Dear Students and Parent(s)/Guardian(s):

It is that time of year again; time to start working on Warren High School’s
Fine Arts Musical. I am truly glad that you have expressed an interest in
participating. As you well know, the Warren High School’s Fine Arts Department
has a reputation for excellence and this year’s musical; I am sure, will be no
different.
In order to reduce as many conflicts and misunderstandings as possible, I
have developed this packet which addresses how we prepare our school’s musical.
I find that letting students and parent(s)/guardian(s) know at the very onset helps
to avoid confusion later.
Participation in the Fine Arts Musical carries with it great responsibilities.
As representatives for our school and community, we must have high standards
for ourselves. I think you will find that the guidelines, rules and procedures
contained in this information packet are thorough, but not unreasonable. The Fine
Arts Musical is an avenue that allows every Fine Arts discipline to work together
for a major presentation. We only get one chance to make an impression.
Please read the contents of this packet and sign the acknowledgement
form at the back of the packet. Students: please take the grade check sheet
around to your teachers and have them complete it for you before your audition.
A student will need both the acknowledgement form and the grade check sheet
completed to audition for the play.

Rehearsals
1. A rehearsal schedule has been carefully prepared to assure that the musical will be
adequately prepared. It is important that it be followed, as delays will cause the
production to suffer in quality. Every effort will be made to give adequate notice to
actors and crew of changes should they occur. Changes in the rehearsal schedule will
be announced at least 24 hours in advance. It is rare that changes are made.

2. Missing rehearsal will not be tolerated! Theatre is an ensemble activity and when
even one person is missing, we cannot rehearse properly. Missing a rehearsal will
result in an actor’s role being recast or a crew member's position being refilled. In the
event of illness, a company should contact Mr. Eoff or the stage manager BEFORE the
rehearsal.

3. It is imperative that every actor and crewmember that is called be at rehearsal ON


TIME. If you are late, it delays beginning the rehearsal for everyone and valuable time
is wasted. Please respect your fellow actors and crewmembers by being on time.

4. The rehearsal period is a time for concentrated, focused work. It is not a time to play
around and visit with friends or to half-heartedly contribute to the production. It is
expected that everyone involved in the rehearsal will give his or her undivided
attention the entire time. This is not to say that rehearsals are to be unpleasant, just
productive. If we accomplish nothing in rehearsal, then we have wasted our time.

Grades

1. ALL members of the Fine Arts Musical Company are expected to keep their grades in
good standing before, during, and after the production. Because grades directly affect
eligibility to participate in extracurricular activities, the Fine Arts Department
considers grades a prime factor in the choices it makes in actors and crewmembers.
In addition, the Department is firmly dedicated to the principle of holding high
academic standards for its students. Participation in the musical is a time consuming
activity and the potential for a student’s grades to suffer is high if the student is not
already on a firm foundation academically.
2. If a student becomes ineligible because of failure of a course at any time during the
musical rehearsal period or performance time, that student will be replaced regardless
of the circumstances. It is unfair to the company members who made their grades to
retain an actor or crewmember that has failed.

3. Replacing an actor or crewmember in the middle of a rehearsal period or between


performances is difficult for all company members. For that reason, any company
member who is replaced because of failure will be automatically ineligible to audition
for the next departmental production. It is hoped that during that time, the student
spends considerable effort in raising his or her academic performance.

Behavior

1. Company members of the Fine Arts Musical are expected to be on their best behavior
at all times. Remember, we are not only representing Warren High School, but also
our community which means that the impression we create will speak of not only our
school, but also the entire community of San Antonio. The Fine Arts Department
already has a reputation for excellence and our behavior in public is a direct reflection
of that.

2. All rules and regulations of the N.I.S.D. and Warren High School will apply to every
rehearsal and performance.

3. Company members are expected to show good sportsmanship in all endeavors to all
persons from rehearsal to performance. We will accept directors' decisions
graciously and listen attentively to feedback. We will not gloat in victory nor will we
despair in defeat.

We will begin at 10:00 am and run until 2:00 pm. Lunch will

be provided.

Audition Information

The following information concerns processes and procedures that will be used to
conduct auditions for the Fine Arts Musical. Students should read this carefully so
they will be prepared and can give their best audition.

1. Before auditions begin, be sure to READ THE PLAY!! Copies are available
for perusal from Mr. Eoff or Mr. Sharp. They will be checked out for only 24
hours so that everyone will have a chance to read the play. Scripts will be
released from September 11-September 15, 2023.

2. On September 18 beginning at 4:30 p.m., initial auditions will begin in the


auditorium. All interested in auditioning should bring a 32 bar audition
song from a theatrical musical. This song should be memorized and no
scripts should be used during auditions. If you are unsure what to choose,
ask Mr. Eoff, Mr. Sharp, Mr. Varville or Ms. Santos. Remember, although it
must be from a theatrical musical, we are mostly looking at how you
perform the song. Both comic and serious songs are appropriate for this
initial part of the audition. No one will be called back or considered for a
role if they do not perform a song during this session!

3. After the songs have been performed, we will be taught eight 8 counts for the
choreography section of the audition. This will be taught as a large group;
however, you will perform the choreography in a small group of no more
than 10 people. This also will be done on Day 1 of auditions.

4. On September 19 beginning at 4:30 p.m., we will finish Day 1 auditions as


needed and quickly move into the acting portion. For this, you will be given
asides and allowed a few minutes in the hall to prepare. After the rehearsal,
scenes will be performed on stage in front of the directors and audience
members. These scenes will obviously come from the play so this is why it is
important that you read the play BEFORE auditions.

5. Call backs will be on Wednesday as needed. Please check the CALL BOARD
and the black box door by the end of the day. This is a chance for us to
make more finalized decisions.

6. On Thursday, if we have made our decisions, the cast and crew will be
posted on the CALL BOARD and black box door by the end of the day. It is
your responsibility to initial your name to indicate acceptance of the role or
position.

Cast and crew members may pick up scripts on Thursday, September 21,
2023. The first rehearsal will be that afternoon in the auditorium.

Crew Positions and Stand-Bys
The following descriptions are how we will designate responsibilities:

STAGE MANAGER: The stage manager is the director’s right hand man. He or she is
responsible for keeping the prompt book with all technical cues, all blocking, and any other
notations necessary for the running of the show. The stage manager makes sure that all cast and
crew know about schedule changes or any business that they need to attend to. He or she
generates a contact sheet and serves as a liaison between cast and crew and director. The stage
manager will keep attendance records of rehearsals and contact any company member that is not
there. The stage manager will run the show. In short, the stage manager is vital to the running of
the play and everything that has to do with the play.

LIGHTING TECHNICIAN: The lighting technician will be responsible for generating the
lighting cue book in consultation with the stage manager. In addition, he or she will operate the
light board for the production. Because of the number of lighting cues in a musical, the lighting
technician should be a person that easily adapts to change and makes adjustments with ease.
They should know the process for making cue sheets for every light board they come into contact
with.

SOUND TECHNICIAN: The sound technician will be responsible for generating the sound cue
book in consultation with the stage manager. In addition, he or she will operate the soundboard
for the production. He or she will be in charge of the wireless body mics and run a mic check
before each tech rehearsal and live show. The sound technician should know the process for
making sound cue sheets.

SET/PROPS/COSTUME SUPERVISOR: The set/props/costume supervisor is responsible for


the construction, procurement, maintenance and setup of all scenery, properties and costumes.
They will coordinate with the stage manager the setup and strike plan and will oversee the
handling process of all items. They are responsible for all upkeep and maintenance of these
items. That is not to say that they have to do all repairs themselves, but rather that they see the
work is completed in a timely manner.

STAND-BYS: A stand-by shall serve as an understudy for all roles he or she could possibly be
required to portray in the event of ineligibility or illness of a cast member. In addition, a stand-by
should be prepared to take on any technical crew position in the event of ineligibility or illness of
a crewmember. This places a great responsibility on the stand-bys. They may never be called
upon to actually perform or assist technically, but they are the company’s insurance policy and
are very much a part of the company. Alternates will assist in any area needed during the
rehearsal process and will be coordinated by the stage manager. Qualitative, dependable work as
a stand-by will certainly reflect upon a student and will show the director the student is ready for
a role in a production.
