How To Use This Report Template


Change the information on the cover page to contain the information you would like. For the
body of your report, use Styles such as Heading 1-5, Body Text, Block Quotation, List Bullet,
and List Number from the Style control on the Formatting toolbar.

This report template is complete with Styles for a Table of Contents and an Index. From the
Insert menu, choose Index and Tables. Click on the tab you would like. Be sure to choose the
Custom Format.

XE indicates an index entry field. The index field collects index entries specified by XE.
To insert an index entry field, select the text to be indexed, and choose Index and Tables from
the Insert menu. Click on the Index tab to receive the Index dialog box.

You can quickly open the Mark Index Entry dialog box by pressing
ALT+SHIFT+X. The dialog box stays open so that you can mark index
entries. For more information, see Indexes in Help.

In addition to producing reports, this template can be used to create proposals and workbooks.
To change the text or graphics, the following suggestions are provided.

 Select any paragraph and just start typing.

 To save time in the future, you can save the front cover of this report with
your company name and address. For step-by-step instructions on how to
perserve your changes with the template, please read the following section.

How To Modify This Report


To create your own version of this template, choose File New and select this template. Be
sure to indicate "template" as the document type in the bottom right corner.

1. Insert your company information in the name and your address in the frame
in the upper right corner of the cover page.

2. Choose File Save As. At the bottom of the menu, choose Document
Template in the Save File as Type: box. Save the file under a new name to
protect the original, or use the same name to replace the existing version.

To create a document, choose File New and choose the template you just created. Assuming
you followed the steps above, your company information should appear in place.

How to Delete Graphics


To delete a graphic, click on each object (in Page Layout View) to select, and press Delete.
To delete the Return Address frame, click on the text to reveal the bounding border of the
frame. Click on the border, and press Delete.

To lighten or darken the gray shaded areas, click to select the frame, and choose
Drawing Object from the Format menu. Experiment with the options to achieve the best shade
for your printer. To change the shading of the earth, double-click on the graphic to activate
the picture. Click in the gray area of the picture, and choose Drawing Object from the Format
menu. Choose a new shade, and choose Close.

How to Create a Footnote


To create a footnote, choose Footnote from the Insert menu and click OK.

How to Force a Page Break


In general, the best way to force a page break is to first insert a blank paragraph, and choose
Break from the Insert menu. In the dialog box, click the Page Break button, and then OK.

How to Modify a Table


To modify an existing table, such as the table below, position your cursor in any cell. To
modify the table, access the Table menu to select the desired action and/or result.

How To Edit Table Text


Table text can be edited and formatted like regular text. Simply select text and type to replace,
or apply different formats as needed using the various formatting menus.

text, and select Symbol from the Insert menu. Choose a new symbol, and press Insert. Experiment with
other fonts and sizes.

To delete the page number, choose Header and Footer from the View menu. Highlight the page

Seven Keys to Creating
a Professional Manual
Like the Chapter Title Style above, and the Chapter Subtitle
you’re reading, Word’s preset Styles are just a few clicks away.

o save time in the future, print a copy of this document. Choose Print from
the File menu, and press Enter to receive all 8 pages of examples and
instructions. With the printed document in hand, position yourself in Normal
View to see the Style names next to each paragraph. Scroll through the
document and write the Style names next to the paragraphs (press Ctrl-Home to
reposition yourself at the beginning of the document).

About the “Picture” Icons
The “picture” icons are Wingdings typeface symbols formatted in
white with a shaded background. To insert a new symbol, highlight
the character and choose Symbol from the Insert menu—select a
new symbol, choose Insert, and Close. To create new “icons,”
format a one-character paragraph as the Icon 1 Style.

To change the shading of the Icon 1 Style, choose Borders and Shading from the
Format menu. Select a new shade or color, and choose OK to accept your choice.

Section Breaks are Key


In this manual, section breaks are the secret to success. Double-click the section break
above to activate the Page Setup menu. Choose the Margins tab.
Using the Breaks

About Pictures and Captions


Assuming you see your paragraph marks, you’ll notice a paragraph mark attached to
the bottom right corner of the picture. Click on the picture, and notice too, the name
of the Style—not surprisingly, the Picture Style. Pictures “attached” to paragraph Styles
make it possible for pictures to “act” like paragraphs.

FIGURE 21.1 uses this caption text. In Word, the Caption Style can be automatically numbered and labeled. Choose Caption
from the Insert menu to access and control the caption settings. For more information, press the F1 key to search for additional
information and help on captions.

To crop the picture, click on the picture. Hold the Shift key down and re-size the
picture by moving the picture “handles” with your mouse.

How to Generate a Table of Contents


To create a Table of Contents, position your cursor before the word, “introduction.”
Holding the Shift key down, drag and select both columns of text up to and including
the paragraph mark attached to the “Index” entry (last line, second column). From the
Insert menu, choose Index and Tables. Click on the Table of Contents tab. Select the
Custom format, and click OK. The Table of Contents will be automatically updated
with words contained in Headings 1-3.

The sample TOC text uses the Section Heading Style to create chapter
headings. However, the headings must be manually typed and formatted
with the Section Heading Style. (“Note” text uses the Block Quotation
First Style for the heading, and the Block Quotation Style for the text.)


How to Create an Index
To create index entries for Word’s automatic indexing feature, select
the text to be indexed, and choose Index and Tables from the Insert
menu. Click the Index tab to receive the Index dialog box with
options. (For more information, select Microsoft Word Help from
the Help menu, type “index” into the question space, and click the
search button. Finally, select the “Create an Index” help topic.)

How to Change the Headers and Footers

Insert menu, choose Index and Tables. Click on the tab you would like. Be sure to choose the

 To create a numbered list like the numbered paragraphs above, select one or more
paragraphs and choose the List Number style from the Style drop-down list —
Word will automatically number the paragraphs for you.

To use the Block Quotation Style, highlight any paragraph and choose Block Quotation from the

MORE TEMPLATE TIPS

How to Edit Table Text

You can edit and format table text like regular text. Simply select text and type to replace,
and use the Format menu to change the font and/or paragraph attributes.

How to Change a Header or Footer

In Page Layout view, choose Header or Footer from the View menu. Once activated, you
can change or delete the text just like regular text. When done, click Close to exit.

To delete a ruling line in the Header or Footer, from the Format menu choose Borders and
Shading. Choose None from the Preset section, and click OK.
