WRITING – COVER LETTERS

4.1. What is a cover letter?

A cover letter is a written document commonly submitted with a job


application outlining the applicant’s credentials and interest in the open position.
Because a cover letter is often one of only two documents sent to a potential
employer, a well- or poorly-written letter can impact whether the applicant is called
for an interview.

4.2. Structure of a cover letter

 First paragraph: gets the reader’s attention. It offers some specific, focused
information regarding the job the applicant is seeking and a few core strengths
that demonstrate his / her suitability for the position.
 Second paragraph: gives details of the applicant’s accomplishments. It
highlights examples of the work performed and achieved results. It draws the
key competencies from the applicant’s résumé without copying it word for
word. Bullet points in this paragraph are extremely effective in drawing the
reader’s eye to the applicant’s successes.
 Third paragraph: relates the applicant to the company, showing why the
company should hire him/her. It is the chance for the applicant to show that
he/she did his/her research and knows something about the business and how
he/she can contribute to its mission.
 Fourth paragraph: requests actions. It summarizes what the applicant would
bring to the position and suggests next steps by requesting a meeting, an
interview or suggesting a call.

4.3. A sample cover letter

Dear Ms. Wood,

Having exceeded objectives and broken sales records in all my previous


positions whether as a sales representative or a sales manager, and recently obtained
my MBA in marketing with distinction at the University of Wollongong in Australia, I
believe that I would be an excellent fit for the position of Sales Manager at Universe.

During my previous employment at Galaxy Ltd., I was the Sales Manager for
over five years. My sales department experienced significant sales growth each year,
which culminated in a 30% sales increase during my five-year tenure. Over the latest
two-year period, I more than doubled the average revenues per venue. I also
developed new products for various market segments and trained sales staff.

Working in the sales industry requires a lot of hard work, patience, and the
ability to connect with potential clients. I believe that my prior work experience at
Galaxy Ltd., as well as my education level and valuable skills, has adequately
prepared me for the Sales Manager position at Universe. I also believe that practices
like always being professional and treating each individual with the utmost respect
which I always keep in mind are essential for experiencing long-term success of the
company in the sales field. I am certain that I am a valuable asset to the company and
would optimize Universe’s profitability.

I would be happy to present my ideas in more detail at interview, and I will call
you early next week to arrange a meeting. If you have any questions, please feel free
to contact me before then. I hope to advance to the next stage of the hiring process.
