Introduction

This report presents an overview of my internship experience at the Foreign Language


Center of University of Education. The internship provided me with the opportunity to
gain practical knowledge and hands-on experience in the field of language education
and counseling.

The Foreign Language Center, located within the prestigious University of Education,
is renowned for its commitment to excellence in language instruction and its dedication
to nurturing students' linguistic and cultural competencies. The center offers a wide
range of language programs, catering to students of different ages and proficiency
levels.

During my internship, I had the privilege of working alongside experienced


professionals who are passionate about language education. The center's staff members
are highly qualified and possess a wealth of knowledge in their respective fields. They
create a supportive and dynamic learning environment, where students are encouraged
to develop their language skills through innovative teaching methods and interactive
activities.

In this report, I will provide an overview of the tasks and responsibilities I undertook as
an intern at the Foreign Language Center. I will discuss the valuable insights I gained,
the challenges I encountered, and the lessons I learned throughout the internship.
Additionally, I will reflect on the practical applications of my academic knowledge and
the skills I acquired during my time at the center.

This internship has been a transformative experience, allowing me to bridge the gap
between theory and practice in language education. It has provided me with a deeper
understanding of the intricacies involved in language instruction and counseling, as
well as the opportunity to observe and contribute to the center's commitment to
fostering language proficiency among students.

I am grateful to the Foreign Language Center and the University of Education for
granting me this invaluable learning opportunity. This report aims to showcase the
enriching experiences and personal growth I have achieved during my internship,
highlighting the center's contributions to language education and its impact on students'
language learning journey.

Part 1: OVERVIEW OF THE COMPANY

1.1 Introduction about the company

1.1.2 History and development of the company

The Language Center was established according to Decision No. 36/QD-DHSP on


January 2, 1992 by the Rector of the Ho Chi Minh City University of Education , and
operates under the regulations issued by Decision No. 230/QD-DHSP by the Rector of

the Ho Chi Minh City University of Education . Based on these regulations, the Center
has branches located at addresses determined by the Rector (Article 2.3).

The Language Center at the Ho Chi Minh City University of Education with the aim of
improving the English language proficiency of the University's students and faculty.
Over the years, the Center has expanded its scope to offer a wide range of language
programs and services to the broader community.

Through its various programs, including language courses, teacher training, and
language proficiency testing, the center has played a vital role in promoting English
language education in Vietnam. It has also collaborated with international partners to
promote academic and cultural exchange programs, further enhancing the center's
reputation as a leading language institution in the region.

The Language Center's commitment to excellence in language education is reflected in


its highly qualified and experienced faculty, who are dedicated to providing students
with the highest quality of instruction. The center's modern facilities and state-of-the-
art language technology also ensure that students have access to the latest tools and
resources to support their language learning.

Currently, to serve the purpose of learning English and other languages, the Language
Center has four branches:

Overall, the Language Center at the Ho Chi Minh City University of Education has a
rich history of providing high-quality language education and services to the university
community and beyond. Its continued growth and success are a testament to its
commitment to excellence and its mission to promote language education in Vietnam
and beyond.

Visions:
With the quality of the University of Education - Foreign Language Center aiming to
become a leading foreign language training center, meeting the diverse needs of
learners. In addition, the center's vision includes building a friendly, diverse, and
creative learning environment to help students develop necessary soft and professional
skills. The center also aims to create a multicultural environment, promoting exchange
and learning between countries with different cultures. The University of Education
Foreign Language Center's vision also includes continuous innovation in teaching
methods and language research, enabling students to access the latest advances in this
field and make positive contributions to the development of the foreign language
education industry.

Mission:

 Guide and monitor the implementation of regulations related to foreign language


teaching and exam preparation according to the regulations of the University and
relevant levels.
 Regularly report to the Rector on the activities and related data of the Center
regarding foreign language training.
 Fully and promptly fulfill financial obligations as prescribed by law.
 Conduct training and research activities to improve the quality of teaching and
the effectiveness of foreign language training.

 Organize exams and issue English proficiency certificates from level 2 to level 5
according to the 6-level National Foreign Language Proficiency Framework for
Vietnam.
 Organize training for examiners in speaking and writing subjects and for those
who create exam questions following the formats of English proficiency exams
based on the 6-level National Foreign Language Proficiency Framework for
Vietnam.
 Cooperate and exchange experiences with relevant training institutions, language
centers to improve the quality of training and promote the center's brand.

Core values:
We can see that the Foreign Language Center of Ho Chi Minh City University of
Education has created an interesting and diverse learning environment for students,
helping them develop language skills and necessary soft skills for work and life. At the
same time, the center also creates opportunities for students to interact with people from
different cultures, expanding their knowledge and understanding of the world around
them. This has helped the center meet the demand for intellectual improvement for
everyone, not only students but also civil servants, officials, and working professionals

*The functions of each department :


- Director of Foreign Language Center : The Director of the Language Center at the
University of Education holds the highest position and plays a crucial role in setting
policies, developing strategic plans, and establishing goals that align with the
university's vision and objectives. Moreover, the Director is responsible for overseeing
the recruitment, selection, and professional development of language instructors. They
also actively foster collaborations with various departments, academic units, and
external stakeholders to enhance language learning opportunities. Mr. Nguyen Phuong

Tan serves as the esteemed Director of the Foreign Language Center at the University
of Education.
- Vice Director of Foreign Language Center : The Vice Director assumes the
responsibility of assisting the Director in overseeing the operations of the center. In
addition, she plays a crucial role in supporting the Director in managing the day-to-day
activities of the center, including planning and organizing events, and ensuring the
quality of all aspects. Mrs. Dinh Tran Hanh Nguyen holds the position of Vice
Director.
- Speacialization Department : The Specialization Department, as per convention,
plays a pivotal role in the development of language programs by crafting their
structure and content. They also take charge of training and developing instructors,
overseeing teaching quality, and evaluating student feedback to ensure adherence to
the set standards. The department is composed of 11 members, with Mrs. Dinh Tran
Hạnh Nguyen , the Vice Director, assuming the role of the Department Head
- Branch Manager of Foreign Language Center : The branch manager is responsible
for managing and coordinating the daily operations of the branch, including
overseeing the coordination of course programs and teaching curriculum, ensuring
their effective implementation. Currently, the Foreign Language Center has only four
branches: Branch 1, Branch 2, Branch 3, and Branch 6, each of which is led by a
respective Branch Manager.

- Deputy Branch Manager of Foreign Language Center : In this position, they will
play a direct supportive role to the Branch Manager in managing the branch's
activities, including personnel management, as well as ensuring compliance with the

center's processes and policies. They will also identify training and development needs
for the staff at the Foreign Language Center branch. Along with the Branch Managers,
there are also four Deputy Branch Managers in the Foreign Language Center.
However, currently, Branch 3 does not have a Deputy Branch Manager, so there are
only the following remaining positions:
 Deputy Branch Manager, Branch 1: Mrs. Dinh Tran Hanh Nguyen
 Deputy Branch Manager, Branch 2: Mrs. Dang Ngoc Anh Thu
 Deputy Branch Manager, Branch 6: Mr. Nguyen Anh Dai

- Registration Department : This is the most important area of the Foreign Language
Center, where students are received and provided with guidance. It serves as a hub for
offering advice on suitable courses and programs for students, as well as assisting with
necessary procedures such as tuition payment, certificate issuance, class registration
confirmation, email setup, online learning accounts, and addressing class change
requests and other student inquiries. The manager of this department is Mrs . Bui Thi
Thu Len
-Marketing / Content Creator : These roles are of significant importance at the
Foreign Language Center. The Marketing position involves creating and executing
marketing campaigns to advertise the language courses and exam programs offered at
the center. The main goal is to attract potential students, and marketing professionals
are responsible for conducting market research and analysis to identify the target
audience, including working professionals or older individuals seeking language
education.
On the other hand, the Content Creator position involves the creative task of
generating content for the center's websites, social media platforms, and branch-
specific web pages. This includes updating the latest information, sharing helpful tips
and tricks related to language learning, and effectively conveying the messages of
various courses to attract prospective students. These two roles are currently filled by
two students from the University of Education

- Teacher: The teacher will be responsible for the quality of teaching as well as
planning the learning based on the center's curriculum and teaching objectives. They
will encourage students to promote creativity in their studies. Additionally, the teacher
will also have the task of assessing and providing feedback on the student’s skills
through tests, exercises, and classroom activities.
- Accountant: The position responsible for managing and recording the financial
transactions of the Foreign Language Center is the Accountant. The Accountant's tasks
include managing and recording daily financial transactions, processing accounting
activities, preparing financial reports, and controlling the assets of the center. Mr.
Thuan is responsible for the Accountant position, ensuring the accuracy of financial
records, overseeing budgetary activities, analyzing financial data, and providing
recommendations for financial decisions. Additionally, the Accountant collaborates
with other departments and external stakeholders to ensure compliance with financial
regulations and policies.
- Treasurer : For this position, the Treasurer is responsible for managing and
coordinating the financial resources of the center. The Treasurer handles payments,
manages financial records, prepares financial reports, and oversees cash management.
The current individual holding this position is Mrs. Huong.

1.2 Overview of the company’s business situation

1.2.1 Services of the Company

The Language Center, affiliated with the University of Education, is renowned for
offering a wide range of language courses, including English, Chinese, French, and
Japanese. Additionally, it organizes general language classes as well as preparatory
sessions for national language proficiency certificates. Furthermore, it collaborates with
international language certification authorities to administer international language
proficiency exams.

* FOR THE INTERNATIONAL PROGRAM
A. INTERNATIONAL COURSES ( INCLUDING TOEIC AND IELTS )
*For the TOEIC proficiency level, there are three different levels corresponding to
three different classes:
 TOEIC 300
 TOEIC 450
 TOEIC 600
All three levels use the Longman Preparation Series for the TOEIC Test Introducing
Course - 6th Edition as the course material.
Course duration: The TOEIC courses will be conducted over 10 weeks (120 lessons, 1
lesson about 45 minutes).

*For the IELTS proficiency level, there are also three different levels corresponding to
three different classes:
 IELTS 4.0+: Using the Get Ready for IELTS course material.
 IELTS 5.0+: Using the Cambridge Complete IELTS 4.0 - 5.0 course material.
 IELTS 6.0+: Using the Cambridge Complete IELTS 5.0 - 6.5 course material.
Additionally, the Foreign Language Center offers an IELTS Exam Preparation class
for students who want to enhance their proficiency. For this class, the center will assist
students in registering for the exam and obtaining the international certification. The
exam preparation class will use course materials developed by the language center.

B. GENERAL ENGLISH based on the Vietnamese Language Proficiency


Framework, equivalent to 6 proficiency levels according to the CEFR framework.
(All courses in the General English category will consist of 16 weeks, 96 lessons.)

-For new students, access the website: http://ttnndhsp.net (choose either VSTEP and
GE PLACEMENT TESTS or VSTEP FULL TEST) to take a placement test to
determine the appropriate class.
-All classrooms are equipped with multimedia projectors.
-After completing each course, students who have attended at least 80% of the lessons
and achieved the required final assessment score will receive a Certificate of Course
Completion issued by the Director of the Language Center – University of Education

C. English Exam Preparation for Levels 3, 4, 5 - Equivalent to B1, B2, C1 levels


according to the CEFR framework.
This class is intended for students at an advanced, intermediate, and high level of
proficiency

 Both of these levels will use course materials developed by the Foreign
Language Center.

D. THE CHINESE LANGUAGE PROGRAM FOLLOWING THE HSK
CURRICULUM
(Each course will be completed within 8 weeks, consisting of 48 lessons)
This is the HSK (Hanyu Shuiping Kaoshi) language proficiency testing system
designed to assess and certify the Chinese language proficiency of non-native
speakers. The HSK program consists of different levels that evaluate key language
skills such as listening, speaking, reading, and writing in Chinese. These courses aim
to familiarize students with the structure and content of the HSK exam, develop
necessary language skills, and provide review materials. They help students prepare
for the exam by practicing and honing their language abilities.

E. THE FRENCH LANGUAGE PROGRAM


* Currently, due to the low number of registrations for French, the Language
Center is unable to open multiple classes. There is only one A2.1 class available

F. THE JAPANESE LANGUAGE PROGRAM based on the Japanese Language
Proficiency Test (JLPT) curriculum from Japan
- This program is designed to develop all four language skills in Japanese, including
listening, speaking, reading, and writing. Students will be exposed to content and test
formats similar to those in the Japanese Language Proficiency Test (JLPT), enabling
them to master the necessary skills to achieve high scores.
- The study materials in the program cover vocabulary, grammar, reading
comprehension, listening practice, and essay writing. Students will receive guidance
on test-taking strategies, have their common questions addressed, and receive
feedback to improve their performance.

The table provides an analysis of the net revenue, net costs, and net profits in the
Foreign Language sector for the years 2019, 2020, and 2021. All values are measured
in billions of Vietnamese Dong.

In 2019, the net revenue generated by the sector amounted to 38,738 billion VND.
However, there was a decline in revenue in the subsequent years, with 31,521 billion
VND in 2020 and a further decrease to 16,686 billion VND in 2021. This demonstrates
a significant downward trend in revenue over the three-year period , primarily due to
the impact of the Covid-19 pandemic. The center was affected by the pandemic,
resulting in a decrease in the number of students and a corresponding decrease in
revenue.

Similarly, the sector's net costs in 2019 were 29,686 billion VND, which slightly
decreased to 25,007 billion VND in 2020 and further dropped to 14,487 billion VND in
2021. The declining trend in costs suggests potential efforts to streamline operations
and manage expenses more efficiently.

Consequently, the net profits earned by the sector in 2019 amounted to 9,052 billion
VND. However, there was a decline in profits in the subsequent years, with 6,514
billion VND in 2020 and a further decrease to 2,199 billion VND in 2021. This
indicates a significant reduction in profitability over the three-year period.

In conclusion, the analysis of net revenue, net costs, and net profits in the Foreign
Language sector from 2019 to 2021 highlights a consistent decline in both revenue and
profits. This trend emphasizes the need for strategic measures to improve revenue
generation, optimize cost management, and enhance profitability in the future.

1.2.3 Staff: the number of employees in the company’s departments


The Foreign Language Center at the University of Education Ho Chi Minh City consists
of 7 officials, 47 staff members, and 119 teachers across its 4 branches. The highest
position in the center is the Director, who oversees all activities and serves as the legal
representative for education and business management matters. Following the Director
is the Deputy Director, responsible for supporting and interacting with other
departments within the Foreign Language Center. Next is the Department of
Specialization, which determines the language directions offered by the center, such as
English, Chinese, French, and Japanese. The Department of Specialization comprises
11 members, including 4 heads of the department, each corresponding to a specific
language. It can be observed that the organizational structure is relatively simple,
unified, and closely interconnected.

Each branch of the center has a Branch Manager and a Deputy Branch Manager.
However, Branch 3 currently does not have a Deputy Branch Manager. Additionally,
there are specific departments such as the Registration Department, Teaching Staff,
Marketing-Content Creator, Accountant, and Treasurer.

 The Registration Department consists of 7 staff members responsible for


admission consulting.
 The Teaching Staff includes 119 teachers (total number of teachers across the 4
branches).
 The Accounting Department comprises 4 members
 The Treasury Department also consists of 4 members.

All members mentioned above are officials and staff members working under the
leadership of the University of Education Ho Chi Minh City. It should be noted that the
number of staff members in each department may vary and can be subject to change
beyond the documented figures.

2.1 Organizational structure of the internship unit

Every Language Center is equipped with an Registration Office , which serves a


crucial purpose in enhancing the center's reputation and elevating the standards of
education and training in Vietnam. This department conducts meticulous research to
understand the specific requirements of students and orchestrates events pertaining to
admissions. Moreover, it acts as a liaison, forging partnerships with various
organizations and local entities seeking language training, skill development,
examination, and certification. Undoubtedly, the Registration Office holds an
indispensable role in a Language Center, skillfully directing consumer demands and
needs. The manager of this Registration Office in Branch 1 that I intern is Ms . Bui Thi
Thu Len and the people that support Ms Len is Ms.Le Thi Linh Phi

2.2 Requirements of the internship position

2.2.1 Requirements of knowledge

-Interns in the admissions counseling role should have a basic knowledge of English or
the primary language taught or provided by the Foreign Language Center.
-Understand the content, study objectives, characteristics, and advantages of each
course to be able to provide accurate and persuasive advice to students and parents.
-Interns should understand the admissions process of the Language Center, including
registration requirements, necessary documentation, and related procedures, as well as
understand the document processing workflow to assist students during the course
registration process.
-Have a clear understanding of the field and education system, including different levels
of education such as Secondary School, High School, College, University, Master, and
various forms of education and training.
-Stay updated not only in the educational environment but also in the corporate or work

responsible for submitting the list of certified students to the higher authorities to issue
completion certificates.

affiliated with University of Education, all payments are directed to the University's
bank account. However, the university utilizes Angribank as its banking institution.
Unfortunately, this particular bank does not offer 24/7 swift transfers like other
banks do. Instead, transfers are processed through regular channels, meaning that it
takes approximately 2 to 3 days for the funds to reach the recipient's bank account.
Consequently, students are unable to make successful payment Furthermore,
students are required to present a successful payment confirmation in order to
receive their invoices and attend the first day of classes. This requirement
transforms the payment process from being convenient to inconvenient for the
students. They are forced to withdraw cash from other sources and return to the
Registration Office to settle their tuition fees. Moreover, there have been cases
where the sender successfully transferred the funds to the university's bank account,
but the university did not receive the payment. This situation compels students to

contact the Angribank call center to resolve the issue, consuming a considerable
amount of time for both the students and the Registration Office.

3.3 Solutions to the remaining problems

3.3.1 Solutions for the student

 To overcome the lack of experience during the Admission Counseler


internship, I will implement the following specific measures:

-In-depth research and understanding : Dedicate time to study the admissions process,
the regulations and requirements of the institution, as well as the aspects related to
student counseling.

gradually and confidently developing the ability to analyze problems. Expanding my

approach in my work to ensure that I feel the most comfortable.
