sure
you have completed all duties and are no longer needed for the day, & sign out.
 Leaving Early - When accepting an assignment, please ensure you are
available for the entire time before accepting it. Please do not ask to leave early.
If you need to leave early, the campus has the authorization to change your full-
day assignment to a half-day assignment, if necessary. If the last hour of your
assignment is a planning period, this does not mean you get to leave early. The
campus may assign you to another task until your assignment is over.  
 Be Flexible - Please be aware that your job could change once you arrive on
campus. The campus may adjust your assignment depending on how many
employees are absent that day. You could be moved to another class, or become
a floater teacher for the day, but this will not affect your pay. Please note, every
campus has its own rules and regulations – do not assume every campus has
the same procedures.
 Following Lesson Plans- When in the classroom, please ensure all lesson
plans are followed to the best of your ability. Remember to leave notes for the
teacher’s return that state how the lesson plans went and where you left off.
 Professionalism in the Classroom- There should be absolutely no touching,
physically blocking, raising of voices, or demeaning any child. Children can be
extremely sensitive to comments that may be misunderstood, or they may feel
threatened by overly aggressive authoritative body language and gestures. Any
of these actions will not be tolerated and will be reported.
 Cell Phone Use- Phones should be put away and never used while in the
classroom. Principals, sub coordinators, and other school staff will be periodically
stopping by to check in on our subs. You will be reported if using a cell phone
and further action may be taken.
 Dress Code- Please dress in business casual when on an assignment. All
employees must be covered from shoulders to knees (t-shirts, tank tops, midriff
tops, halter tops, leggings, jeans, shorts, sneakers, flip flops, etc., are not
permitted). Denim jeans should not be worn unless the campus instructed you to
do so. Be sure to wear closed-toe shoes to account for different variables in the
classroom.
 Leaving Room Unattended- Students should not be left unattended for any
amount of time. If you need to leave the room for any reason, please utilize the
school’s office staff to assist you. Leaving the room unattended for any reason
may result in being blocked from that school.
 Extra Duties- Be aware that some schools have the authority and may assign
you to help with other duties, such as lunch/recess monitoring, bathroom
monitoring, etc. Please do not use this time as personal time with your cell phone
or eating without being authorized to do so. If you are assigned to after-school
bus duty, please remain in your designated zone until all kids have departed from
the campus. Morning and afternoon bus duties are accounted for in the duration
of your assignment.
 Cancelling Jobs- You may cancel jobs due to emergency situations 12 hours
prior to the assignment only. However, please be mindful that you only have six
(6) emergency cancellations per grading period. It is recommended that you
follow through on all assignments that you have selected and minimize the
number of jobs cancelled. ESS will provide you with a warning if you are close to
6 cancellations. If you continue to have excessive cancellations this will result in
a thirty (30) day block of your account. You must email
ESSRichardson@ess.com and contact the school to notify them of the
cancellation. If you cancel a job within 24 hours of your assignment, the system
blocks you from the ability to choose another job in the same day.
 Available and Non-Workdays- As an active ESS substitute, you may receive
text messages or phone calls to work on days that show you're available in our
system. Remember, all substitutes must work the specified required days to
remain active in our substitute systems. If you are on vacation, out of state, sick,
or taking a personal day, please mark it as a non-workday in your calendar in the
Frontline Application system. This will remove you from the list of available subs
and you will not be contacted to work that day.
 Paychecks/Paydays- Please have your Oasis (Paychex) account set up and up
to date so that receiving paychecks is seamless. Keep in mind, your first
paycheck after a week without working is two weeks in arrears. Once you have
gotten your check after the bi-weekly payday, you will return to weekly pay (given
that you have worked that week.) 
 Referral-  ESS referrals must be submitted before your referred candidate
applies. If your referral applies, gets hired, and meets the eligibility requirements,
you will receive your referral bonus.
