I. Introduction

Events have prominent contributions and impacts in the marketing and


development of tourism plans in order to raise the competitiveness of destinations.
Based on that, the field of "event management" also underwent continuous
transformations and on the upward trend over the past decades (Getz 2008,
p.403–428). Surprisingly, the way event management works today stems from the
cold war military activities, especially the logistics and supply chain process (Simon
2001). In recent years, the world has constantly created many ideas to diversify
events ( Brown et al. 2015, Brida et al. 2012) to advance the financial, social, and
traditional improvement of developing and new the travel industry (Carnegie and
McCabe 2008).
In the 1980s, the MICE model was created to classify and describe various
aspects of the event management industry from small scales to mega-event
including Meetings, Incentives, Conferences, and Exhibitions (Bladen, C et al. 2017,
p. 311). According to Rob Davidson (1994) and Medlik (1995), MICE tourism can be
defined as a form of business tourism and on these trips, travelers will undertake
work-related activities for them such as participating in meetings as well as
exhibitions (Sylla et al. 2015). Moreover, this is also one of the more quickly
developing business segments of the tourism industry (Mistilis & Dwyer 1999) which
creates opportunities for employment, attracts more international investors,
especially generates a rich and powerful budget (UNWTO 2014). The general
business tourism spending was predicted to reach US$1.7 trillion by the Global
Travel Business Association (GBTA) in 2020 (Skift 2019). However, these positive
predictive results are completely reversed due to the global epidemic COVID-19
because MICE and tourism are closely linked, especially the highly contagious
disease epidemic via tourists (Gössling, Scott & Hall 2020, p. 15). To minimize the
spread of COVID-19, 72.6% of exhibitions scheduled for the first quarter of 2020 by
the Center for Industry Research Exhibition (CEIR) have been canceled leading to
15.1% drop in the industry profit over the last year (CEIR 2020). Following the
Center for International. Meetings Research and Training (CIMERT) reported most of

the countries in the Asia Pacific and Europe had to reschedule, change meeting
locations, and even be forced to cancel the event (CIMERT 2020). In Vietnam, this
type of travel has also been a heavy influence as many multinational companies
have canceled overseas trips for their employees. Hotel operators in Cam Ranh
(Nha Trang) reported that the occupancy rates of hotels that usually serve Chinese
guests fell 98%, while other hotels had an average cancellation rate of 50% and the
number of rooms booked in the coming time also decreased to 70% (Tong Cuc Du
Lich 2020). Most recently, in November, the Korea Tourism Organization in Vietnam
(KTO) organized the program "Korea Night 2020" with the attendance of
representatives of the Vietnam tourism industry from Hanoi to Ho Chi Minh City,
contributing ideas to promote tourism MICE is expected to be activities that can help
revive the tourism market in pandemic today (Trang Anh 2020).
In this report, literature review information about event management definition
will be well described by reliable secondary research related to the MICE sector.
Thus, the wedding proposal of Ms. Dong Nhi and Ong Cao Thang will be analyzed
following the EMBOK structure. Last but not least, some suggestions on how
Vietnam can develop future demands will be given

II. Secondary Research

There are many academic writers who rely on their own knowledge and a
variety of viewpoints to propose different definitions of 'event' like Getz (2007) and
Goldblatt (2008). For example, an event can be simply explained as a happening,
occurrence, or experience objective and can organize one-time or be repeated at a
certain time interval (Weidenfeld & Leask 2013, p.554). The events were developed
in a variety with enough genres from the party individuals such as birthdays,
weddings, Thanksgiving to the event of the large nationwide or worldwide scale as
the World Cup tournament, Summit, APEC (Getz 2008). In the past, significant
progress in tourism-related studies was marked in the 1980s thanks to the influence
of prominent and famous events: the Calgary Olympic Winter Games (1988), the

World Fair in Vancouver (1986). These were also the prerequisite for improvements
in today's major events (Hall, C.M. 1989).
Besides that, it can be very complex and dangerous to schedule an event
without meticulous planning, as an event must fulfill multiple strategic goals. ‘Event
management’, which is the way to schedule, coordinate, and takes advantage of
resources using well-formed methods, applies the field of research to the
professional practice context in order to establish a successful event and reduce risk
(Getz 2008; Ivanovic, Galicic & Mikinac 2010). The main responsibility of event
management is able to use limited resources to provide target customers with the
best experience (Ferdinand & Kitchin 2017, p. 94). Finally, for upcoming event
improvements, a review of overall errors in the event and relevant recommendations
will be provided (Weidenfeld & Leask 2013). An event also has an event life cycle
(ELC) as an intangible value, which supports the event management to keep it under
control and ensure the event's smoothness (Chen, C.C.2007) (Appendix). In
particular, activities must be coordinated in line with the Triple Bottom Line strategy
during the event life cycle, while sustainability should be given top priority within
three-dimensional environmental, economic, and social issues (Yuan 2013). In
adđition, ELC can be divided into five key phrases from the presentation of ideas and
suggestions for the arrangement of plans and schedules in a consistent manner that
satisfies the practice of the Triple Bottom Line, and the event can be organized after
careful analysis. Finally, to ensure a better outcome for future activities, the
evaluation must be made (Raj et al. 2017)
In the light of the Event Management Body of Knowledge Structure (EMBOK),
a set of processes used in almost every event management program describes five
core areas of administration, design, marketing, logistics, and risk management. This
would also be used to evaluate the planned case later. The Management has overall
power over various items, such as finance, human resources, recruitment,
stakeholders, the program, time, etc to ensure that they are appropriately used and
obtained, thereby proposing main directions to assist in the progress of events
(Silvers, J.R 2005). In order to cultivate financial assistance from sponsorship deals
and to attract a great deal of interest from consumers, Marketing Domain conveys
communications and event principles in order to facilitate more outreach through

ample methods of social networking, public relations, thereby optimizing the
profitability that an event can theoretically comprehend (Moise, Georgescu & Zgură
2012; Crowther 201). With the sophistication of event management, the EMBOK
model offers a structural layout of expertise via well requirements to help users
effectively and conveniently identify and understand information (Silvers & Nelson
2009). Under each aspect and industry, subsections exist and are strongly
interlinked and cannot be run independently to ensure that an efficient and
well-established event is provided (Long, R 2011).

III. Event Management Proposal

Wedding of the century in 2019

- Mr. Ong Cao Thang & Ms. Dong Nhi -

● Type: Super wedding of 2 celebrities with the attendance of high influent artists
in Vietnamese showbiz.
● On-event date: 9 November 2019.
● Post-event date: 10 November 2019.

● Time: 16:00 - 20:00 (Di Linh 2019) (Appendix)
● Venue: Vinpearl Resort & Spa Phu Quoc (Kien Giang province) - Thien Duong
Beach is located in Bai Dai, Phu Quoc (Hang 2019)
● Target Guests: 500 people including 200 guests are Vietnamese showbiz
artists, other 300 guests are groom and bride's relatives and friends (Helino
2019)
● Dress code: White, Black, and Beige (Appendix)
● Description: The wedding is a significant day for the bride and groom but the
biggest special feature of this wedding is that it is highly anticipated and noticed
by the media. On the other hand, the unexpected challenge of this event was
that it was only prepared before 2 weeks (Theo nhip song viet 2019).

1. Administration

Financial: For a wedding on a large scale with many unique ideas, the
budget is a difficult problem for all parties, but the clients Ms. Dong Nhi and Mr. Cao
Thang were willing to pay more money for the event to be as perfect as possible
(Theo nhip song viet 2019) - around 10 billion VNĐ (Dan Viet 2019). Specifically, the
expenses include 2-way air tickets, accommodation and FnB at Vinpearl for 500
guests (Hang Tran 2019), decoration all resort and the beach following the theme of
wedding (Thanh Tuyen 2019), especially Wedding banquet table up to 5 million VND
/ table with 7 fine dishes (Nuko 2019).
Human resources: In order to meet the very high requirements for the menu
to welcome guests of singer Dong Nhi, Vinpearl has mobilized 3 top chefs and
dozens of Vinpearl’s chefs across the country to come to Phu Quoc for the wedding
(Thanh Tuyen 2019) and approximately 120 employees serving for weddings (Hang
Tran 2019), more than 1000 people have to fly to Phu Quoc to support the wedding
preparation in 2 weeks
Systems and Time management: WOWholiday negotiated with Vietnam
Airline to have 4 full charter aircraft from Ho Chi Minh City to Phu Quoc at 9-10 am.
Equally, thanks to the support of the hotel venue provides 14 45-seat cars to

welcome the entire group and 8 Vinfast cars for additional support (Theo nhip song
2019)

2. Design

2 venues for the 2 important stages (wedding ceremony, regale) were


decorated in luxurious black and white tones, a simple style that is very suitable for
romantic but no less delicate scenery (Hang tran 2019)

In addition, small details are also invested such as air tickets, hotel cards and
welcome-drink meticulously designed (Thanh Tuyen 2019). These details are small

but will leave a deep impression on the participants and are an unforgettable day for
the couple.

Normally, a wedding does not have the presence of the media, but this is a
wedding between two influential people in Showbiz Viet with the presence of famous
stars, so this wedding is always possible. media and fans await. However, the media
was requested not to enter during the wedding and guests were not allowed to bring
phones, video recording equipment to ensure privacy for officials, business partners
of the family Mr. Cao Thang (Lan Phuong 2019).

4. Logistics

This is the most extreme stage in this event because it must comply with the
desires of fastidious customers. So 1,000m2 of grass was covered for 3 consecutive
days and nights, 2,000 tons of sand was added to the paradise beach, 50 culinary
artists worked for nearly 100 hours to carve the names and feelings of the couple.
600 fresh coconuts and 122 people serving party food. The most surprising was that
the hotel general manager himself flew overnight to bring these 500 special room
key cards from foreign on time to pick up guests ( Thanh Tuyen 2019)

5. Risk Management

Security: Most of the guests are celebrities in Vietnamese showbiz and CEOs
of large corporations are longtime partners of Ong Cao Thang's family, so safety is a
top priority
=> The security guards are mobilized as much as possible, always standing
by the bride, groom and guests from the time they pick up guests at the airport until
the guests return.
Weather: The wedding is held outdoors near the sea so there is a high risk of
rain.
=> The agency company should carefully check the weather conditions on
that day, if there is a rain forecast, they should recommend customers to organize a
party at another venue. If not, operations should construct an awning frame to
prevent guests from getting wet.

Decision management: The preparation time for the event is too urgent,
about two weeks, there is a high risk that the wedding will not be held on time, not
perfect or cost a lot of unnecessary expenses.
=> If a client is forced to organize a wedding, then choose a reputable event
company with many years of experience, the decision on the solution will be faster.
Image privacy: As mentioned above, the couple did not want the media
participation during the wedding ceremony. But journalists often take sneak shots if
they don't pay attention.
=> Only reputable companies are allowed to be present in the venue of the
Vinpearl hotel. Remind the guard to pay close attention, if journalists appear, then
remind them not to take pictures. Or they must have the subject's permission

IV. Future demand

The event market in Vietnam has been developing at a fast rate over the few
decades especially in the MICE field as mentioned above, which is a promising
segment in the tourism and hospitality market. A further vision for the potential
aspirations of MICE implementation is therefore important for Vietnam to catch up
with the trend and attract massive event companies. The Korea – U.S. summit in
Hanoi in 2019 was one of a golden rare opportunity for Vietnam to promote its
success story and achievements in a range of fields in order to increase investment
inflows and tourist attraction (Reed 2019). In the same way, Technological
applications such as virtual assistants (webcasting, streaming video, and web
conferencing) and robotics, according to Vietnamnet 2018, are considered to be new
hi-tech techniques that are likely to be preferred by multiple organizers. In addition,
event attendees choose to enjoy special experiences of high-quality service and
professionalism (Vietnamnet 2018).
On the other hand, combining meetings, conferences, and business studies,
the current number of MICE tourists coming to our nation is rising. In detail, in the
first three months of the year this company served 5,100 foreign tourists to Vietnam
to engage in MICE journeys, according to Saigontourist 2019 statistics. A group of

250 foreign guests can be counted as coming to Da Nang to attend a cardiovascular
conference; a group of 1,200 tourists attended the international tourist fair of ATF &
Travex in Ha Nang. However, Domestic organizations had a welcoming scale well
below that of neighboring countries such as Thailand and Singapore. Due to the
infrastructure of MICE Vietnam is not yet much invested by the Government, for
example, exhibition centers are not enough to welcome large numbers of visitors or
TP. Ho Chi Minh City - the largest economic center in the country, but so far only 1
international exhibition center (Thuy Duong 2019).
According to experts, taking advantage of events, exhibitions as well as fair
that are constantly increasing in number, Vietnam should take advantage of
opportunities to improve infrastructure, technologies with the aim to shift tourism to
be the key economic factor (VNAT 2018)

V. Conclusion and Recommendations

To conclude, The country has recognized its potential as well as the strong effect of
the MICE sector on the growth of the economy, with positive results from previous
MICE events held in Vietnam. Nevertheless, the government should also invest more
in the development of infrastructure, transport systems and technology to promote
MICE Vietnam to thrive in the future and increase competitive advantages for the
national tourism industry.
As for the 2 celebrities' century wedding, this is one of the most
well-organized weddings in Vietnam. Although there were many potential risks in the
process, the wedding was successful. This success comes from a wide range of
relationships, so even though the media is banned, the news still publishes a lot of
information about the wedding and the comfort of the client's spending so the agency
and venue is trying very hard within 2 weeks.
