How to open a course and


manage student enrollment
New Course Opening Request

• Contact your dealer for an agreement to open a new


course
• Specify the course options you need according to
your pedagogical needs
• Refer to the page 'How to open a course' in the
‘Instructor Space' menu of the site
• To send the request for opening
– Either download the opening request Excel sheet of, fill it
carefully and send it to your distributor
– Or, preferably, fill out the form directly ('Form' button)
Characteristics of a course
• The institution concerned
• The site (Location where the course is held, optional)
• A course / group identification code
Code on a few characters (in uppercase) to uniquely identify the group of students who are
taking the course. Example: ERP_PI5
• The course title
This title is displayed on the course selection grid during login. Example: Introduction to
ERP with e-Prelude
• The group name
This group name is displayed on the course selection grid when logging in. Optional.
Example: Group A (Pr. Jones), optional
• The course start and end dates
The instructor will nevertheless have access to the course outside these dates by ticking the
box 'Show inactive courses'
• The number of students in the group
• The desired type of license

Course Opening Request Form
Click on ‘Send this form’.
It will be treated within a few days.
The instructor will have access to the course. He will receive an e-mail.
He will be able to enter the students list from the 'Participants‘ page.
Managing the course student list

• On the Login, page, connect to the course


• On the document management page, click on the
'Participants' button
Participant Management

• On the 'Participant Management' page, click on the


'Manage Participants List' button
The Participant List Window
Allows you to quickly enter a list of participants from an Excel sheet
To delete a Participant
To enter a new participant
To change the name and phone number
Creating from an Excel list

• Prepare the participants list on an excel sheet


• Two or three columns (order does not matter)
– e-mail address
– Last name and first name (can be in separated columns)
• Select the list and copy (Ctrl C)

The Participant List Window
• Click on the 'Paste an Excel list' button
• The ‘Participants List Entry' window is displayed

• Click in the upper left cell
• Paste the list (Ctrl V)
Checking email addresses

• Click on the 'Check' button

Invalid email addresses appear in red

Update the Excel list and copy it


Click on the ‘Erase' button
Paste the list again and then 'Check'
Registration of participants

• If the list is valid, click the 'OK' button


Participants are enrolled in the course
Managing the list

• Select the participant from the list


• Possible change of name and phone number.
Confirm with 'OK'
• Deleting a Participant
Wrong e-mail address for example
• Click on the 'Delete' button and confirm
– Only possible if the participant has never logged in
Last connection Date is empty
Adding a participant

• Click on 'New'
• Enter e-mail address and name
• Confirm with 'OK'
– E-mail address is checked
– A participant can only be added if the number of participants
already registered is less than the number of participants
specified at the course level
Send the access codes
• To save time before the first class, the instructor can
send the access codes of his students
• On the Participant Management page - Participant
List tab, tick Select all (the participants) and click the
Send Access Code button
