Access - Chapter 4 - Working with

Forms and Reports

Creating a Single Record Form Based on a Table or

Query
While you can enter data directly in a table in Datasheet view, a form provides a more user-friendly data entry
format. Remember, a form displays data from an underlying table or query and allows database users to
enter, edit, and delete data, but it does not contain records or data itself. It is only an interface to the
underlying table or query (the record source). The easiest form to create is a simple Single Record form. A
Single Record form displays one record at a time.
To create a Single Record form based on a table or query:
1. In the Navigation Pane, select the table or query record source for your form.
2. On the Create tab, in the Forms group, click the Form button.
3. When you save the form, notice that the default name in the Form Name box is the same as the name of
the table or query on which the form is based. Type a new name if you want to use something else.

tips & tricks
If Access finds a one-to-many relationship between the table on which the form is based and another
table, Access automatically inserts a Datasheet subform at the bottom of the form. The Datasheet
subform displays the records from the related table.
