Audience
The intended audience for this ordering guide is Cisco sales teams and partners who have been approved to
sell Collaboration Flex Plan. Partners must be eligible to sell this offer and have accepted Cisco Collaboration
Flex Plan terms and conditions.
You should be familiar with Cisco Commerce Workspace (CCW) Annuity platform. You should have completed
SaaS Subscriptions training as part of your company’s SaaS subscription resale certification.
Offer overview
The Cisco Collaboration Flex Plan is a single subscription that gives you access to Cisco’s collaboration
services and software. It allows your customers to mix and match buying models and deployment models
during the subscription, depending on their needs. One agreement covers software, features, services, and
technical support.
Buying model: Collaboration Flex Plan provides a choice of buying model for their services: Enterprise
Agreement (EA), Active User (AU), and Named User (NU). Different or same buying models can be chosen for
the available service. Not all buying models are available for all services; for example, there Is not an Active
User buying model for Calling.
Enterprise Agreement (EA), an enterprise-wide subscription for meetings, calling, or meetings and calling
together
For organizations with 250 or more knowledge workers, the Enterprise Agreement helps you ensure company-
wide access to the Meetings and/ or Calling services your users need, without being concerned about how the
services are delivered. You can choose Meetings or Calling, or bundle Meetings and Calling together. Team
Collaboration is included for all knowledge workers.

Calling EA are bundled together, there is a 15% savings. Detailed information related to calling EA and meetings

Allows you to purchase meetings entitlement according to adoption, and closely track the return on your
investment. With the Collaboration Flex Plan - Active User, you can purchase subscriptions for a minimum of 40
Active Users or 15 percent or more of your Knowledge Workers. As active usage of Meetings increases, the
active user subscription quantity increases with an annual true forward.

The plan allows partners to purchase subscriptions for Collaboration Flex Plan and contract with other Cisco
partners to deliver certain workloads within the Flex Plan bundle.
● Lead Partner: Partner ordering Collaboration Flex Plan bundle subscription and billing end-customer for
entire service. The partner utilizes the Multi Partner sales model to deliver workloads in the bundle for
which they are not certified.
● Solution Partner: Hosts workloads for which Lead Partner is not certified, under contract with the Lead
Partner. This partner is certified to host and deliver the workload working together with the Lead Partner.
● Hosted Workload: Workloads which are part of the Multi Partner sales model:
◦ Contact Center
Does the customer require Meetings and/or Calling; expected number of years to deploy/duration of term (1-5
years); and the expected Requested Start Date; deployment mix of cloud, on-premises, or hosted (calling only).
The customer’s CapEx and OpEx strategy will help determine the mix of licenses needed.
Does the customer require Meetings EA, Meetings NU or Meetings AU? Does the customer require Calling EA
or Calling NU? Determine the buying models that will be part of this agreement.
For example, if Partner places an order for a thirty-six (36) month subscription that renews at the end of the
initial term for a renewal term of twelve (12) months, Cisco will apply the Transfer Credit to the renewal
subscription.
The SWSS Residual Credit and “Other Credits” will only be applied to the initial term.
Single ATO
Enter the entire high level ATO: A-FLEX into the configurator and select ADD.
● Meetings AU requires the greater of 15% of total KWs or a minimum of 40 Active Users.
● Meetings AU requires you to first enter the total number of Knowledge Workers and then the number of
Active users. The total number of Knowledge Workers entered must be correct in order to ensure the
correct number of total licenses are provisioned
Webex Edge Audio is included when Meetings Toll Dial-In or CCA-SP User + VoIP Audio is selected as the
Webex conferencing option for EA and AU at no additional cost. In order to take advantage of the Webex Audio
footprint beyond the Toll included in A-FLEX you must either select Committed/ Uncommitted Billing or upgrade
the fixed rate monthly plan to enable those call types. It is recommended that when enabling Webex Edge
Audio to purchase and provision Webex Edge Connect as well. This will guarantee a premium meeting quality
experience combined with great cost savings on audio and internet bandwidth together. Webex Edge Connect
is available under Additional Options.
● Meetings EA on-premises meetings customers receive 1 Shared Multi- Party (SMP) licenses for every
250 Knowledge Workers. Customers who require more SMP licenses than what is included in the
Meetings EA on-premises configuration, will be required to purchase additional SMP licenses utilizing the
flow described above.
● Meetings AU on-premises meetings customers receive 1 Shared Multi- Party (SMP) licenses for every
1,000 Knowledge Workers. Customers who require more SMP licenses than what is included in the
Meetings AU on-premises configuration, will be required to purchase additional SMP licenses utilizing the
flow described above.
● Turn talk into action! The artificial intelligence-powered Webex Assistant for Webex Meetings interacts
with you to help with note taking, action items, reminders, closed captioning and more by using voice
commands.
● Meetings AU cloud meetings customers can choose to add Webex Assistant for Webex Meetings for all
your Cloud Meetings users count by utilizing the workflow above.
● Webex Assistant is supported on Webex Meetings software v 40.6 or higher
● Calling EA requires coverage of all Knowledge Workers for the customer entity
● Common area desktop licenses are included at up to 50% of total knowledge workers for calling EA. An
initial 20% are provisioned at time of order. Additional licenses up to the 50% can be requested by
opening a case with GLO. Excess common area desktop licenses should only be entered in excess of the
50%. Open a case using the GLO case templates to ensure proper case creation and handling.
● Only one Calling buying model should be selected EA or NU. Both should NOT be selected
● No minimums for On-Premises, Hosted, Webex Calling Enterprise and Basic Named User Calling
● UCM Cloud Calling is recommended to be purchased for organizations with 1,000+ users. UCM Cloud
Calling requires at least 250 users to be purchased
● Cloud Calling now has an option to select Webex Calling, Webex Calling (formerly Spark Call), or Webex
Calling for SP. Only one option can be selected for a single subscription
◦ Make a selection of ‘Yes’ from “Are you migrating over from Cloud Calling (formerly Spark Call)?” if
it is applicable.
● Webex Calling for SP and Webex Calling are available in specific geographies
● Webex Calling requires a local gateway connection for PSTN, which will require the purchase of
additional CUBE hardware and licensing. To learn more about CUBE and how to order visit here
● All Flex Calling options have specific partner requirements. Webex Calling for SP and Webex Calling are
systematically checked at time of quote for partner eligibility. For further questions and assistance please
contact your Partner Account Team or look to SalesConnect for more information
● Calling NU offers both Enterprise and Basic Calling options for a Webex Calling deployment. Basic Calling
is only available for Webex Calling and Webex Calling for SP. Customers with Webex Calling (formerly
Spark Call) are not eligible to select Basic Calling
◦ Make a selection of ‘Yes’ from “Are you migrating over from Cloud Calling (formerly Spark Call)?” if
it is applicable.
● Common area device licenses can only be selected for the same deployment model and version as
selected for the user licenses
Calling Enterprise Agreement and Calling Named User with UCM Cloud Calling options
● Cisco Expressway™ Rich Media Session (RMS), under additional Named User Calling Services, is now
orderable with UCM Cloud Calling
The Standard Edition of CCUC is now available for On-Premise Calling users in both the EA and NU
buying models

For initial customer orders with less than 1,000 users, an exception can be requested by the Cisco account
team on behalf of the partner. Not all exceptions will be approved. Orders for quantities less than 1,000 users
that have not received an exception approval in advance will be cancelled.
● Additional Cloud Calling only (Webex Calling or Webex Calling for SP) users are available to purchase
along with Cloud Calling and Meetings users. If the customer only needs Cloud Calling users, please
select those users under the “Calling” option
◦ Make a selection of ‘Yes’ from “Are you migrating over from Cloud Calling (formerly Spark Call)?” if
it is applicable.
● Cloud Calling and Meetings has been announced End of Sale/End of Life on May 29, 2020. For more
information visit the End of Life Notice page.
● Cloud Calling and Meetings option provides other Cloud Meetings solutions a la carte (i.e. can add
Webinars, Training, and Support Cloud Meetings solutions the subscription)
● Pro Pack selection provides both Pro Pack for Webex Control Hub and Content Management
● Content Management provides unlimited cloud storage for recording meetings and retention settings for
file storage. Unlimited storage is provided up to 1 year. Deletion occurs a year from the recording
creation date, and on a go forward basis, all storage in arrears deleted.
● Customers choosing the Cloud Calling and Meetings option can select either Webex Calling or Webex
Calling for SP for their Cloud Calling solution. A mixture of Cloud Calling solutions cannot be selected
● Additional Cloud Calling only users will default to the same Cloud Calling solution being provided to the
Cloud Calling and Meetings users. IE: Webex Calling is selected for the Cloud Calling and Meetings users,
only Webex Calling only users can be added to the subscription vis versa for Webex Calling for SP
● Additional Options are optional purchasable items against both Meetings and Calling
● Additional Cloud Storage can be purchased in increments of 1TB. Collaboration Flex Plan includes
20GB/KW of pooled storage for file sharing in Webex Teams
● Webex Edge Connect is an optional add-on and can be purchased in multiple bandwidth options and the
option to add-on redundancy. See next slide for additional information
Support options
● Basic Support is embedded in the Cisco Collaboration Flex Plan subscription. No additional fees are
required to receive Basic support with a software subscription
● Solution Support, Enhanced Support, and Premium Support are available to purchase for an additional
fee. Minimum thresholds for purchase eligibility are enforced, see SKU list for prices. For more
information about Cisco Software Support, download the data sheet
● Once Webex Edge Connect is selected, then a new question will be displayed asking where peering is
needed. To support multi-geographical designs, one or both peering options can be selected. Edge
Connect is available in two geographical regions, US/EMEAR and APAC, which each have corresponding
PIDs
● Webex Edge Connect is available in six bandwidth capacities – 200Mbps, 500Mbps, 1Gbps, 2Gbps,
5Gbps or 10Gbps options. These are the only capacities available
● Within the region, customers are able to combine capacities to build your desired peering capacity. For
example, if you require a 7Gbps bandwidth connection for a location within the APAC region, you could
select 5Gbps and 2Gbps to create a combined 7Gbps link. However, only a single capacity can be used
at any single location if HA or Geo-Redundancy is required. Select the capacity required and enter the
quantity needed. Based on the peering location(s) selected, the capacity option(s) will be displayed by
peering location
The Additional Calling Licenses Options are only available with Collaboration Flex Plan Calling with on-premises
and/or partner-hosted deployments.
Survivable Remote Site Telephony (SRST) is available with Collaboration Flex Plan EA or NU buying models.
Communications Manager Express (CME) is only available with Collaboration Flex Plan Calling EA.
● Cisco Unity Express (CUE) was announced end of sale/end of life on April 30,2020. For more information
visit the End of Life Notice page.
● Collaboration Flex Plan provides Smart-Enabled licenses for SRST and CME. Select SRST and CME
licenses through the Additional Calling Licenses screen. When selected, a Smart Account will be required
to receive the entitlements at order closure.
● These additional calling licenses are included as part of the Collaboration Flex Plan and are available to
the customer at any point in time, including at the initial order or through a change/modify order. This
option provides the licenses at $0 when the customer is ready for implementation.
Firmware Migration (Enterprise to MPP) for Webex Calling and Webex Calling for SP customers
● Customers with existing 8800/7800 Enterprise phones who are converting to Webex Calling or Webex
Calling for SP are eligible to receive a firmware migration license to convert to an MPP phone for each of
their Webex Calling/Webex Calling for SP + Common area users.
● Entering the number of licenses needed into the Flex subscription will allow the customer to receive the
licenses at the time of the order submission and before the subscription start date to better align for the
transition to Webex Calling.
● Once the number of licenses needed is entered into the configuration (see below), open a case with GLO
to request the license. Reference the Cisco Collaboration Flex Plan GLO Email Templates for a
recommended template when submitting the request to GLO.
Production Assist provides services through an assigned Cisco resource to assist in the use of Cloud Services
to conduct Webex meetings, trainings and webinars. Customer personnel must be available during the course
of the Services. Each service is further described in the order and the confirmed reservation. Reservations are
required. Requests for reservations are not confirmed until the Production Assist Services team sends a written
confirmation. Additional charges apply to add-on services. In the event of cancellation of a confirmed
reservation by customer, cancellation fees may apply.
Upon selection, all Production Assist SKUs will appear on the order. The Webex Production Services team will
confirm the event capacity with end user and additional Production Assist options and requirements, as needed.

Note: Cisco will bill the customer for each additional hour of event time past the first hour of the event.
Note: When adding extra event time to any Assist offering that includes Technical Monitoring (stand alone
or Premium Plus Assist) two add-ons are required for Technical Monitoring Engineer and one for Producer.
1. Once Production Assist SKUs are enabled on the customer subscription, the customer can begin
requesting Production Services for their Webex Meetings, Trainings, or Webinars.

● The selection of Production Assist is a usage service and is only billed when the service is completed.
A. Cancellation policy:
● Less than two weeks to two days prior to event date: $100 cancellation fee
◦ Less than two days prior to the event date: 100 percent of the total cost for the even
● Event assist- Includes live event support (1 hour Event) with a certified producer. The assumption for this
level of service is that the Webex host has scheduled and tested the meeting on their own and would like
support ONLY on the day of the meeting (Can be used with Webex Webinars, Webex Meetings, OR
Webex Training)
● Lifecycle assist- Includes live event support (1 hour Event) AND pre-event planning as well. This option is
for the New Webex Customer or Webex host that would like additional help with best practices for

1. Once Webex Assist SKUs are enabled on the customer subscription, the customer can begin
requesting Assist Services for their Webex Meetings, Trainings, or Webinars.

● Expert on Demand enables the use of Webex software via Augmented Reality (AR) headsets by Cloud
Meetings users. A selection from Cloud meetings must be purchased before selecting this option.
● Click on the ENT SKU and complete the questionnaire to receive the Expert on Demand software.
● Expert-on-Demand is available for all buying models; licenses can be purchased at a desired quantity but
cannot exceed your knowledge worker or Named User Cloud Meetings user count.
● Expert-on-Demand is not available with Webinars 3000 or On-Premises Meetings.
● AR headseats need to be purchased separately from supported hardware vendors or their partners,
unless already owned by customer. Currently RealWear headset models HMT-1 and HMT1Z1 are only
options supported.
● Must purchase a license for every user wearing the HMT-1. License is purchased on a per user, per
month basis
● Partner is responsible for ensuring Expert on Demand subscription start date aligns with the AR Headset
hardware availability to customer, taking into account the partner’s procurement, stocking & delivery
approach for AR headset hardware

be ordered from MCE by the Smart Account administrator only
Beginning February 2020, Smart Account assignment is now required for all Cisco Collaboration Flex Plan
orders with on-premises components.
● Assigning the Smart and Virtual Account to the order allows the on-premises entitlement(s) to be
assigned to the Smart and Virtual Account at the time of order fulfillment. This allows the
customer/partner to register the PAKs or Smart Entitlements via the appropriate license management tool
based on the version of licenses ordered.
● Instructions to assign the Smart Account to the order can be found on page 7 in the Smart Accounts in
CCW User Guide
● License software version 10 and 11 on-premises PAKs are managed via the License Registration Portal
(LRP) (also known as ‘Traditional Licensing’ found on Cisco Software Central) within your established
Smart and Virtual accounts. Learn more about managing your licenses by viewing the LRP Main User
Guide.
● For license software version 12 and above, Smart Entitlements are delivered and managed via the Cisco
Smart Software Management (CSSM) tool (also known as Smart Software Licensing) found on Cisco
Software Central. Learn more about managing your entitlements by viewing the Smart Licensing
Deployment Guide, view the video tutorial, or view step-by-step instructions.
Note: Unified Communications first launched Smart Licensing in version 12 for Flex Plan subscription-
based licensing. Smart licenses are server-based licenses; therefore, you will deploy and track licenses for
servers instead of domains. This also eliminates the need to register PAKs.
Subscription management
Visit the Best Practices for Managing SaaS Subscriptions in CCW guide for step-by-step instruction
● Replacing the current offer with a new offer can be completed by entering a change/replace subscription
order in CCW (e.g. changing from A-WX to A-FLEX or A-SPK to A-FLEX)
● Replacing the offer will restart the terms and conditions of your subscription
◦ Partner enters a $0 change/modify subscription order in CCW. The new version 11 license
entitlements will be delivered to the assigned Smart Account upon order close.
◦ Flex Plan EA Calling customers may use self-service when upgrading from traditional version 10
and 11 licensing to version 12.X and above Smart licensing via the License Registration Portal (LRP) or
Cisco Smart Software Manager (CSSM).
◦ In LRP, go to the ‘PAKs/Tokens’ tab, select ‘Actions’, then ‘Convert to Smart Entitlement’
◦ In CSSM, go to the ‘License Conversion’ tab to convert Classic Licenses to Smart Licenses
Upon order close, the new support contract will generate in CCW. You may obtain the new contract number per
the following steps:
1. Log into CCW with your Cisco.com credentials and search for your Collaboration Flex Plan Web
order ID.
2. Click the “Orders” link on the left navigation, then click the “Web Order ID” link to open the order.
3. Click the “Items” tab and verify in the line status summary that the order is in “Closed” status
4. Under the list of line items, click the “+” to expand the top-level SKU. Locate the service support
SKU (e.g., SVS-SPK-SUPT-BAS). The contract will be listed under the SKU.
● Add the new contract number to the Cisco.com ID profiles of those who may contact Cisco for support
If additional licenses are required after the initial order closes, engage GLO to request them using the following
steps:
Note: Previously, you may have opened a case by emailing licensing@cisco.com. This email option ended
in June 2020. Be sure to bookmark Support Case Manager (SCM) and begin using the new process.
1. Use the GLO Case Templates for appropriate verbiage when opening your Flex Plan GLO case.
a. If you have an existing Cisco.com account, click the User icon in the upper right corner of the
page then click "Log In" and use your Cisco.com credentials to log in.
b. If you do not already have an existing Cisco.com account, you may create one by selecting
"Create an Account".
3. Under "Contacts/Support Case", click, "Open New Case". This will direct you to your personal
dashboard where you can view all cases you've created and their status.
4. From your personal Support Case Manager dashboard, click “Open a Case” again.
5. From the drop-down menu, select “Software Licensing” and “Collaboration Related Licensing”.
7. Complete the necessary information in the form, then click, “Submit Case”. Remember to leverage
the GLO Case Templates to save you time.
Alternatively, you may also open a GLO case via the Virtual Care Assistant or by calling Cisco Technical Support
Services (Cisco TAC) at 1-800-553-6387. Review the step-by-step process with screenshots here, if needed.
The documents that govern the customer’s services depend on the deployment model (Cloud, Hosted, or On-
premises) and the buying model (Enterprise agreement, Active user or Named user). The following documents
govern customer and partner terms of service or license agreement for each of the services or licenses, the
included features and limits. Click the document title to download.

Terms (Bundle) that Customers sign the EUIF and
acknowledge the Program Terms. DocuSign
or wet signatures are acceptable. For
Meetings EA or Calling, only the EUIF +
Program Terms bundle need be shared with
the customer, as all the other relevant
customer documents in this table (including
EULA, UCA, Offer Description, Data Sheets)
are incorporated by reference in the Program
Terms.
End User License Customer Meetings EA or AU These are the customer’s terms and
Agreement Calling EA or NU conditions for all Cisco SaaS, including all
Cisco Webex services.
Cisco Collaboration Flex Customer Meetings EA or AU This document provides the supplemental
Plan Offer Description Calling EA or NU terms specific to Collaboration Flex Plan.
Cisco End User License Customer Meetings EA or AU The terms and conditions provided here
Agreement (EULA) Calling EA or NU govern your customer’s use of on-premises
software.
Collaboration Flex Plan Data Customer Meetings EA or AU There is a separate data sheet for each
Sheet Calling EA or NU Service and Buying Model.
Partner Required Agreements - All Cisco partners selling the Collaboration Flex Plan are required to agree to the
below Terms and Conditions before they can begin selling the offer to their customers.

Partner Program Terms and EA who are reselling any EA Suite, including
