Activity 1: Laboratory and Library Inventory

Introduction
Inventory is one way of checking the materials in a specified place. It is important to do an inventory in

order to maintain the conditions and to check whether the materials are still functional and useful. An inventory

must be conducted every once a year or every two to three years depending on the size of the materials owned.

In this activity, the researchers are assigned to conduct an inventory at the College of Engineering and

Technology (COET) Library and at the Ceramic Engineering Laboratory (CerE Lab). The COET Library is

divided into different sections – the Reserve Section which contains the in-demand books, the Circulation

Section which houses the majority of the books in the library, the Reference Section which contains the

collection of reference books, the DOST-CHED-MAEP Section and the Donated Book Section. In the

Laboratory Inventory, the equipment are not just located in the CerE Laboratory but can also be found in the

Department of Mining, Ceramics and Metallurgical Engineering (DMCEM) Stockroom and in the 3rd floor of

the COET Building.

This activity aims to find books that are related to Ceramics and Material Science Engineering in the

COET library and to know the equipment in the Ceramic Engineering Laboratory. This helps the students to

easily locate and determine the books and equipment that are related and useful to the Ceramic and Material

Science courses.

General Objectives
1. To let the students know the laboratory equipment available in the Ceramic Engineering Laboratory

and in the DMCEM Stock room.

2. To let the students determine and classify the raw materials available in the DMCEM Stockroom.

3. To let the students identify the books related to Ceramics and Material Science Engineering in the

COET library.

Specific Objectives
1. The students will be able to know about the laboratory equipment’s function, model, brand,

allowable capacity, and technician-in-charge in the laboratory.

2. The students can classify the raw materials available in the laboratory.

3. The students will be able to identify the books related to ceramic and material science and will be

able to use it as a reference for further laboratory activities.


Review of Related Literature
In the field of business, inventory control is something that should be front-of –mind for anyone in the

wholesale distribution. It involves a greater oversight over one’s stock (Marx, 2018). In school inventory

particularly to the laboratory and library, it is also works just like a business inventory. The only difference

between the two is the location where they are used. Furthermore, school inventories are more subjected

compared to business inventory since the turnover of school inventory follows academic semesters which are

shorter compared to company’s operational year (N/A, 2015).

In libraries, inventory is one way to determine whether some items are in need of preservation or

conservation activities. In examining an item by item in modern inventory, barcode scanner and a laptop is

necessary, since libraries have thousands of books and it is impossible for the physical inventory with laying on

of hands on each individual item (Teper et.al, 2003).

Library is divided in different sections – Reserve Section, Circulation Section, Reference Section and

other sections depending on the library. Books are being put in the Reserve Section when a faculty member

requested it to be put on reserved as this is the designated book required for his particular subject. The

Circulation Section has the majority of the books in the library which provides the updated collection of library

materials. While the Reference Section contains the reference books like Almanacs, Thesaurus, Encyclopedia,

Moreover, inventory control is an essential component of proper laboratory management. Without

inventory control, compliance, results, accuracy and patient safety are compromised. Inventory control will not

work out if the staff members are irresponsible. Creating a discipline around inventory control is an effective

way to teach staff members the importance of personal responsibility in laboratory management and the need

for systems and processes that are necessary for efficient laboratory operations (freezerworks, 2016).

There are lot of reasons why it is a good idea to keep an inventory in school. The most important of

these is it is difficult to know what school owns, where each item is located, how much every asset is useful for

both general information and security purposes (N/A, 2015). In controlling the inventory there are simple ways.

One basic way is way a spread sheet with various columns for product name, item number, and quantity (Marx,

2018). However, if the inventory is as detailed as possible, there are some examples of the inventory details

must consider such as unique asset code, date purchased/received, estimated value of item, building and room

location, make and model number, purchase price, asset status (e.g. on loan), serial number, condition,
quantity, and order number. The more information logged, the easier it will be to find missing items and make a

claim on assets that are stolen.

It is not only the information of the item must consider but also the maintaining the inventory by

checked at least once a year. The record must be updated according to any changes (e.g. item’s location or

condition). Whenever an item goes missing, it should be updated immediately (N/A, 2015).

Methodology
I. DMCEM Laboratory Inventory
In conducting the laboratory inventory, the researchers asked first the permission to the

laboratory technician, Ma’am Marilou E. Legaspi. Then, the researchers proceeded to the

Ceramics Laboratory at room 114A/114B to take a photo of the equipment. Before taking the

photo, a label with a name of the group, course code, name of the equipment and date written on

a piece of paper and a scaling material which is a measuring tape was placed beside the

equipment. After all the equipment in the CerE laboratory at Room 114A/114B were taken, the

researchers then went to the COET Room at the 3rd floor, CerE Laboratory Room 115 and lastly,

to the DMCEM Stockroom to take a picture of the other equipment. Table 1 was then completed.

II. DMCEM Raw Materials Inventory

In conducting the inventory of the raw materials in the DMCEM Laboratory/Stockroom

located at the COET First floor, Room 111A, permission was asked first to the laboratory

technician, Ma’am Marilou E. Legaspi. Then, photo of the raw materials were taken following

the procedures in the laboratory equipment. Table 2 was then completed.

III. COET Library Inventory

In conducting the library inventory, the researchers went to the COET Library located at

the 4th floor of the COET Building. Before doing the inventory, permission was asked to the

librarian, Sir Candido Y. Tundag. Then the researchers find the books in the different sections of

the library that are related to Ceramics and Material Sciences. Before taking the pictures, label

and a ruler was placed beside the book. After that, the books were returned to the shelves

properly and orderly. Then the Table 3 on the results was completed.

Discussion
In the conducted inventory at the COET Library and Ceramic Engineering Laboratory, the researchers

were able to gather the information needed in the tables given above.

Table 1 shows the data of the Ceramic Engineering Laboratory Equipment. There are at least 31

equipment that can be found not just on the CerE Laboratory but also in the DMCEM Stockroom and in Room

located at the COET building , 3rd floor. Some of the equipment found in the laboratory are old and non-

functional while the others are under repair. The equipment found in the inventory are not just limited to the

Ceramic Engineering student but it is useful also to the Metallurgical and Mining students.

Base on Table 2, there are at least 5 different raw materials that can be found in the DMCEM

Stockroom. The following are Coal, Feldspar, Plaster of Paris, Red Clay and Silica. The raw materials are

located in the DMCEM Stockroom, inside a large container because it needs not to be contaminated by other

materials in order to avoid error while conducting experiments.

Shown in Table 3 are the data gathered in the COET Library inventory. There are at least 100 books that

are related to Ceramics and Material Science that can be found in the library. Base on the data, the Reserve

Section holds the highest number of books that are related to Ceramics and Material Science Engineering while

the Donated Book Section holds the least number of books. Some of the books that are related to the Ceramics

and Material Science Engineering can also be found in the Circulation, DOST-CHED-MAEP and Reference

Section in the library.

Conclusion
In conclusion, the students will know the equipment available in the Ceramics Laboratory and in the

DMCEM Stockroom. They can also classify the different raw materials in the DMCEM Stockroom and lastly,

the students can identify and locate the books that are related to Ceramic and Material Science Engineering

easily in the different sections of the library.

Recommendation
Before having the inventory in the library and laboratory, the students should have a list of the

ceramic equipment, raw materials and ceramic related books by simply asking the in-charge (Teacher librarian

and laboratory technician) so that the students will be able to locate them easily. It is recommended also to

conduct the inventory ahead of time to avoid panic which is the main cause of incomplete listing of items

(ceramic equipment, raw materials and ceramic related books).

Bomb calorimeter is used in determining heat of reaction of a liquid or solid fuel sample. It is a closed

vessel with a constant volume. There are four essential parts that are required in any bomb calorimeter [1].

1. Bomb or Steel Bomb is made from stainless steel and it is where the combustible charges can be

burned.

2. Bucket or Container for holding the bomb in a measured quantity of water, together with a stirring

mechanism,

3. Insulating jacket or Insulated Outer Container is used to protect the bucket from transient thermal

stresses during the combustion process

4. Thermometer used for measuring temperature changes within the bucket.

Instrument

Parts of X-Ray Fluorescence (XRF)


1. The X-ray tube generates the primary X-radiation by accelerating high voltage to very high speeds. The

electrically heated cathode produce electrons which the electrons bombard the anode material. This

generates the primary X-radiation.

2. The shutter functions as a safety device and closes the access of the primary X-radiation to the

measurement chamber, if needed.

3. Light source (not shown in the figure) illuminates the sample. A mirror and lens direct the image of the

measurement location to a color video camera. The mirror has a hole in its center for the primary

radiation to pass through.

4. The aperture (collimator) limits the cross-section of the primary beam in order to excite a measurement

spot of a defined size.

5. The primary X-radiation impacts the atoms on the sample surface (coating layer and base material)

and in the process knocks electrons from the inner electron shell. Electrons from outer electron shells fill

the resultant voids emitting a fluorescence radiation that is characteristic in its energy distribution for a

particular material.
6. The energy dispersive detector measures the energy distribution of the fluorescence radiation. A

multistage electronics circuit processes the measurement signals.

7. The spectrum shows the measured lines or peaks that are characteristic for the chemical elements in the

sample.

8. The WinFTM Software computes the thickness of the coating(s) and/or the analysis result. The video

image of the sample is shown in the WinFTM window. The precise position of the measurement

location and the measurement spot is possible due to the special design of the optical and the x-ray

guidance systems [2].
