1.0. Introduction

Background of the study

According to World Health Organization (WHO), a hospital is an essential component of

social and medical organizations that offer complete curative and preventive medical care and

treatment to individuals. Hospitals serve as the primary sites of clinical research and

instruction for future healthcare professionals. Thus the use of technology has emerged as a

critical aspect in improving the delivery of medical services. As hospitals attempt to deliver

efficient and effective treatment to patients, hospital operations management remains a

daunting problem. Traditional administrative processes, paper-based record-keeping, and

disconnected communication technologies stymie the potential for streamlined and improved

healthcare services. Implementing technology-driven solutions, such as hospital management

systems, has become critical for solving these difficulties.

Similar difficulties are encountered by Nyeri Hospital on a regular basis as it strives to serve

the community. Nyeri County Referral Hospital is a renowned healthcare facility. The

hospital's dedication to providing top-notch patient care and the demand for effective

administrative procedures have highlighted the need for an integrated and customized

solution. This project, "Hospital Management System for Nyeri County Referral Hospital,"

aims to deliver a comprehensive and technologically-driven solution to optimize the range of

healthcare operations as a strategic response to these difficulties.


2.Problem Statement

Like many healthcare facilities, Nyeri County Referral Hospital encounters a number of

operating difficulties. These difficulties include the need to keep patient records manually,

ineffective scheduling, poor departmental coordination, difficulties managing inventory, and

the possibility of mistakes in administrative activities like payment and wage payment. In

addition to impeding the hospital's capacity to deliver prompt, efficient care, these problems

also present chances for mistakes and misunderstandings.

Without a modern hospital management system, these problems can be worsened by

disjointed data, time-consuming administrative tasks, and poorly presented and poorly

coordinated patient care. Clearly, to improve patient care, streamline operations, and enable

data-driven decision-making, Nyeri County Referral Hospital needs technology solutions.

Purpose of the study

The purpose of this research is to find solutions to the problems that exist in the existing

hospital management at Nyeri County Referral Hospital which is done manually where

patient details are recorded manually in books.

By the use of this system, instead of filling in the patient’s details in books, the process will

be done online as the system will have a patient module to capture all the patient’s details and

keep track of their records. Also, all other operations in the hospital will be done online.

Objectives

The main objective is to develop an online hospital management system for Nyeri County

Referral Hospital where all activities will be done online.

Specific objectives
i. To register and authenticate users into the system

ii. To allocate beds to patients.

iii. To enhance electronic medical records management

iv. To automate the billing process

v. To enhance inventory management.

vi. To enhance staff administration

Significance of the study

The implementation of the proposed hospital management system carries profound

significance on multiple fronts. Firstly the system will ease the work as everything will be

done electronically all the way from patient registration to patient records management.

Secondly, the automation of administrative tasks by the system presents a promising avenue

for mitigating human error, optimizing operational efficiency, and liberating precious staff

time that can be directed toward more critical and value-added endeavors. Lastly, the project

aligns harmoniously with the overarching trajectory within the healthcare industry: the

integration of technology-driven solutions. By embracing such solutions, hospitals not only

bolster their competitiveness but also nurture agility and responsiveness in the face of a

rapidly evolving healthcare landscape.

Research Methodology

Introduction.

Choosing the appropriate methodology to use is an essential key feature in developing any

project because it contributes to its success. As a result, the agile development model is

chosen for the development of this system because it is interactive and iterative. The agile

methodology, which employs iterative development and prototyping, is widely used in

various industry projects as a lightweight development method that can accommodate


requirement changes. The development process is divided into phases; once the project's first

phase is completed, it is released to users; if they provide feedback, the process is restarted at

stage one, which is rereleased. The process is repeated several times until the project is

finished and customer satisfaction is met. Each iteration of this methodology involves

working through a complete software development life cycle, including planning,

requirement analysis, design, coding, and testing. With the use of sprints and feedback-

gathering sessions with the client, the agile model enhances flexibility to add any change in

system requirements or modifications in the system that are important to the client but missed

by the developer of the project. Its iterative nature aids in incorporating and correcting

various errors and bugs that arise over time.

Requirements Gathering

Requirements gathering is the technique used to collect data and information to gain a clear

picture of the problem to be solved.


Primary sources

Questionnaires

Questionnaires are the most common method of gathering information. The online

questionnaire will be administered, and a series of logically structured questions will be

distributed to staffs at Nyeri County Referral Hospital and also to patients. The questions will

be simple, straightforward, and to the point to provide detailed responses about the system.

The data collected will be analysed using a pie chart to show feedback and response from the

users of this proposed system.

Interviews

Interviews are one of the most effective methods for gathering qualitative data. This study

will interview by asking a series of questions to various students and recording their

responses. The recordings of the answers will be used to analyse the information gathered.

Internet

The Internet is a valuable source of information, and it will especially enable comprehensive

research and study of incident handling systems to gather more data.

The proposed system will be developed using PHP programming language and MSQL

Database.
