Actual fabric maintenance condition is to be stated and photographed for all areas of the ship and the deck
maintenance plan, (D115), is to be used as a guide.

Copies of NCR status sheet (G119) and latest quarter of Inspection, Calibration and Test Record (D118)
should be attached to the report.

Ballast Water in Cargo Hold/s:


A) At ocean going in rough sea, No.4 hold be fully filled in open sea. When ballast fill into
No.4 cargo hold, slack condition is not permitted to avoid structural damage of hatch
cover & hull due to sloshing.
B) No.2 & 6 Cargo Hold can be filled by the ballast water within following allowable limit of
70% tank height above inner bottom for port use only.
No.2 Hold : 13.90 m above tank top (11,756.7 m3)

Important Reminders:
Open the Cargo hold, natural ventilation or booby hatch entrance cover of the cargo

LEVEL GAUGES/TEMPERATURE GAUGES\LEVEL ALARMS

BWTS: PASSWORD = START (1234) AND LOG OUT (3500)


Vessel is equipped with Ballast Water Treatment System. Electro CleenTM System (ECS) by
Techcross. This BWMS software was upgraded to comply with USCG and IMO requirement
last 21 MAY.2023 Guangzhou dry dock. You can select either IMO mode or USCG mode as
per port required. When using BWMS while Ballasting – TRO must be >5 ppm to <10 ppm, in
that range. Same with De-Ballasting – TRO must be less than 0.1 ppm. Flow rate must be
200m3 to 1700m3 ranges only before you start the system. BWMS, treatment is
Electrolysis / Electro-chlorination. We have 2 ANU tank, when 1 tank becomes empty
automatically the 2 tank works. But, when 1 tank is empty fill in 4 bags of chemical (Sodium
Thiosulfate) then open the water valve which is on the No. 2 tank side. Vice versa if no.2 is
empty open fresh water valve on no. 1 tank side. Don’t forget to close after filling. As of now
we have 60 bags ROB for chemical (Sodium Thiosulfate) and 7 sets of CLX chemicals. Citric
acid = 2 bags 200 hours used of BWMS = Cleaning done by engineers. See BWMP manual for
details. Currently we are using this system here in all ports from exchange ballast until de-
ballasting of all the tanks. For safety reason during operation, please send somebody to
standby in ballast control room to monitor for abnormality.
Once you arrived here on-board, I will discuss you whatever current condition, repair or
modification plan for this system. This system will work in density of fresh water as we
tested with Techcross technician on board. Using Apt as priming ballast mixing mode but this
modification only utilise minimum tank to fill in.

SAFETY:
1. Chief Officer is the designated Safety Officer. Safety Equipment Maintenance is under
the care of the 3rd Officer, under the care and supervision of the Chief Officer.

2. All SOPEP equipment are complete & in good condition. Location of SOPEP room is on
upper deck stbd side outside accommodation near starboard gangway.

3. All safety & fire fighting equipment’s are in good condition. We have a Freefall Lifeboat
and Boat station is on the “B”/ Funnel deck. Rescue Boat is located outside “A” deck
stbd side. Muster Station is on POOP DECK. Fire control station is on UPPER DECK stbd
side entrance in front of the HOSPITAL. 2 nd Fire locker & station is on “C” deck port side
near 2nd Engr’s cabin. Helicopter equipment is located also in the upper deck stbd side
outside accommodation near starboard gangway, together with SOPEP & PPE for IMDG.

SECURITY:
Designated SSO on board this vessel: Chief Officer

1. Vessel has security equipment to be use in case she will transit HRA/GOA stowed at
forecastle store.
2. Engine room is the designated CITADEL in case pirates/terrorist attack. There are metal
doors to secure the entrance leading to the engine room. Please don’t forget to check all
cabin port holes before HRA to completely seal off from lights inside.
3. Security Drills are conducted every 3 months.
4. DOS is to be issued on all ports called and STS.
5. SSP is under your care which is located inside your cabin.
6. CCTV cameras are installed in the bridge, P/S wings facing fwd, on poop deck and others
are in the engine room.

GENERAL MAINTENANCE PROGRAMME

PMS of this vessel are software filled-up in the computer in the shipsoft program. All details
of overdue jobs and planned jobs listed in shipsoft as per rank.

DECK MAINTENANCE PROGRAMME

Fill up Form D115 and indicate priority areas in line with Superintendents requirements.
Attach current month Form G114.
Enter outstanding NCR and any corresponding Loss Control reports, specification of repair, spare parts &
stores orders.

PMS is can be access in Ship soft, brief instruction & familiarization on using this software
will be hand over on actual turn over.

Pending Deck Maintenance:


1) Deck piping including its clamp brackets / underside and flanges; de-rusting completed
and applied epoxy primer (Jotamastic red and grey) up to second coating.
2) Port/Stbd sides main deck; de-rusting and painting up to second coating epoxy primer
(Jotamastic Red and grey).
3) All cross decks and its adjacent areas; de-rusting and painting up to second coating of
epoxy primer (Jotamastic Red and Grey).
4) Hatch cover top/side panels, coamings and its tracks including driving chains; de-rusting
and painting completed.
5) Stencil marking on deck; to carry out refreshing/re-stencil completed.
6) Upper deck accommodation (P/S); to carry out de-rusting and painting completed.

Note: All de-rusted surfaces on deck is only painted with primer red & grey (Jotomastic),
Pioneer top coat finish NIL on board, requested but did not supply.and expected supply at
Singapore 14 cans of top coat grey for finish coating an de-rusted part at main deck.

CREW REPORT

As per regular routine schedule of all deck personnel:
 Bosun is an experienced crew that can carry out specified job orders as ordered by his
superior.
 All Able seaman (3), regular 8 hour duty watch daily with 2 hours retain on deck if
requires. They are well experience in their duties and responsibilities.
 Ordinary seaman (1), assigned as day man w/ the bosun, can also be reliable to carry out
certain jobs on deck.
 Training OS (2), they need more supervision while on deck, observed that they lack
motivation. Familiarization to all shipboard task is a must for them for it’s their first
vessel.
 Deck Cadet (1), also assigned as day man to assist on any daily shipboard work on deck,
under your care and training w/ the Deck Officers. He can be called upon at any time by
the Master and Officers in case of any documentation assistance is needed.

- Enter PMS, submenu JOB PLANNING. You can then search for jobs and
planning/execution for each crew/officers. I usually plan for jobs once a month for
each crew/officer and follow up every week.
- For issuing Purchase Order go to PURCHASE, submenu STORE/SPARE/PROVISION.
- For MWUC go to VIMS. Then fill up your part before every Sunday’s.
- For Near Miss report go to E-FORMS. Minimum of 4 near miss to be reported per
month.
One near miss include navigation scenario out of four every month.
- For Drills & Trainings go to DRILLS & TRAININGS.
- For QSMS go to MANUALS & FORMS. I usually use forms extracted from Shipsoft for it
is updated.

CARGO HOLD CLEANING & PREPARATION


This Vessel normally designed to carry delicate Grain cargoes. Preparation of cargo
holds should be done in an ample time to bring them in grain standard and ready to load in
all aspects to the satisfaction of the Charterer/s. All cargo holds must be swept clean, free
from previous cargo residue, salt, odours, insects, rust and paint scales/flakes. All tank top
and bilges should be clean and dry.
For effective hold washing, knock down first and collect all cargo residues from
bulkheads, side shells and hopper sides to avoid clogging on bilges. A water tobey can be
used for washing down with SW all underside coaming ends, under decks, TST sloping
plates, high frames and corners. Rinse with fresh water all CH after SW washing by high
pressure machine (water blaster) for more effective cleaning of stubborn cargo stains on all
areas. It is recommended not to leave overnight an un-rinsed by FW on each CH to prevent
from rust accumulation.
Last cargo was grains (soya beans), so cargo stains are so unlikely to be present. If last
cargo was dirty, then a very close attention is required in the CH cleaning process.
Recommend to use Chemical Agents (Sodium hypochlorite), which should be requested in
advance for supply. Use Chemical applicator as provided on board or request them also in
advance to charterer in case necessary. Be sure also that all personnel is also provided and
worn all required PPE for handling such chemicals in its application.
Touch-up painting is also an option to cover all stubborn/embedded cargo stains, just be
sure that all surfaces are clean and free from salt to prevent paint from pealing-off in the
future. Scratches on bulkheads and hopper sides should be present due to cargo
discharging operation which is somewhat unavoidable, scrapping on all loose paints and
rust should be conducted on all surfaces of the CH, including tank tops.
A white glove test is also conducted for final checking of all reachable surfaces, be sure
they are free from dust and cargo stains. Also hose test are also conducted to check all
hatch covers water integrity and water tightness. For the final inspection all CH bilges

should be checked clean and dried and with installed burlaps. It also a practice in this
vessel that the bilge valves in the E/R are secured/blind to prevent accidental water
accumulations in the CH bilges.

CARGO OPERATION MONITORING


During Loading/Un-loading operations, especially on bulk cargoes, cargo quantity is
determined by shore scale for grains and draft survey if dirty cargos (coal, iron ore, etc.).
Cargo quantity must always be counter checked by the vessel draft survey. Also the quality
of the cargo especially during loading, take photos as necessary for future reference. Make
necessary daily report of cargo operation on a daily basis and send it to the office (MTM)
and all concerned parties as stipulated in the voyage instruction/s.
Monitor cargo operations at all times, keep the vessel close to upright position with a
positive trim. Monitor vessel’s sheering force, bending moment, grain heeling moment and
drafts with-in the acceptable limits. Refer to the loading/discharging sequence/plan as
necessary during the course of the cargo operation.
Obtain or ask permission from stevedore’s foreman/supervisors to secure the covers
upon completion of loading on each hold or ASAP with the proper notification from cargo
surveyor/s (i.e. NCB, AMSA, ETC.).
In case of grain cargoes, application of hatch cover sealing tapes/Marine tapes is also
done to cover all HC joints as additional measures for water tightness and cargo care. It
should be done as early as possible time before vessel encounters unfavorable weather and
sea condition. Use of heating torch can also be applied for effective adhesion of the hatch
sealing tapes, especially in low temperature areas to be sure that it will not be removed by
strong winds and sea sprays.

CARGO CARE AND MONITORING


Cargo hatch securing devices such as cleats are subject to loose especially during heavy
weather in high seas. Carry out regular inspection and tighten them if necessary.
Changes in temperature are likely to occur during transit due to different seasonal
regions resulting to unbalance of temperature between inside holds and outside
temperature. Constant monitoring of temperature is a must on both inside holds and
outside temperature. Apply ventilation (natural) as practicable or necessary. Also monitor
FOT temperature, only 40OC max is permissible to avoid heat damage to cargoes. Daily
record of cargo temperature must be made ready if necessary on/until arrival last discharge
port.
Daily monitor of CH bilge sounding is also being conducted and it also includes the P/O
of bilge water (quantity) if any, required in case of coal cargo for any quantity discrepancy.

LOADING AND CARRIAGE OF CARGO OTHER THAN GRAINS


a. STEEL PRODUCT
When loading steel products, hold painting is not actually necessary unless otherwise
instructed. Ensure all CH are swept clean and dry including bilge wells before loading.
Suspend cargo operation during rain and ensure all HC, including booby hatch entrances and
vents are water tightly closed and secured.
Check and be vigilant for any damages to the ship and cargo due to stevedore’s rough
handling. Be aware of any claims that are likely to occur raised by stevedores or
longshoremen, accomplish written-legal evidence to protect the owner and vessel’s interest.
Inform the Master of any irregular circumstances. Log down any remarks and ask foreman /
PIC on shore side to sign for their acceptance/s.

During sea passage, Monitor CH bilges and P/O any water to keep the holds from
moisture. Regularly check the condition of lashings and securing points of all cargo. Record
all events relating t cargo care and monitoring including hold ventilation as necessary.

b. COAL CARGO
Ensure all Cargo Holds has no traces of previous cargo/s, not necessarily on grain
standard but no loose rust/paint flakes.
During sea passage, Monitoring and record of the following is essential and notify the
company ASAP for in case of any assistance:
 Hold / cargo temperature and gas.
 Increasing temperature of cargo.
 Carbon Monoxide shows steady and significant rise over three (3) consecutive days
and/or it reaches 50ppm on its readings.
 Increase reading of combustible gas/s.
 Monitoring of bilge well soundings with PH readings, P/O water in CH bilge and keep
records of its P/O.
Refer to IMSBC Code, Thomas Stowage and Shipper’s Declarations for more information
in the carriage of coal.

MATES RECEPT, BILL OF LADING, CARGO MANIFEST, STEVEDORES CLAIMS AND


OTHER CARGO DOCUMENTS
Notify the Master before signing any cargo documents, put necessary remarks in order
to protect the interest of the vessel, company and owner. Any damage to the vessel / cargo
and injury should be promptly reported to the Master so as to make an immediate action to
seek advice from agent and/or P&I Club as early as possible before the ship to sail on a
scheduled time. Any delay against stevedore’s injury or damage claims/reports, especially in
American and Canadian ports will surely put the vessel, company and the owner in great
jeopardy. Also Master should be notified any discrepancy in the cargo quantity without delay
to arise and make appropriate Marine Protest if necessary.
