1 INTRODUCTION
1.1 GENERAL PROJECT DESCRIPTION

The Central Termica de Temane Plant is a 450 MW Gas-Fired Combined Cycle Power Plant in 5x1 multi-shaft
arrangement, designed to provide safe, highly reliable, efficient and low cost electricity. The Project will
supply power using natural gas supplied from the Pande-Temane fields.

The Plant will be based in the following main items:

• Five (5) Gas Turbines-Generators


• Five (5) Bypass Stacks
• Five (5) Heat Recovery Steam Generators
• One (1) Steam Turbine-Generator
• One (1) Air Cooled Condenser
• One (1) double bar 400 kV Substation.
• Process and Non-process Buildings
• Balance of Plant (BOP)
• Associated Civil Works, Transportation, Electro-Mechanical Erection and Commissioning

The Plant will be located in Temane/Mangugumete area, Inhassoro District, Inhambane Province,
Mozambique, at a latitude 21°45'32.0" South and longitude 35°03'53.0" East (-21.758880, 35.064711). The
site is approximately 40 km North-West of the town of Vilanculos.

1.2 PURPOSE

The purpose of this document is to establish the procedure to be followed by the SUPPLIER to access to the
document management system, upload and download documents, as well as the method to be followed
when reviewing documentation.

The Document exchange management software for the project will be ENOVIA. This project uses ENOVIA to
manage project documentation in order to keep a proper tracking over every document.

1.3 CONFIDENTIALITY

Any document exchanged, whether in digital format or on paper, (including this specification) shall be kept
in strict confidentiality by the receiving party. It is strictly forbidden to extract or reproduce any part of said
documents.

1.4 DEFINITIONS

Some basic definitions:

• EMPLOYER: Central Termica de Temane S.A (CTT) (hereinafter, CLIENT)


o OWNER’S ENGINEER (CTTE): EDF (other CTTX references to be checked on TSKE-002087-00-
DOC-0001)
• CONTRACTOR: TSK
• TSK ENGINEER (TSKE): TSK Engineering Department
• TSK ENGINEERING COORDINATOR (CING): TSK Engineering Project Responsible
• TSKD: TSK Documentation Department
• ENOVIA: TSK Document Management System where documents are organized in folders and
subfolders according to its internal code.
• USER: Any participant in ENOVIA platform.
• WORKSPACE: Project, including folders and subfolders structure in ENOVIA.
• DOCUMENT: In ENOVIA, a document is a drawer where it is possible to store as many files as needed
for a particular revision of each document code.
• PROJECT DOCUMENT CODE: Code assigned to each document according to the Project
Documentation and Communications Coding Procedure.
• INTERNAL DOCUMENT CODE: TSK’s code for the Project Documentation in Enovia. For this Project
the Internal Document Code used in Enovia will be the Project Document Code of each document.
• ISSUED TO CLIENT FOR: This code defines the purpose for document issue to CLIENT.
• TITLE: Document Title
• FILE: PDF file, XLS file, etc...
• ROUTE: Sequentially ordered tasks in order to review a document through its lifecycle.
• NOTIFICATION: Email notification to inform of documents submission or reviewed documents.

2 SOFTWARE REQUIREMENTS
2.1 SUPPORTED OPERATING SYSTEMS

2.2 SUPPORTED BROWSERS

o In the IE settings (Internet Options > Security > Internet) check the box for “Enable Protected
Mode”

Protected Mode”
o IE settings (Internet Options > Advanced tab > Security section) Ensure that “Check for server
certificate revocation” Option is activated (if you switch it on, you need to restart your
computer)
o IE settings (Internet Options > Advanced > Security) Ensure that “Enable Enhanced Protected
Mode” Option is disabled
o IE settings (Compatibility View Settings) Ensure that "Display intranet sites in Compatibility
View" Option is disabled (the option is enabled by default)

3 DOCUMENT MANAGEMENT SYSTEM


3.1 INTRODUCTION TO ENOVIA

ENOVIA is TSK Document Management System where every documentation related to a particular project is.

In ENOVIA, there is a drawer per document with its associated attributes (Title, Document Number, Date,
Status, etc...) where you can upload as many files related to the same document, and its revisions, as
necessary.

3.2 ACCESS TO DOCUMENT MANAGER ENOVIA

In order to access the document manager via the Internet the following address shall be typed in the browser
address window:

https://plm.grupotsk.com

The following display will pop up:

Enter the username and the password provided by TSK:

Then, select “Log in” on the previous screen.

There are three Main Screens for Project:

• My View Page
• Main Page
• Project Folder Tree Page

In “My View” page the Project and a summary of the user assigned Tasks and Routes are shown.

On the Main Page, a summary of all the new documents and documents recently modified is displayed.

On the right side, user assigned tasks are shown as well and other useful information.

On My View page click on the project link as shown on the following picture to be redirected to project folder
tree page.

3.3 FOLDERS STRUCTURE

The documentation in ENOVIA is located into a folders tree. Depending to which discipline the document
belongs to, it will be allocated on the corresponding folder.

Each SUPPLIER will have its own Supply Folder. This folder will be named as SXXX AAA – BBB. Where:

• SXXX Assigned code number facilitated during KOM


• AAA Supply
• BBB Suppliers name

Inside supplier´s folder you can find the following sub-folders:

To scroll a project tree, click on the icon shown above. Folders and sub-folders will be displayed.

To display the documentation contained in a folder click the folder/sub-folder name and documents included
will be displayed.

As an example, by clicking on the sub-folder 00 REFERENCE DOCUMENTATION, the documents contained on


this folder will be shown on the right screen:

Main information of the document is displayed by columns (Internal code, Revision, Title, State, etc.) on this
view.

3.4 DOCUMENTS AND FILES CODE SYSTEM

Documents and files must be coded according to the Project Documentation and Communications Coding
Procedure (See document TSKE-002087-00-DOC-PO-0001).

3.4.1 Document Status Codes

Once TSK review SUPPLIER’s documentation, will add document status stamp into the cover sheet and will
rename the file including also the status on it as per procedure TSKE-002087-00-DOC-PO-0001.

The Document Status Codes are:

• RSC: Reviewed without comments. No further action by SUPPLIER is required


• RCC: Reviewed with comments. A new revision is needed, taking into account TSK comments.
• RZD: Rejected. Document is not accepted. A new revision is needed and document submission by
SUPPLIER will not be considered as accomplished.

3.4.2 Document Revision

In Enovia, document revisions are numeric sequential, starting always on 00.

Every time a document is qualified as RCC or RZD, a new revision shall be submitted.

The Project Documentation and Communications Coding Procedure (TSKE-002087-00-DOC-PO-0001) defines


how name the revisions files.

3.5 DOCUMENT SEARCH

In order to find a document, use the Search Tool on the top of the ENOVIA page:

To find a specific document use the document number or the title, and the documents that match the search
criteria will show up.

It is also possible to search by using a section of the document code, like the discipline or the type of
document, or a section of the title between *, as search criteria. The search results will show up all documents
that match with that criteria. Example: *MEC-PM* to find all Mechanical drawings of the project.

Another option for searching a document is to surf through project folders tree until you find the required
document.

3.6 DOCUMENTATION REPORTS

ENOVIA elaborates documentation situation reports through the search tool.

In order to do that, introduce attributes for documents you intend to find into the search tool, using asterisk
to separate the data.

Example: Searching for S001*001844*, ENOVIA will show all deliverable documents generated by SUPPLIER
S001 related to project 001844.

ENOVIA shows the following information:

• Internal Code. Document Code


• Client Code (If applies)
• Revision
• Title
• Icon to open document into another window
• State
• Complete Status (INF; RSC; RCC; RZD)
• Etc… (It is possible to add as many columns of information as needed)

To export the search results to Excel, select “Export” option on Tools menu and automatically an excel file
(.csv) will be download.

4 DOCUMENT LIFECYCLE

Documents will go through different states throughout their lifecycle:

1. TSKD / IN 2. SUPPLIER / 3. TSKD &TSKE


DEVELOPMENT ISSUED / COMPLETE

1. In Development. The document drawer empty is available to upload the document files.
2. Issued. Document has been uploaded by SUPPLIER and is under revision.
3. Completed. Once document has been reviewed. Reviewer Upload a stamped file with qualification
RSC, RCC, RZD (see Chapter 3.4.1)

Documents can only reach next state after a route is completed.

4.1 DOCUMENT IN DEVELOPMENT

TSKD will create in ENOVIA a drawer for each document from the Documents List agreed with SUPPLIER
during KOM. At this moment, document state is “In Development”, no files have been uploaded yet, the
drawer is empty.

If further drawers are needed, the SUPPLIER should send an email to TSK distribution list asking for add new
documents to the Document List defining (Title, discipline, expecting dates...) of these ones. Once TSK
approve add the new documents to Document list and the new drawers have been created, TSK will inform
the SUPPLIER about that.

After that, SUPPLIER must submit a new revision of Document List updated.

4.2 ISSUED DOCUMENT

Once the document drawer has been created by TSKD, the SUPPLIER will be able to upload the document
file/s and the review procedure will be automatically initiated by launching the route. Notification about the
upload will be sent to TSK by Enovia.

4.2.1 Upload document file

Follow these instructions to upload properly the file into the corresponding document drawer. Always double
check if it being uploaded the correct file in the correct drawer.

1. Find document drawer by using Search Tool or surfing through folders as described in chapter 3.5.

2. Click on “Internal code” or use this icon to open the drawer in a new window.

3. Go to the “Actions bar” and select “Upload / Check in”.

4. Click on “Select File”, choose the file you intend to upload from your computer and click on “Done”
to finish the upload process.

In the document data screen, you will see the uploaded files on the bottom of the page.

Document State changes from “In Development” to “Issued” and automatically the system launch the review
route.

4.3 DOCUMENT COMPLETE

After SUPPLIER uploads the file, automatically review process starts by launching the review routes.

First, TSKD will review document checking the format (internal code, Title, revision...) and filename. If the
document needs to be replaced because it doesn’t comply with project format or only because something is
incorrect, TSKD will delete this file and will notify the SUPPLIER. Document in ENOVIA remains in “Issued”
state.

TSKE will review document content, upload the file stamped with the corresponding status code (INF, RSC,
RCC, RZD) describe in chapter 3.4.1 and will complete the task. Document reaches “Completed” status.

4.3.1 Download Reviewed Document

In order to download the reviewed document by TSK, SUPPLIER must click on the link included on the
transmittal notification or search the document as described in chapter 3.5.

Once in the document drawer, select file/s and click “Download” in the actions bar.

Another option to download a file is by using “Actions” icon and download will start automatically

4.3.2 Upload a New Revision

If document is qualified/stamped as RCC or RZD, SUPPLIER shall generate a new revision taking into account
comments made during review procedure. If RSC no further action is required.

To upload it, go to the document drawer and select “Revise” in actions bar .

After that, to make sure you are in the right revision, click on “Revisions” and select the latest revision
generated.

Upload the new file, as described before in section 4.2.1, and revision procedure starts again. Document
comes back to “Issued” state and a new route is automatically launched.

5 NOTIFICATIONS

ENOVIA will automatically send notifications once a day. Suppliers do not need to notify any uploading.
Distribution list will be agreed during KOM.

The notifications will be coded as follow:

o PPPPPP Project Code: 002087
o SXXX SUPPLIER Code
o TSKX TSK/Folder, according to Table 1: Acronyms of TSK structure

Documents issued by SUPPLIER during the day, will be notified to TSK in one email notification per
each folder listed in Chapter 3.3.

6 GENERAL REFERENCE DOCUMENTATION

There will be a general reference documentation available for suppliers in a common folder named S000
REFERENCE DOCUMENTATION. This folder will include the following

6.1 ENOVIA MANUALS

In order to help and improve the Enovia user experience, some video tutorials on how to use the system will
be available in the S000 REFERENCE DOCUMENTATION/ ENOVIA MANUALS folder of the project folder
structure.

6.2 TEMPLATES

All official needed templates for SUPPLIER will be available in the S000 REFERENCE DOCUMENTATION/
TEMPLATES folder.

It is mandatory the use of these official templates to issue the project documentation, if not used these
templates, documents will be automatically rejected by TSKD.

7 SPECIFIC APPLICABLE DOCUMENTS

The supply Technical Specification will define what applicable documents shall be considered by the
SUPPLIER.

These specific applicable documents will be available for the SUPPLIER in the 00 REFERENCE
DOCUMENTATION folder within the folder tree of its Supply.
