Microsoft Word
Word processor is a computer program or software that is designed to help us to create, edit,
format, save and print documents or text files. Microsoft word is a powerful window oriented word
processor that lets you prepare a variety of documents; if necessary you can easily correct errors by
adding or deleting Words, Sentences or Paragraphs or Pages. After you have created and corrected
your text, you print it and store it on storage device.
Parts of Microsoft Word Window
When you start word you see a blank document ready for you to enter text. Before you begin,
however, you need to know about the various parts of the screen.

Insertion point

Title bar: - The program name and the name of current document are displayed here at the right end of
the title bar there are buttons to minimize, Restore, and close the program.

Minimize button: Click this button to temporarily hide word (to shrink it to an icon on the
task bar). You can then click the Microsoft-word button on the task bar at the bottom of your
screen to redisplay word.

Restore/ Maximize: Click this button to enlarge word to full-screen or to shrink button word

Close button: Click this button to close word windows.


Menu bar: - Menu heading on this bar let you access
Tool bar: - The small picture or buttons on the tool bars let you select commonly needed
Commands by clicking menu to view tool bars,
Ruler: - Provides ongoing page measurements as well as quick access Margins, tabs, and indents.
To view the ruler click on:
 View Menu
 Ruler
Typing area: Is the blank area in the document windows where you type your text.
Scroll bar: Used to navigate (browse) through a document. Used to move around in your document
View Button: Are located at the right extreme of the horizontal scroll bar and used to change the way
your document is displayed on the screen.
Normal , Web Layout , Print Layout or Outline view button
Note: - make sure that you are in the print layout view.
Status Bar: displays information about the document and the state of the keyboard.
The Insertion point shows where the text will appear if you start typing.
Zoom Slider is used to increase or decrease the zoom ratio for your document.

Creating a New Document:


 Starting /open/ MS-Word
 Click on ‘type here to search’ or press the
Windows key on your keyboard to

display the Start menu.


 Type ‘word’
 Click on Word App
 Click blank document

FILE MENU  alt + F

Ctrl + N Creates a new Microsoft Word document

Ctrl + O  opens an existing Microsoft Word


Ctrl + S  Saves the current document, replacing
the existing file (if previously saved). document
F12  allows you to save the document as a
different file. document
Ctrl + P  Opens the print dialogue box allowing
you to print the current document.

A. Clipboard Group
 Copy (ctrl + C)
 Cut (ctrl + X)
 Paste (ctrl +V)
 Format Painter (ctrl + shift + C, ctrl + shift + V)

B. Font Group

1. Font (ctrl + shit + F)  Used to apply different writing style

2. Font size (ctrl + shit + P)  Increase or decrease selected text size


3. Growth Font (ctrl + ] )  Make your selected text a bit bigger
4. Shrink Font (ctrl + [ )  Make your selected text a bit smaller
5. Change Case  Change the selected text to UPPERCASE, lower case or other
common capitalizations
6. Clear All Formatting  Remove all formatting from the selection, leaving only the
normal, unformatted text
7. Bold ( Ctrl + B )  Make the selected text bold
8. Italic ( Ctrl + I )  Make the selected text italicize
9. Underline ( Ctrl + U )  Make the selected text underline
10. Strike through  Cross something out by drawing a line through it
11. Subscript ( Ctrl + = )  Type very small letters just below the line of the text
12. Superscript ( Ctrl + shift +)  Type very small letters just above the line of the text
13. Text highlight color  Make the selected text pop by highlighting it in a bright color

Exercise 1: Open Microsoft word and type the following paragraph as it is and save it as Word 1.

1. Bullet list  Used to create a bullet list to organize an items


2. Numbering list  Used to create a number list to organize an items
3. Multilevel list  Used to create a multilevel list to organize items or create an outline
4. Decrease indent  To move the paragraph closer to the margin (move to the left)
5. Increase indent  To move the paragraph farther away from the margin (move to the right)
6. Sort  Arrange the current selection in alphabetical or numerical order
7. Paragraph end marker  Show or hide
8. Left alignment (Ctrl + L)  Align content with the left margin
9. Center alignment (Ctrl+ E)  Center content on the page (make it center the selected text)
10. Right alignment (Ctrl + R)  Align content with the right margin
11. Justify (Ctrl + J)  Distribute your text evenly between the margins
12. Line and paragraph spacing  choose how much space appears between lines of text or
between paragraphs

13. Shading  Change the color behind the selected text, paragraph or table cell
14. Borders  Add or remove borders from your selection

D. Editing

 Find (Ctrl + F)  Find text or other content in the document


 Replace (Ctrl + H)  Search for text you’d like to change, and replace it with
something else
 Select  Select text or objects in your document
o Select All (Ctrl + A)  Select all text and objects
o Select Objects  Select objects including ink, shapes and text area
o Select text with similar formatting

B. Table

 A table is a great way to organize information within your document


 Table is a combination of column and row (minimum 1x1 table)

Steps to create a table

 Merge cells – used to combine two or more cells in to one


big cell.

Pictures – used to insert your own pictures from your

Online Pictures – used to find and insert pictures from a


variety of online sources

Shapes – used to insert ready-made shapes, such as circles, squares, and arrows

SmartArt – used to insert a SmartArt graphic to visually communicate information

Chart – make it easy to spot patterns and trends in your data by inserting a bar,
area and line chart

D. Header and Footer

Headers - Help you to repeat content at the top of every page


Footers - Help you to repeat content at the bottom of every page

Page Number - Help you to number the pages in your document

A. Page background

Watermark – used to add ghosted text, such as ‘confidential’,


‘attachment’, ‘urgent’

Page color – used to add a splash of color to your document by the


changing the color of the page

Page boarder – used to add or change the border around the page

Layout Tab
A. Page setup

 Margins – set the margin sizes for the entire document or the current section

 Orientation – change page orientation (Portrait or Landscape)

 Size – choose paper size your document

 Columns – split your text into two or more columns
