1 ABOUT THESE INSTRUCTIONS
The purpose of this booklet is to inform all vessels of the format required to send routine messages to MSC Geneva, i.e. vessel's daily
positions at Noon, EOSP, Berthing, Sailing, COSP and Delay messages. The instruction is centred on the format required to send
messages to Geneva. The examples that will follow are indicative only and might not reflect the routes and ports that you will be calling.
Following regular messages are to be sent only to MSC Geneva using the dedicated e-mail address created for your own use and which
should be built as follows :
CH001-vesselnamemsc@msc.com
- all necessary MSC Personnel in Headquarters (Planning, Operations, Line Managers, Communications).
- your ship management (if you are an MSC owned vessel)
- all agents on the trade-route your ship is following
(NB : If you change service, you will receive a notification from MSC Geneva Communications dept few days before
change of service, giving you the new service code and managers names in charge)
2) This e-mail address is RESERVED EXCLUSIVELY for your routine reporting. Please do not publish or pass it to people outside
of MSC organization and do not add it in copy when sending information out of MSC.
3) Please refrain from adding cc's to your routine reporting messages because :
- recipients tend to use the ''reply-to-all" on their messages and this practice is dramatically increasing our communication costs.
- daily Noon position, EOSP, Berthing, Port Noon, Sailing, COSP/COSP Transit and Delay messages
- Certain types of reports (like Bunker request, Refueling, Sludge and Tanktainer reports) have to be sent to other specific
addresses (it will then be clarified in these reports' description) and you will find at the end of this booklet (under point 24) a
recap of all types of messages and dedicated email addresses to use.

2.2 SENDING ADDRESS - PROCEDURE IN CASE OF CHANGE OF ADRESS OR EMAIL BREAK-DOWN
When you send your reports, all data is immediately introduced in our databases for treatment. In order to avoid that spammers, pollute
our databases, we record your email address as only authorized data-provider for your vessel. If you send your report from an unknown
address data will not be recorded in our database.
1) Please always send all your reports from the same email address. Please avoid the use of sub-addresses.
2) Please send your reports from your regular e-mail address. If you use Inmarsat C, cost of sending will be higher and every time
someone from our organization will reply to you, it will also cost more.
3) Please make sure that we can reply to you using the address you use to send your reports. We will not be able to reply to you if a
password or a restriction is applied to your e-mail address. Please ensure with your owners/managers that all the
agents/principals emails addresses or domains you will have in the "Voyage Instructions" (send to you by your planner) will
be authorized to communicate with you and send attachments up to at least 500 KB (preferable upto 2 MB, due to the size of some
ports required pre-arrival documentation).
4) If your main address is out of order or changed, please follow below procedure :
- send first from replacement address a message to MSC Geneva Communications dept (info@msc.com) or our Communications
Manager philippe.cardinale@msc.com advising us of the change of address and please also advise us what are your prospects of
repairs.
- In case breakdown will last more than 12 hours and none of your email addresses are working, you can send us your reports via
Inmarsat C, but again please advise us before and in order to avoid to have to retype the full forms, (as you can't transfer
reports models on Inmarsat C console) please contact Communications dept of MSC Geneva and we will send you needed
reports via Inmarsat C, so you will be able to use them to report temporarily.
- Please avoid as much as possible to send any report from your private e-mail addresses. Domains like gmail, hotmail, yahoo etc…
are not well protected, info is collected and analysed, your reports' information has to stay confidential and not be displayed
outside of MSC organisation.
1) Please always send your reports directly in the body of the email message, never as an attachment or else we can't have data input
performed.
2) Please send your messages in ''plain text'' and not in HMTL format as our system cannot read HTML formatted reports.
3) Please use standard international alphabet and avoid special character which are blocking our relay and treatment.

2.4 HEADER COMMON TO ALL YOUR REPORTS
1) Always indicate the name of your vessel, the name of the report, the name of the port if a port report and the date in the SUBJECT
of the e-mail, on pattern :
This header will be communicated to you on your first employment and notified to you by Communications dept in case of change of
service.
To enable all our teams on shore to contact you easily, please send all your routine messages (not the daily reports like NOON, etc…
but all your messages to your planners / operations / agents with following signature, thank you in advance :

2.6 FORMAT REQUIRED - IMPORTANT NOTICE ON HOW TO FILL UP OUR REPORTS
It is of utmost importance for our data treatment that you respect exactly the format given for each message (please do not modify,
add or remove any field) as the data you send is immediately integrated in our Database.
Please instruct all your persons on board which might prepare certain specific reports (like refueling and sludge for chief
engineers or some other reports for second officer) of below requirements.
1) Always copy/paste our models (you will receive blank models the first time you will work for us) and you can always ask for an
update anytime to info@msc.com
Never try to retype them, each gap has to be respected.
2) Each message starts with a starting tag in bracket preceded by a slash, example (/NOON)
and finishes with an end tag in bracket followed by a slash, example (NOON/)
The Start and End tags are very important for our data input, please always check to insert them and display them exactly.
3) Each line consists in a title in bracket and in capitals followed by the data itself, example (VOY) XA413A
- Please avoid to put in the messages additional words in brackets, that would put confusion in our input.
- Please do not modify the content of text inside the brackets, please do not omit a line even if your vessel is not concerned by this
type of info.
- Please do not add signs like ":" or……… , or many gaps between field name and data.
4) Please after the bracket in each field indicate only the data, as per our requirements, please do not add measure units (like "cbm"
"mt" or"lt") or any personal comment.
6) All port codes and port names must be exactly the ones of the port codes/names list we have sent you on delivery. Every time you
will change service, you will receive an updated list of needed port codes and names. Please always keep a copy on your desk.
Please do not improvise port codes with the two first letters of the country and the three first letters of the port ! We have
to follow UNO requirements and all our documentation is not valid if not bearing exact display. Please do not add country name or
terminal names, please just report the codes and names as they appear on the list distributed by MSC.
7) If you miss a data or do not have an info, please just leave the field empty, do not add "N/A" or "-" or "unknown”, or ???,
xx:xx which are impossible to treat and even delay distribution and treatment of your messages
8) An additional field at the end of all our reports (after the end tag) called
OTHERS:

9) In the detailed reports explanations as from point 5. we always give for each field an example of how data should be reported.
Kindly respect it.
10) Please put only one value per line. Avoid Value One / Value Two
If you want to specify a second value, pls put a free text at the end of the message under OTHERS :
11) For all reports please always put the name of your vessel without M/V, ex : (VSL) MSC ROSARIA
12) Only send one report per email. Do not send two different types of report in the same email.

Our schedules are updated from the dates you give us in your reports

As you are now sending at least a report every day, it is possible to update it every day.
For us no date means that our schedule keeps old dates, we need these updates even if only estimated to have an updated schedule.
IMPORTANT NOTIFICATION ON (FW SUPPLY), (CARGO TOTAL), (TEU FULL), (TEU EMPTY) AND GARBAGE
CONCERNED FIELDS IN SAILING REPORT + (CARGO TOTAL) (CARGO TOTAL TEU) IN NOON, EOSP AND
DELAY REPORTS
Please note that above mentioned fields are mandatory, as this info is very important to us, please do not leave them with no data.
- (FW SUPPLY) and GARBAGE concerned fields if you have not embarked fresh water and if you have not removed any garbage,
please ensure to fill them with "0"
- (CARGO TOTAL): if you do not have any cargo on board, please fill this field with "0" and specify under "OTHERS:" that you are
in Ballast conditions.
N.B. if you have only empty containers on board, please note their weight must be declared AS CARGO (in metric tons)
- (TEU FULL), (TEU EMPTY): please ensure to fill them with "0" when you do not load any empty and/or any full container and/or
when you do not have any container on board.
- (CARGO TOTAL TEU): please fill it with “0” when you do not have any container on board
Very shortly after having received these instructions, you will be contacted either through your managers or by our Efficiency dept in
Geneva and Helpdesk Helintec (helpdesk@helintec.com) which will help you to implement on board the Vessel Reporting System
(VRS) a system which will help you to create the needed daily reports.
Until you have received all necessary programms and full instructions, please keep on reporting via e-mail with the blank models we
will send you in a separate mail.
VERY IMPORTANT : once you will start using VRS, you will send coded files to mscvrs.reporting@msc.com, but at the same
time you will have to export a text copy and will have to send it via e-mail in plain text to your usual relay address (please see
Page. 3, Para 2.1).

3 VARIOUS REPORTS - REPORT TIMES LINE
1) NOON REPORTS : A noon report must be sent everyday irrespective of the vessel's position
- a POSITION REPORT (NOON) : should be sent everyday if the vessel is at sea at noon time (local time). If you sailed a
port in the morning and have sent (COSP) before noon, a noon report must also be sent on the same day at noon time.
- a PORT NOON REPORT (PORT NOON) : should be sent at noon time (local time) whenever a vessel berthed in port.
It must be sent even if you have already sent EOSP or BERTHING messages few hours before noon in a port.
A PORT NOON should only be sent between BERTHING and SAILING.
- a DELAY REPORT (DELAY) : should be sent every time when you are not at sea, nor at berth but waiting for berthing
(at anchorage or drifting) , or delayed after sailing in case of delay before COSP. Please renew every day at noon in case
delay is prolonged. A DELAY report should not be sent between BERTHING and SAILING
These reports will enable to monitor precisely all your inner port moves.
- an END OF SEA PASSAGE REPORT (EOSP) : should be sent after end of sea passage of the vessel.
- a BERTHING REPORT (BERTHING) : should be sent immediately after berthing of the vessel in port.
- a SAILING REPORT (SAILING) : should be sent after the departure of vessel from berth.
- a COMMENCEMENT OF SEA PASSAGE REPORT (COSP) : should be sent after commencement of sea passage of the
vessel.
- an END OF SEA PASSAGE REPORT (EOSP) : should be sent at end of sea passage of the vessel
- a COSP TRANSIT REPORT (COSP TRANSIT) : should covering all the transit, to be sent at the end of the transit.

If you perform a Canal Transit immediately before or after a port call you should send separated

7 POSITION REPORT - NOON
A noon report should be sent everyday if the vessel is at sea at noon time (local time). If you sailed a port in the morning and sent your
(COSP) before noon, please send us a noon report on the same day.

9 DELAY REPORT - DELAY
In our today's world ports are more and more congested, or sometime weather conditions can heavily delay your ship. Whenever you
are not at Sea, nor at berth but waiting for berthing or blocked somewhere for any reason kindly send this report at the
commencement of delay and subsequently every day at Noon. In case of heavy delay an estimation renewed every day is better
than no information at all and please do not report ETB or ETD UNKNOWN or TBA which can't be treated by computer, try always
to give us an ETB or an ETD and renew everyday your estimation. This report should be sent if there is a delay after EOSP before
BERTHING and also if there is a delay after SAILING before COSP. DELAY report should never be sent between BERTHING and
SAILING). In case of delay on sailing, ETB should be ignored and ETD should concern present port.
IMPORTANT INSTRUCTIONS:
- DELAY REPORT SHOULD BE SENT WHENEVER THERE IS A DELAY EVEN IF THE VESSEL IS DELAYED ENTERING / DEPARTING
CANAL/STRAIT. (SEE CHAPTER 17).
- PLEASE SEND ANOTHER DELAY EVERY DAY AT NOON IN CASE DELAY IS PROLONGED.

13 REFUELING MESSAGES - REFUELING
Every time you receive Bunker we need you to send us a REFUELING report. It is also concerning the quantities of DISTILLATE
ULS you will receive in Tanktainers.
This form has to be sent only to ch001-bkrsgva@msc.com, please do not add any other address in copy and do not send it to your
dedicated relay address.
- Please fill one refueling report per delivery (meaning one per each type of product and if you have two separate deliveries for the
same type of product, then please also send two separate reports)
- Please also attach a scanned copy of Bunker Delivery Notice to each refueling report, if a BDN concerns more than one refueling
(when bunkering is delivered in two operations or by two different providers), please attach it to the first one only.
Special Note for T/C vessels: in addition please send also a copy of BDN ONLY to bunker.receipt.charter@medlog.be
- If you have a bunker claim and issue a bunker protest, kindly attach it also to your refueling report.

14. SPECIAL BUNKERING MATTERS
When stopping at a barge outside a port (where you will not make a call for loading and discharging) for bunkering we need you to
send EOSP, Berthing, Sailing and COSP reports) as we need this for our statistics bunker quantities before and after bunkering.
Please use the port code and the port name of the port, please leave empty the fields that are not concerned by this type of "call" but at
least give us a date time of arrival (when arriving at bunkering point) and of sailing (when leaving the bunkering point) and bunker
quantities on board before and after bunkering (ROB's).
In case you bunker at anchorage before or after a commercial call, kindly proceed as follows:
- Before ARRIVAL:
- In the next report whether it is DELAY REPORT or BERTHING REPORT the ROB should be updated and also indicate in
OTHERS: 100 T HS FO BUNKERED AT ANCHORAGE ON … (DATE/TIME). In that case BERTHING report should
only be sent on effective arrival of vessel at berth for commercial call.
- After SAILING:
- In the next report whether it is DELAY REPORT or COSP REPORT the ROB should be updated and also indicate in OTHER:

15. TANKTAINERS (OF GASOIL LS) FOR REEFER GENERATOR REPORTING
MSC GENEVA BUNKER DEPT is in charge of ordering DISTILLATE ULS for the Tanktainers dedicated to Power Pack use.
This chapter does not concern the Tank containers used for the transport of chemicals but only the ones that are loaded and discharged
with Gasoil LS, upon necessity.
Only if you have this type of tanktainers on board you need to report them.
If you do not have them on board please leave the fields empty in the general reports and the bunker requests, please do not fill
them with 0 or n/a etc…
Here is the procedure to follow for the Tanktainer (loaded and discharged) bunkering and reporting:
- The agency provides to the captain and MSC Geneva bunker department the tank container ID number and the capacity of same.
- The vessel sends the bunker request adding this new information (tanks container ID number and capacity of the tank).
- MSC Geneva treats the request as a normal bunker request (we fix the price with the supplier and a confirmation will be sent to the
vessel with all details (port, date, supplier, quantities, bunker order number, etc.,)
- Once tanktainer(s) loaded, vessel will send immediately two (2) reports:

18. REPORTING OF VARIOUS CANAL TRANSITS AND STRAIT PASSAGES - COSP TRANSIT
1) When aiming / impeding canal/strait use normal NOON & EOSP reports giving port code and port name as above and ETA date
& time for canal in the report. In section “OTHERS:” give port, port code, ETA date and time for next port after canal transit.
Please ensure that an EOSP should be sent at end of sea passage of vessel before transit in which under
(ETB DATE) you indicate EXPECTED DATE OF START OF TRANSIT IN DD/MM/YYYY
(ETB TIME) you indicate EXPECTED TIME OF START OF TRANSIT IN HH:MN
2) Then COSP TRANSIT report should be sent immediately after the transit instead of the normal COSP report.

19 NOTE ON SERVICE SPEED
In case you have a notification for revision of speed you will need to update the below fields in your immediate next noon position

19 DRY-DOCK REPORTING
We also need you to send an EOSP, BERTHING, SAILING and COSP report when you go into and depart DRY-DOCK. If there is a
delay between EOSP and BERTHING or between SAILING and COSP a DELAY REPORT should be sent.
Of course please only fill up the fields that need to be filled (Dates, times and bunker ROBs and indicate at the end of your report under
OTHERS : DRY-DOCK.)
During Dry-Dock period please send us every day at noon a PORT NOON report indicating an estimation of your ETD date and time
and precising under OTHERS: DRY-DOCK - These ETD date and time are very useful to us (even if we are aware this is a pure
estimation).
Most Dry-Dock port codes and names are included in the general UNO Port codes list we distribute to you on delivery and that you can
ask any time for an update to our Communications dept (see Contacts at the end of this booklet) in case you miss it on board.
(For T/C vessels who will be turning back to hire after dry-docking, even if you are most of the time off-hire during dry-dock period,
kindly send them, it is of great help for us).
For all vessels, please keep voyage number of previous voyage during all dry-dock period until you will start a new voyage after
exit of Dry-Dock port (port where you will change voyage number will be indicated in your new schedule).
21 SHIFTING REPORTING
- If you shift from one port to another (with different port codes), however short the voyage and distance between
ports may be, you must send after first port SAILING a COSP, then an EOSP and BERTHING second port (ev. PORT
NOONS or DELAYS if needed) and COSP second port.
- If you perform only a shifting of berth inside the same port (same port codes), even with an interim anchorage involved, you should
send, after first EOSP and BERTHING, a PORT NOON every day at noon, filling the relative fields e.g. (SHIFT BERTH HOURS)
and then a SAILING and a COSP when leaving the port.
