Resolution No. 101, s. 2007

RESOLVE, AS IT HEREBY IS RESOLVED, that after careful deliberation made on the proposed
Thesis Guidelines for Bachelor of Science in Architecture, the action of the Board be, as it is hereby
APPROVED, subject to the following recommendations:

1. One Thousand Pesos shall be the maximum and allowable amount that could be collected per
student as thesis fee. Four Hundred Pesos will go to the adviser who at the same time acts as the
editor. The remaining Six Hundred Pesos shall be shared equally by the panelists.
2. Payment of thesis fee shall be made directly to the College Cashier. The O.R. will be submitted to
the assigned secretary who will prepare the list of names of the adviser and the panelist duly
certified by the Program Chair for purposes of claiming adviser’s and panelist’s fee.
3. The maximum and allowable rate of P 1,000 herein referred as thesis fee shall be implemented as
the uniform rate for all the undergraduate programs.

ARCHITECTURE THESIS GUIDELINES

1. INTRODUCTION
This Thesis Guidelines shall be the implementing rules in the conduct of the Architecture Thesis Class
of the College of Architecture of Sorsogon State College. This document is based on the existing Thesis
Guidelines formulated for any degree in the Undergraduate Programs of the College. It is especially
designed for the Architecture Class which is particularly suited for the requirements of the curriculum.
This Thesis Guidelines will help the students understand their full responsibilities and procedures in
complying with the requirements of the thesis which is a pre-requisite in the Degree of Bachelor of
Science in Architecture.

2. THESIS CLASS
2.1 The Thesis is an output of the application of knowledge that the students must have learned
from the course. The Thesis can be an individual or group effort and as such, the students are
responsible for his/her conduct of research based on the guidelines.
2.1.1 The Thesis Class is composed of ARCHITECTURAL DESIGN 9 (5 units) and
ARCHITECTURAL DESIGN 10 (5 units).
2.1.2 ARCHITECTURAL DESIGN 9 (AR DESIGN 9) will consist of problem identification, thesis
proposal submission, thesis design, book writing and preliminary deliberations.
2.1.3 ARCHITECTURAL DESIGN 10 (AR DESIGN 10) will include the translation stage of the
research study output (design drawing presentation) of AR DESIGN 9 presented in a
jury deliberation.

2.2 Student Qualifications:


2.2.1 Only students who have passed all the pre-requisite academic subjects in
ARCHITECTURE and ENGINEERING outlined in the curriculum are eligible to take the
Thesis Class.
2.2.2 ARCHITECTURAL DESIGN 9 (AR DESIGN 9) is a pre-requisite to ARCHITECTURAL DESIGN
10 (AR DESIGN 10).

2.3 Student Responsibilities:


2.3.1 Students should fully understand and follow the Thesis Guidelines.
2.3.2 They should inform their parents/guardians about the financial requirements that will
be incurred for the whole duration of the project.
2.3.3 They must attend all meeting and lectures regarding the activity. If a student fails to
attend three (3) meetings for any reason, he/she will be automatically dropped from
the class.
2.3.4 They should check on the college bulletin boards and be updated with any
announcements regarding the activity.
2.3.5 They must be prompt in the submission of requirements.
2.3.6 Consultations should be made with their respective thesis professor, thesis advisers
and other faculty members. They may also seek advice from other registered
architects outside the school.
2.3.7 Originality of the thesis will be checked strictly. Duplication of previous thesis/ studies
is not allowed. Any thesis which has passed the proposal stage but found to be a
duplication of previous studies will not be permitted to be push through or the
student will be dropped from the course.
2.3.8 They must comply with all the requirements satisfactorily to pass the course.
2.3.9 All communications and requests regarding the thesis proceedings should follow the
right channels.

2.3.10 The student may choose any of the architecture faculty as their thesis adviser based
on experience and expertise in relation to his/her research project.

3. THESIS COUNCIL
3.1 Composition:
The Thesis Council shall be composed of the Architecture Head/Coordinator as the
chairperson; the members are the faculty members of architecture, advisers and the thesis
writing professor/ thesis professor. In case of complaint in which the chairperson is a Thesis
Adviser, any member can preside over the Thesis Council proceedings.
3.2 Function:
The Thesis Council shall:
3.2.1 Approve the schedules, content and format of submittals, evaluation/deliberation
guidelines, and other thesis concerns.
3.2.2 Decide on complaints and other concerns coming from students, parents/guardians,
thesis advisers or members of the panel.
3.2.3 Amend the thesis guidelines as deemed necessary.
3.2.4 Attend the Pre-Thesis Forum to discuss matters on the thesis.

4. THESIS EVALUATION COMMITTEE


4.1 Composition:
The Thesis Evaluation Committee (TEC) shall be composed of the Architecture Section
Head/Coordinator as Chairperson and architect faculty members.
4.2 Functions:
4.2.1 The TEC members will review and evaluate the research proposal along the following
criteria:
a. Relevance of the research
a.1 Originality
a.2 Researchability
a.3 Practicality
a.4 Feasibility
a.5 Defensibility
b. Significance of related literature and studies to the present study.
c. Appropriateness of the research method used.
d. Relevance and correctness of instrument.
e. Contribution to body of knowledge.

4.3 Functions of the Chair of the Panel/Examiner


4.3.1 The chair will brief his/her members the procedures on how the examination will be
conducted and remind the members to conduct the defense for at least two hours.
4.3.2 Introduce the proponent(s) to the panel members.
4.3.3 Summarizes the ratings made by the members and announce the result.
4.3.4 Reviews and submits individual and summarized ratings to the campus director.
4.4 Functions of the members of the Panel/Examiner
4.4.1 Each member is allowed to ask questions which have relevance and significance to the
study. Questions should be focused on the content of the study and design rather
than the format and style of the research book.
4.4.2 Help the researchers to improve their proposal. Suggestions and corrections made by
the members of examiners are expected to be reflected in the research report and the
designed project.
4.4.3 Provide insights on how the output can be improved or refined.

4.4.4 The examiners must check whether the corrections and suggestions during the pre-
oral defense are reflected or complied with.
4.4.5 They should review and evaluate all parts of the research format and design drawing
presentation.

5. THESIS WRITING and DESIGN PROFESSOR/THESIS PROFESSOR


5.1 Qualifications:
5.1.1 The thesis writing and design professor /Thesis Professor shall handle the thesis class
of not more than 35 students. He/she may also act as thesis adviser during succeeding
semester.
5.1.2 Incoming Thesis Professor shall be identified prior to the offering of the subject.
5.1.3 The Thesis professor will be assigned by the Department Head upon the
recommendation of the Architecture Coordinator.
5.1.4 Must be a permanent faculty member.
5.1.5 Must have at least 12 master’s units in Architecture or have finished the master’s
degree in Public Administration.
5.2 Duties and Responsibilities:
The Thesis Professor should:
5.2.1 Guide the students in the conduct of research/study and design.
5.2.2 Attend the thesis forum in order to be clarified with the guidelines and other matters
pertaining to the thesis.
5.2.3 Conduct collaborative monitoring or team teaching.
5.2.4 Review, comments and approve thesis proposals prior to recommendation to the TEC.
5.2.5 Report any findings and problems on the work of the students to the chairperson.
5.2.6 Attend pre-oral and oral defense of his/her students and serve as the moderator.
5.2.7 Collate the results and recommendations during the defense.
5.2.8 Submit required reports promptly to the Chairperson.

6. THESIS ADVISERS
6.1 Qualifications:
6.1.1 Thesis Adviser shall be open to all Architecture Faculty Members.
6.1.2 Must be a permanent faculty member.
6.2 Duties and Responsibilities:
The Thesis Adviser should:
6.2.1 Guide the students in the conduct of research/study and design.
6.2.2 Attend the thesis forum in order to be clarified with the guidelines and other matters
pertaining to the thesis.
6.2.3 Conduct collaborative monitoring or team teaching.
6.2.4 Report any findings and problems on the work of the students to the Thesis Professor.
6.2.5 Not attend the pre-oral, oral defense or sit as panelist whom he/she acted as Thesis
Adviser.
6.2.6 Collate the results and recommendations during the defense.
6.2.7 Submit required reports promptly to the Thesis Professor.

7. CAMPUS DIRECTOR
7.1 Functions:
a. Designates the Architecture Chairperson and the Thesis Faculty.
b. Approves the Final Thesis Book prior to bookbinding.

8. SECRETARY

The secretary is assigned by the Campus Director/Program Chair to record comments,
suggestions and corrections during the defense. He/she should prepare the summary of the
comments and corrections made by the examiner. He should also provide the researcher a copy of the
summary attested by the dean/program chair. Preferably an Architect.

9. EDITOR
The editor must be by the Thesis Committee and a faculty of this School, SSC. The editor shall
check and certify on the correctness of sentence construction, agreement, mechanics and
organization of the manuscript. An editor shall be allowed to handle a maximum of ten (10) theses
within the semester.

10. THESIS FEE


10.1 A thesis fee of One Thousand Four Hundred Fifty Pesos (P 1,450.00) will be paid by each
student before the oral defense for the following:
a. Chairperson P 200.00
b. Faculty Panelist 200.00
c. Invited panelist (outsider) 200.00
d. Thesis Adviser 400.00
Total P 1,000.00

10.2 The fee will be paid to the secretary of the thesis committee one week before the defense.

UAP DOCUMENT 202, SCHEDULE OF MINIMUM BASIC FEE

3.10 Group 10 Consultation and Arbitrations

Where the architect is engaged to render opinion or give advice, clarification or explanation on
technical matters pertaining to his profession, the Minimum Fee chargeable thereunder shall not be less
than Two Hundred Pesos (P 200.00) per hour subject to increase depending on the extent and coverage of
service required. When rendering service as an expert witness, the Architect’s fee shall not be less than Five
Hundred Pesos (P 500.00) per appearance irrespective of whether the scheduled hearing took place or not.

11. POLICIES ON THE PROPOSAL, BOOK AND ORAL DEFENSE PROCEDURE.

11.1. THESIS PROPOSAL/TITLE


11.1.1 The students are required to prepare at least three different thesis proposals/titles
during the summer vacation.
11.1.2 These titles shall be submitted as a requirement for enrollment the Architecture
Design 9 in (AR DESIGN 9).
11.1.3 A pre-thesis forum shall be conducted to discuss thesis format and other matters
concerning architectural thesis.
11.1.4 The format approved by the thesis council should be used.
11.1.5 Thesis proposal shall be submitted to the Thesis Evaluation Committee (TEC). Each
member should be provided a copy of the proposal with the name of the evaluator
indicated on the front lower right corner of the folder.
11.1.6 Each submittal shall include an evaluation from (Form T-1).
11.1.7 The Thesis Enrollment Faculty shall review and recommend for approval of Form T-1
Indicating the time and date of submission. The proposal shall be indorsed to the
architectural section chairman for proper distribution to the Thesis Evaluation
Committee.
11.1.8 The TEC should receive proposals on the first day of classes. Evaluation of which
should be finished within one week after submission.

11.2 APPROVAL OF THE THESIS PROPOSAL
11.2.1 Proposals, which received a majority evaluation of “approved” or “approved with
comments” from the TEC are considered approved proposals. Majority means,
either getting a unanimous approval from the three evaluators or two-thirds of the
evaluators have given the proposal the “approved” or “approved with comments”
recommendations.
11.2.2 In case of split results, the Architecture Coordinator shall make the final evaluation
upon consultation with TEC.
11.2.3 Approved proposals can proceed with their research, book writing and design
drawings.
11.2.4 Proposal for revision shall be submitted with necessary recommendations until the
proposal has received the necessary majority “approved” evaluation.
11.2.5 Disapproved proposals should be replaced with new proposals subject to evaluation.
11.2.6 Repetition of a similar thesis is not allowed. The first to submit the proposal as
indicated in the time and date of submissions in Form T-1 will be recognized as the
thesis proponent.

Similarity of the Thesis is any of the following aspects:


a. The scope of the project is exactly the same or with minor variations with only
the site/location being different.
b. Same site/location but the two projects could be merged into one undertaking.
c. A five years of previous study has not lapsed.
d. Approved proposal should form part of the documents for presentation during
the defense/deliberation.

11.2.7 Deadline for Approval of Resubmitted and New Proposals


a. Resubmitted Proposals or New Proposals seeking approval from the TEC shall be
submitted not later than 10 days after the first day of classes.
b. All proposals should have been approved by the TEC not later than 15 days after
the first day of classes.
c. If proposals are not approved after the deadline, the student shall be dropped
from the ARCHITECTURAL DESIGN 9 subject.
d. For approved titles from the proceeding semester/s the proponent is required to
write an activation letter to the TEC which should include proofs that he/she was
able to comply with the seven (7) minimum consultations. Consideration will only
be allowed within two (2) years.

11.3 RESEARCH PROCESS, BOOK WRITING AND ARCHITECTURAL DESIGN PRESENTATIONS


11.3.1 The Proponent shall be guided by the research methods/procedures as indicated in
the Thesis Manual. However, content of book is not limited to the outline. The
Thesis Professor/Thesis Advisers can make adjustments necessary to suit a
particular study.
11.3.2 Intellectual plagiarism found in any study shall be subject to academic sanctions.
11.3.3 Three (3) copies of the draft book shall be distributed during the defense.
11.3.4 Recommend Book Structure.
a. Front
a.1 Cover with Book Title and other Pertinent Entries.
a.2 Certificate of Acceptance by the College.
a.3 Certificate of Acceptance by the Thesis Professor.
a.4 Certificate of Acceptance by the Panel of Examiners.

a.5 Table of Contents.
a.6 List of figures, illustrations, maps, tables or abbreviations (in no particular
order).
a.7 Preface.
a.8 Acknowledgement.
b. Body
b.1 The Research Text.
b.2 THE DESIGN SOLUTION (including legible presentation board reproductions).

11.4 RESEARCH CONSULTATIONS


11.4.1 The Research Proponents shall undergo a number of consultations required with
their thesis Advisers and Thesis Professor. A Form T-2 should be accomplished during
every consultation per major topics as scheduled by the adviser and thesis professor.
11.4.2 Comments should be recorded by the Advisers in the Form T-2.
11.4.3 The Advisers has to evaluate the students during the consultation which will be the
bases of the rating.
11.4.4 Any student who fails to undergo two (2) successive scheduled consultations without
valid reasons will be dropped from the subjects.
11.4.5 The adviser shall submit the report to the Thesis Faculty during the midterm and two
weeks before the thesis defense.
11.4.6 Students who fails in the Pre-deliberations will not be allowed to undergo Thesis
Deliberation/Defense.

11.5 DELIBERATIONS/DEFENSE
11.5.1 Deliberation Submittals
a. A schedule for submittals for all requirements will be prepared by the Thesis
Advisers to be approved by the Thesis Council.
b. Submittals prior to deliberations schedule shall be the minimum requirements in
the curriculum as follows:

First Semester Deliberations


1. Design Concept Board which includes style guides to be adopted
2. Conceptual Site Development
3. Thesis Book Draft

Second Semester Deliberations


1. Concept Board which includes style guides to be adopted
2. Site Development Plan
3. Floor Plan/s of Major Building/s
4. Four (4) Elevation/s of Major Building/s
5. Architectural and Structural Bay Sections
6. Two (2) Section/s
7. Perspective of Major Building/s
8. Interior Perspectives of Major Area/s
9. Aerial Perspective of Site Development or Model

10. Ecological and Environmental Conceptualization

11.5.2 Late submittals will not be accepted. Failure to submit requirements on time forfeits
the chance to be included in the schedule of deliberations. Hence, he/she will be
dropped from the course.
11.5.3 Additional submittals of other requirements can be done on the deliberation day.
11.5.4 Submittals of minimum requirements on the deliberation day will not be accepted.
11.5.5 An executive summary of not more than two (2) pages should be given to the
members of the panel on the deliberation day.

11.6 SCHEDULE OF DELIBERATIONS


11.6.1 A Thesis Forum will be conducted to prepare and approve the calendar of activities
and schedule of submittals and deliberations.
11.6.2 All deliberation will be scheduled and completed before the final examinations in the
semester.

11.7 DELIBERATION SLOTS


11.7.1 Researchers will draw for their deliberation slots upon submission of the minimum
requirements and to be property recorded.
11.7.2 The list of proponents who are scheduled for oral defense will be posted.
11.7.3 Only those students who passed the consultation evaluations and satisfied the
minimum submission evaluation will be allowed to undergo deliberations. The
minimum submissions evaluation will be based on the following:
a. Degree of completeness and accuracy
b. Creativity and quality of presentation material.
c. Approved Permit to Deliberate (Form T-3). Form T-3 includes submission
evaluation grades and the adviser consultation grade.

11.8 DEFENSE EVALUATION


11.8.1 The members of the panel shall evaluate the proponent based on the evaluation
sheet.
11.8.2 The panel will be given fifteen (15) minutes after the deliberations for a Jury
Conference to discuss the merits of the thesis project and the outcome of the oral
defense.
11.8.3 The chairman of the jury will inform the adviser and the thesis professor about the
result of the jury deliberations. Each member shall accomplish the evaluation form
immediately after the deliberations.
11.8.4 Jury comments shall be immediately distributed to the students by the secretary for
proper action. A copy will have to be filed Thesis Adviser and Thesis Faculty.
11.8.5 The students should stay in the premises of the college until he gets the decision of
the jury and the copy of the comments.
11.8.6 The student will pass the oral, defense if:
a. The jury has unanimously given the student a passing mark.
b. Two jury members have given the student a passing mark.
11.8.7 The student will fail the oral defense if:
a. The jury has unanimously given the student a failing mark.
b. Two jury members have given the student a failing mark.
11.8.8 Result of the jury evaluation of the Thesis Proponent will be posted not later than a
day after their deliberations.
11.8.9 Rounding off of grades is not allowed. The majority decision shall prevail.
11.8.10 The result of the deliberation is final and unappeasable.

11.9 THESIS GRADE
11.9.1 Pre-deliberations grade:
a. The pre-deliberations grade shall be the average of all the consultations made by
the student and the Pre-deliberations minimum submittal.
b. The student must have passed the above before he/she can be allowed to
deliberate.

11.10 THESIS DELIBERATIONS GRADE:


11.10.1 The average grade from the three jurors will be the Thesis Deliberations Grade.
11.10.2 The Thesis Advisers shall submit a compilation of the evaluation sheets of their
respective thesis class with the corresponding summary of Thesis Deliberations
Grade to the Architecture Chairman after all the students has finished the
deliberations.
11.10.3 No re-deliberations shall be granted to any proponent who has failed the
deliberations.

11.11 FINAL GRADE


The Final Grade of the student will be computed based on the following:
a. ARCHITECTURAL DESIGN 9 (First Semester)
First Grading / Midterm 35%
a. Consultations 35%

Second Grading / Final 65%


b. Consultations/Pre-deliberation Submittals 10%
c. Thesis Deliberations 40%
d. Final Draft of Book 15%

a. No incomplete grade is to be given. Once the student undergoes thesis
deliberations, the final grade shall only be either passed (3.0 or higher) or failed
(5.0).
b. Those who did not pursue the deliberations shall be dropped from the course.
c. If the student got a unanimous or majority failing mark from the three jurors, his
Final Grade is FAILED.

11.12 THESIS BOOK SUBMISSIONS


11.12.1 The thesis book shall be submitted to the Architecture Chairman, Department
Head and the Campus Director for approval prior to bookbinding not later than
fiver (5) calendar days after the scheduled deliberations of the student.
11.12.2 All rectifications and additions required in the thesis book should be reflected.
11.12.3 Three copies of the approved thesis book (one original and two duplicate copies)
shall be submitted not later than seven (7) calendar days from the last day of the
deliberations.
11.12.4 The thesis book shall have the necessary signatures of the jury, the Architecture
Chairman, Department Head and the Campus Director.
11.12.5 Non-submission of the thesis book after seven (7) days shall mean a grade of
incomplete that will be reflected in the pink cards to be issue on that date.

11.13 VISUAL MATERIALS


11.13.1 Minimum Drawing Requirements
a. All drawings/presentations shall be done on a 30”x40” illustration board.
b. No cut and paste presentation will be allowed. Only on certain justifiable techniques upon
approval of respective advisers must they be permitted.
c. All drawings shall be fully inked and rendered with basic furniture/fixtures and equipment
layout.
d. Simulation of basic intended material finishes on surfaces must be indicated.
e. Plastic camouflage on each piece of presentation board materials is not allowed.
f. Scaled model shall be on a firm and sturdy base no smaller than 20” neither 30” not
exceeding 30”x40” dimension. Adjust the scale to be used proportional enough to fit the
base requirements.
g. All presentation materials to be submitted must include the standard title block indicating
all specific information regarding each particular sheet. The title block must be attached at
the lower right hand corner of each sheet.

11.14 CONDUCT OF STUDENTS ON DELIBERATION DAY


11.14.1 All candidates for the day must be at the holding area at exactly one hour before
deliberation schedule. Non-appearance after fifteen (15) minutes of the scheduled time
forfeits the right of the proponent for deliberations, hence, the candidate will be given a
final grade of dropped.
11.14.2 Minimum attire for ladies: formal dress/ensemble or business suit with closed shoes.
11.14.3 Minimum attire for men: barong or long sleeves with full dress tie and leather shoes.
11.14.4 Tolerance time for late presentation is 15 minutes only and must be included in the 1
hour duration allotted for deliberation.
11.14.5 The board of jury reserves the right to request for jury deliberations as the case may be.
Adviser’s presence during such jury exercise shall be upon instance of the jurors themselves.

Thesis Faculty presence is required.
11.14.6 After deliberations, candidates must not leave the premises without permission from
respective advisers.
11.14.7 All books and presentation materials must be secure and borne home by the students
after deliberation.
