Communication Breakdown (miscommunication)

- It is failure to exchange information, resulting in a lack of communication.


- It occurs when communication is incomprehensible to one party or entirely absent between two people.

7 Cs of Effective Communication to Avoid Communication Breakdown


1. Completeness - Complete communication is essential to the quality of the communication process in
general. Hence, communication should include everything that the receiver needs to hear for him/her to
respond, react, or evaluate properly. The message should be completed. Applying the wh questions like like in a news

2. Conciseness - Conciseness does not mean keeping the message short but making it direct or straight to the point.
Insignificant or redundant information should be eliminated from the communication that will be sent to the recipient.
When you’re concise in your communication, you stick to the point and keep it brief. Your audience doesn’t want to read six sentences when you
could communicate your message in three. It is both timesaving as well as cost-saving.

3. Consideration - To be effective, the speaker should always consider relevant information about his/her receiver such
as mood, background, race, preference, education, status, and needs, among others. By doing so, he/she can easily
build rapport with the audience. Consideration implies “stepping into the shoes of others”.
Empathize with the audience and exhibit interest in the audience. This will stimulate a positive reaction from the audience.
Show optimism towards your audience. Emphasize on “what is possible” rather than “what is impossible”. Lay stress on positive words such as
jovial, committed, thanks, warm, healthy, help, etc.
4. Concreteness - Effective communication happens when the message is concrete and supported by facts, figures, and
real-life examples of situations. In this case, the receiver is more connected to the message conveyed. It is supported with
specific facts and figures.

5. Courtesy - The speaker shows courtesy in communication by respecting the cultural values, and beliefs of his/her
receivers. Being courteous always creates a positive impact on the audience. Courteous communication is friendly, open, and
honest. There are no hidden insults or passive-aggressive tones. You keep your reader’s viewpoint in mind, and you’re empathetic to their needs.
Courteous message is positive and focused on the audience.
It makes use of terms showing respect for the receiver of message.
It is not at all biased.
6. Clearness - Clearness is communication implies the use of simple and specific words to express ideas. It is also
achieved when the speaker focuses only on a single objective in his/her speech so as not to confuse the audience. When
writing or speaking to someone, be clear about your goal or message. What is your purpose in communicating with this person? If you’re not sure,
then your audience won’t be sure either. The message is exact, correct and well-timed.

7. Correctness - Correctness in grammar eliminates a negative impact on the audience and increases the credibility and
effectiveness of the message.
