Subject: Proposal for a Six-Day Recreational Tour to Manali and Kasol in the month of October

Respected Sir,

We hope this letter finds you in good health and high spirits. We write to you on behalf of the entire
final year MBA students of our department. As we approach the culmination of our academic
journey, we believe that it is essential for us to be equipped with holistic experiences that go
beyond the confines of the classroom. In this light, we propose a six-day recreational trip
encompassing Manali and Kasol, which we intend to schedule between October 25th and
October 30th.

MBA students undergo rigorous academic schedules, and this tour would provide much-needed
stress relief, allowing us to return to our studies with renewed vigor. Such tours are an excellent
opportunity for students to bond and enhance their teamwork skills, which are crucial in the
business world. Exposure to diverse cultures and scenic beauty enriches our overall education and
widens our perspectives. This recreational tour to Manali and Kasol, represents a unique
opportunity of learning along with recreation. This will be once-in-a-lifetime experience that we
will cherish forever.

To ensure the feasibility of this tour, students have agreed to contribute Rs 8300 Approx. per
person. We have initiated discussions with trip planners and received quotations that align with
this budget. The estimated cost per person for a 6 day tour is approximately same if 45 Students
agrees to go. We have conducted a poll on WhatsApp, which has generated significant excitement
and interest among the students. Please review the attached terms and conditions that have been
agreed upon by the students.

In light of the above, we kindly request your permission to proceed with the organization of this
recreational tour. We understand that academic activities must be prioritized, and as such, we seek
to conduct this tour before the end of October. This timeframe will allow us to return with ample
time to refocus on our academic commitments in November.

We kindly request your prompt consideration and approval of this proposal, as we need to secure
bookings and make necessary arrangements. Your support in this endeavor would be invaluable in
ensuring that our MBA batch has a memorable and enriching experience.

TERMS & CONDITIONS
1. The recreational tour is scheduled to take place between October 25th and October 30th,
subject to final confirmation.

2. The suggested tour destinations are Manali and Kasol, which are mountainous regions.
Students signing acknowledge that they are undertaking this trip at their own risk.

3. Manali experienced incidents of landslides and floods in July, and while the current
conditions are considered safe, all participants acknowledge the potential risk and
willingly assume responsibility for their safety during the trip.

4. Two faculty members, one male and one female, will accompany the students on the trip.
Participants commit to following their instructions and displaying exemplary behavior
throughout the tour.

5. Participants are in agreement to attentively follow the instructions provided by travel


instructors of the travel agency throughout the tour.

6. Each participating student agrees to contribute approximately Rs 8300 towards the total
tour cost. This cost covers accommodation, transportation, and other associated expenses
(Breakfast & Dinner at Hotel) for the duration of the 6-day tour. The amount mentioned
does not cover personal expenses such as meals for lunch and other personal expenses.

7. The feasibility of this cost is contingent upon a minimum of 45 students agreeing to


participate. This estimated cost is subject to change based on the number of participants; it
will rise if the number of participants decreases and decrease if more participants decide
to join.

8. Any unforeseen situations arising during the trip, such as landslides or other unexpected
events, participants acknowledge that the trip's costs may potentially increase, and they
agree to consider this possibility.

9. Students are required to make the contribution before the specified payment deadline to
secure their spot on the tour. Failure to do so may result in exclusion from the tour.

10. Any change in tour schedule, encompassing destinations, activities, and any modifications,
will be provided to the participating students before the commencement of the trip. Please
ensure to thoroughly review the attached tour itinerary for detailed information.

11. Participants are expected to maintain respectful and responsible conduct throughout the
tour. Any disruptive or inappropriate behavior may lead to difficulties to the individual or
the group.

12. Participants are responsible for their own health and safety during the tour. It is
recommended that participants have appropriate travel insurance and take necessary
precautions.
13. In the event of a student's withdrawal from the tour, refunds will be provided as per the
tour organizers' cancellation policy. Any costs incurred due to cancellation after a certain
date may not be refundable.

14. By signing this agreement, students confirm their understanding of and agreement to the
terms and conditions outlined herein.

15. The organization and scheduling of this recreational tour are subject to approval by the
relevant authorities and academic commitments. The tour will be conducted to ensure
minimal disruption to academic activities.

16. The undersigned students acknowledge that they have reviewed and accepted these terms
and conditions.

TENTITIVE TOUR ITINERARY


Day 1: Aligarh to Manali | Overnight Travel

Travelers are expected to gather at the designated pickup location by 18:00. Upon arrival, they will
meet with the Trip Leader who will provide a brief tour overview. Following this, the group will
embark on an overnight journey.

Day 2: Reach Manali | Manali Sightseeing | Day for enjoying

Upon our arrival in Manali in the morning, we will proceed with the check-in process. Following
that, we will commence the Manali Sightseeing Tour, which encompasses visits to Hadimba Temple,
Mall Road, and exploring various cafes. Dinner will be provided in the evening, followed by an
overnight stay in Manali.

Day 3: Manali to Solang Valley to Sissu via Atul Tunnel

Following an early breakfast, we will depart for Solang Valley. Upon reaching Solang Valley, there
will be opportunities to partake in various winter adventure activities like skiing, parachuting,
paragliding, trekking, mountaineering, ATV Ride, Zipline, and more. After enjoying some time in
Solang Valley, our journey will continue to Sissu, with a planned visit to the Atul Tunnel along the
way. Dinner will be provided in the evening, followed by an overnight stay in Manali. Please note
that the visit to Sissu and the Atul Tunnel is subject to weather conditions.

Day 4: Manali to Kasol | Chalal Trek | Kasol Sightseeing

Following breakfast, our journey to Kasol will commence. We anticipate arriving in Kasol later in
the afternoon. Upon check-in, we will embark on the Chalal Trek. Dinner will be served in the
evening, with an overnight stay in Kasol to follow.
Day 5: Kasol to Aligarh

Following breakfast, we will depart from Kasol and commence our journey back to Aligarh. During
our trip, we will make a stop at Manikaran. After visiting Manikaran, we will continue our journey
towards Aligarh.

Day 6: Reach Aligarh | Tour Ends

We will arrive in Aligarh in the early morning, marking the conclusion of our trip to Himachal.
