Dear Robin,

I am Xiaoyu Xue, the Project Manager of the NPO. I appreciate that your excellent
team is going to join our playground project as a partner coordinating the preparation
of site, permitting, personnel, and facilities. To make sure our project is completed
timely and satisfactorily, we sincerely hope that you can help us form a planning
committee to help us complete our tasks. We believe that your assistance can make a
significant difference.

The following is a brief expectation of the committee members:

l An excavation contractor with expertise in excavation and land preparation to
ensure the ground is a flat soil surface for the playground installation.
l A permit and compliance specialist who will secure construction permits, conduct
soil tests, and perform utility checks.
l One insurance specialist who can assist in identifying the right commercial
liability insurance, purchasing it, and ensuring all necessary documentation is
submitted to the NPO.
l Two volunteer recruitment staff who will recruit volunteers, manage their
schedules, and submit the list to NPO at least 14 days before Build Day.
l One staff who will arrange lunch, dinner, and restroom facilities for volunteers
during Build Week.
l A financial manager who can assist in raising $5,000 for equipment costs at least
30 days before Build Day.

Upon finalizing the selection of committee members, we kindly request that you
initiate the first meeting of the planning committee. It is during this meeting that key
objectives, expectations, and timelines will be discussed and established to ensure a
successful project implementation. Your prompt action in this regard will be greatly
appreciated.
