OVERVIEW OF THE MATERIAL

Sending out information to convey important

message is very vital. Because of ICT, things are now sent
much faster than the traditional newsletters or postal mail.
You can now use the Internet to send out information you
need to share. Through technology, we can now create
and send uniform letters with different recipients
automatically. Example of this is though word processing
software.

In this module, you will learn the advance skills you

can improve using Microsoft Word.

MAIL MERGE AND LABEL GENERATION

In sending mails, if you have too many recipients, it will take you hours to send it. The
solution to this is automatically generating your letter through the use of mail merge.

What is mail merge? It is a feature of Microsoft Word that allows you to create a
document and merge them with another document or data file.

How to use Mail Merge in Microsoft Word?

1. In a blank Microsoft Word document, click on the Mailings tab, and in the Start Mail
Merge group, click Start Mail Merge.

2. Click Step-by-Step Mail Merge Wizard.

3. Select your document type.
Example: Select Letters. Click Next: Starting document.
4. Select the starting document.
Example: Use the current (blank) document. Select Use the current document and then
click Next: Select recipients.
5. Select recipients. Select Type a new list and then click Create
6. Create a list by adding data in the New Address List dialog box and clicking OK.
7. Save the list.
8. Now that a list has been created, the Mail Merge Wizard reverts to Use an existing list and
you have the option to edit the recipient list.
9. If you want to edit your recipient list, select the Edit recipient list and the dialog box of
Mail Merge Recipients will open up. You can select or unselect records then click Ok.
10. Click Next: write your letter
11. Write the letter and add custom fields.
12. Click Address block to add the recipients' addresses at the top of the document.

13. In the Insert Address Block dialog box, check or uncheck boxes and select options on
the left until the address appears the way you want it to.
14. Note that you can use Match Fields to correct
any problems. Clicking Match Fields opens up
the Match Fields dialog box, in which you can
associate the fields from your list with the fields
required by the wizard.

15. Press Enter on your keyboard and

click Greeting line... to enter a greeting.
16. In the Insert Greeting Line dialog box, choose
the greeting line format by clicking the drop-
down arrows and selecting the options of your
choice, and then click OK.
17. Note that the address block and greeting line
are surrounded by chevrons (« »). Write a short
letter and click Next: Preview your letters.
18. Preview your letter and click Next: Complete
the merge.
19. Click Print to print your letters or Edit individual
letters to further personalize some or all of the
letters.

INTEGRATING AND PLACEMENT OF IMAGES AND EXTERNAL MATERIALS

Integrating or inserting pictures in your document is fun and it improves the impression
of your document. A common use of inserting a picture on a document is when you are
creating your resume. Though seemingly simple to do, your knowledge on the different kinds
of materials that you can insert or integrate in a Word document and its characteristics can
help you create a more efficient, richer document not only in content but also in physical
form. A better understanding of the physical form of your document as well as the different
materials you would integrate in it would allow you to be more efficient and versatile in
using Microsoft Word.

There are various kinds of materials Microsoft Word is capable of integrating to make
the documents richer, more impressive, and more informative.

Go to the insert tab and you’ll see the different materials you could integrate on your
document.

1. Pictures (JPEG/JPG, PNG, GIF)

2. Clipart (GIF)- Microsoft Word has library of clipart that is built in or can be
downloaded.
3. Shapes- to enhance the appearance of your documents you can insert shapes that
are useful for composing ideas and message.
4. Smart Art- . If you want to graphically represent an organization, process, relationships,
or flow for infographic documents, then you will find this easy and handy to use.
5. Chart- Used to illustrate and compare data.
6. Screenshot- Microsoft Word even provides a snipping tool for your screen shots so you
can select and display only the part that you exactly like to capture on your screen.

In placing images, you must use text wrapping options.

1. In Line with Text- This is the default setting for images that are inserted or integrated in
your document. It treats your image like a text font with the bottom side totally
aligned with the text line. This setting is usually used when you need to place your
image at the beginning of a paragraph. When placed between texts in a paragraph
or a sentence, it distorts the overall appearance and arrangement of the texts in the
paragraph because it will take up the space it needs vertically, pushing whole lines of
texts upward.
2. Square- This setting allows the image you inserted to be placed anywhere with the
paragraph with the text going around the image in a square pattern like frame.
3. Tight- This is almost the same as the Square setting, but here the text “hug” or
conforms to the general shape of the image. This allows you to get a more creative
effect on your document. This setting can mostly be achieved if you are using an
image that supports transparency like a .GIF or .PNG file.
4. Through- This setting allows the text on your document to flow even tighter taking the
contours and shape of the image. Again, this can be best used with .GIF or .PNG type
of image.
5. Top and Bottom- This setting pushes the texts away vertically to the top and/or the
bottom of the image so that the image occupies a whole text line on its own.
6. Behind Text- This allows your image to be dragged and placed anywhere on your
document but with all the texts floating in front of it. It effectively makes your image
look like a background.
7. In Front of Text- As it suggests, this setting allows your image to be placed right on top
of the text as if your image was dropped right on it. That means whatever part of the
text you placed the image on, it will be covered by the image.

APPLICATION

Using Microsoft Word, create a word document and place images using the 7 different text
wrapping options. Send your output to my messenger account or through g-mail. For those
who are struggling with the internet connectivity, you can submit your output to me
personally at OLPA during the drop-off of modules.
Note: The output should be in .docx format, for me to easily determine the text wrap used
on the images. You can insert any image you want as long as the 7 different text
wrapping options were used. (20 pts)
