STANDARD OPERATING PROCEDURE FOR THE RECEIPT AND PROCESSING OF POST FLIGHT
INFORMATION REPORT

Purpose : To establish a procedure to receive , process and to ensure that post flight information is
made available to the AIS unit for further distribution a s circumstances necessitate.

Scope : Post flight information filed through ATS frequencies or filed at ARO in written form

Source : Flight crew members

Responsibility : GM(ATM) & GM(CNS) Chennai.

Execution : Briefing officer in ARO & Official receiving the report on ATS frequency

Effective date : as given in the footer of this document

Introduction

The purpose of post-flight information is to ensure that inadequacies of facilities essential to the
safety of flight operations, and the presence of birds on or around the airport constituting a
potential hazard to aircraft operations, observed by a flight crew member during the flight, are
reported without delay to the authority responsible for those facilities. Annex 6, Part I, Chapter 4,
4.1.2 and Part III, Section II, Chapter 2, 2.1.2 places on the flight crew members the responsibility for
reporting any inadequacy. Annex 15, 8.3 requires States to ensure that arrangements are made at
aerodromes/heliports to receive this information and to make it available to the AIS for such
distribution as the circumstances necessitate.

In most cases, an inadequacy of a facility or the presence of birds is reported by the flight crew
members on the appropriate ATS frequency, and this information must then be passed on to the
responsible authority and to AIS for required action. The flight crew member may also report the
deficiencies , after landing, to the ARO or the AIS unit in the post flight information forms made
available at the AIS unit/ ARO.

PROCEDURE

1. The official receiving the post flight information on an ATS frequency shall

1. Copy down the information correctly, seek clarifications required , if any .


2. Write it down on the post flight information form with Name , signature , date and time .
3. Send it to the AIS unit for further necessary action and record the receipt.

b. The facility and location about which the inadequacy is being reported along with the

details of the inadequacy , if any .

c. The location and details of the bird activity observed with details if any.

2. Verify the report for the signature of the flight crew member with date.
3. In case of a bird activity intimate the official concerned for necessary action
4. Send the report to the AIS unit as soon as possible and obtain record of receipt

3. The AIS duty officer shall

1. Verify the authenticity of the information by checking the name and signature
2. Check the content of the report and coordinate with the concerned Unit-in-charge for
verification of the status of the facility.
3. Send the information, in detail, by means of an e-mail to the unit-in-charge concerned, SSO,
JGM(Com-Ops) & GM(CNS) Chennai
4. Coordinate with SSO for NOTAM action, if necessary.
5. Include the information in verbal briefing , if found appropriate.
