1. Project Summary

1.1 Project Summary

NXP has a history of storing employee medical records and charts in file cabinets
as paper copies. Because NXP still stores some documentation in programs such
as FileMaker and Enviance, this leads to double work on the occupational health
nurses (OHNs) in the clinic, creating extra steps to store employee health
information. Paper charting also leads to lots of unnecessary paper usage.
The purpose of this project is to design and implement a comprehensive EMR
system where nurses can store all employee medical records, forms, and
document for all types of encounters (clinic visits, medical surveillance, work
injury, or LOA/FMLA case management) on one single platform.
The intentions of this project were to improve OHN workflows by reducing the
number of different platforms in which they were performing documentation on.
This project also intended to decrease the company’s dependency on paper
charts, and reduce paper usage. Because this project is still in progress, these
intentions have not yet been met. Based on the traction and progress of the
project thus far, the team is hopeful these intentions will be met.

2. Conclusions of Project Review

2.1 Project Review

The review of this project has been formal. The steps taken in the
implementation of EMR system in the occupational health clinic have been –
• OHNs researching possible EMR vendors to present to management for
proposal (Nurses had a preference for EPIC EMR system).

• OHNs developing proposal to management for request of implementation


of a comprehensive EMR system for the clinic.

• Management feedback on proposal; creating and dispatching EMR Task


Force Team to move forward with meetings regarding EMR
implementation.

• Management decision to move forward with negotiations with Cority


(company currently utilizes a Cority platform for COVID Case
Management / Data Analytics).

• EMR Task Force Team along with OHNs collaborate to design basic
framework of comprehensive EMR system, functionality, forms needed to
be included, tabs wanted, etc.

• Meetings with Cority, EMR Taskforce Team, Management regarding


negotiations, training on basic outline of EMR.

• Feedback from team to Cority about adjustments/changes requested


throughout course of meetings.

*Adjustments on Cority’s end of the project based on NXP personnel feedback


are still ongoing as of 02/24/2022. Next scheduled meeting between Cority and
NXP is scheduled for 03/10/2022.

2.2 Conclusions

This project is still ongoing, thus final conclusions are to be determined. Some
successes and obstacles/failures identified based on the progress of the project
so far are outlined below -
• Successes: OHNs getting management approval & full support, funding
for EMR implementation in under 2 months, final negotiations with Cority
were within NXP budget projections, EMR Taskforce design for
functionality of EMR were adopted/utilized by Cority.

• Failures: OHNs not getting their preferred vendor for EMR (Epic), “back
and forth” meetings with Cority to adjust EMR features based on clinic
needs.

3. Lessons Learned

3.1 Lessons Learned

Key points that should be considered for future related projects include but are
not limited to –
• Retain all records/documentation related to this project management per
protocol in SharePoint to help assist in future software updates,
upgrades, or if the company decides to switch to a different EMR vendor.
• Set harder deadlines with vendor to avoid stalling/delays in modifications
to software after team feedback
• Keep OHNs who are not in EMR Taskforce involved in updates, feedback
sessions to provide additional input.

4. Recommendations for Future Work

4.1 Recommendations

Recommendations for future work on the EMR project include –


• Including OHNs not directly part of EMR Taskforce in feedback to Cority
• Develop harder deadlines for Cority to avoid rollout delays

5. Ongoing Risks & Issues to be Aware of

5.1 Ongoing risks and assumptions

Risks and issues that need to continue to be monitored after implementation


include –
• Accurate transfer of employee records from paper charts to EMR system;
proper disposal of old paper charts after all information has been
transferred to EMR.
• Ensuring OHN understanding of EMR system navigation and continuation
of training where there are deficits in knowledge of system
• Continuation of support for EMR questions/applications from Cority
Support Team
• Training of employees to access their EHRs
• Ongoing HIPAA compliance after EMR system implementation

• Training of Emergency Response Teams with new EMR in regard to
emergency forms and documentation

6. Project Cost

6.1 Final Project Cost

The initial budget for this project was $100,000.00. Negotiations with Cority led
to EMR implementation cost of $95,000.00. This cost includes design, and
technical support for first 12-months post-implementation.

6.2 Any Ongoing Costs

Ongoing costs associated with this project include –


• Technical support past 12-month support already included with
implementation
• Quarterly software updates and specialist support for the software
updates.
