• Job Title: EIY Operations Specialist

• Job Type: Full-time


o Monday to Friday, 9am-6pm
o Saturday, 9am-12pm at the office
o Saturday, 13:00-18:00 remotely
• Working venue: EIY office, 1st floor, 140 Nguyen Van Thu, Da Kao ward, District 1, Ho Chi Minh city, Vietnam

organization in the field, we are seeking a detail-oriented and proactive Operations Specialist to join our passionate team.

Position Overview:

The Operations Specialist will play a crucial role in ensuring the seamless operations of our public speaking training center.
This position requires exceptional organizational skills, strong attention to detail, and the ability to work collaboratively with
trainers, clients, and other stakeholders. Reporting to the Operations Manager, the Operations Specialist will be responsible
for various tasks related to program management, customer support, and process improvement.

Responsibilities:

1. Program Management:
• Coordinate and manage the logistics of training programs, including scheduling, venue arrangements, and instrucotrs
and coach assistants assignments.
• Collaborate with instructors and coach assistants to ensure they have the necessary resources and materials for each
session.
• Oversee the enrollment process, track participant registrations, and manage class rosters.
• Schedule the courses opening schedule and inform Marketing & Sales team with the schedule.
• Coordinate with coach assistants to execute operations tasks and ensure the final results of coach assistants.
• Arrange rescheduled classes for learners.
• Ensure classes are opened based on the standard of operations.

2. Customer Support:
• Serve as the primary point of contact for clients and prospective participants, addressing inquiries, providing
information about training programs, and assisting with registration.
• Handle client communication via phone, email, and in-person, ensuring prompt and professional responses.
• Maintain a customer-centric approach, ensuring a positive experience throughout the entire training journey.
3. Operations and Process Improvement:
• Streamline administrative processes to enhance operational efficiency, including document management, data entry,
and filing systems.
• Continuously review and improve operational procedures, identifying areas for optimization and implementing
streamlined processes.

4. Training Resource Management:


• Manage training materials inventory, including ordering, organizing, and replenishing supplies as needed.
• Collaborate with trainers to ensure up-to-date and relevant training materials are available for each session.
• Oversee the maintenance and organization of training rooms, equipment, and resources.

5. Reporting and Analysis:


• Compile and analyze data related to training program enrollment, participant feedback, and other relevant metrics.
• Prepare reports and presentations summarizing operational performance and key insights to support decision-
making.
• Provide recommendations for improving program efficiency, participant satisfaction, and overall operational
effectiveness.

6. Administrative Tasks:
• Assist in administrative duties, including maintaining records, scheduling sessions, and preparing reports.
• Monitor & maintain suppliers, training materials and equipment.
• Collaborate with the Director to manage budgets and resources effectively.
• Assist in administrative tasks related to payroll, HR & staff rescheduling.

7. Facility Management:
• Oversee the cleanliness and organization of the center's physical space.
• Arrange and coordinate room setups for workshops and training sessions.
• Report and address any maintenance or facility-related issues.

8. Marketing and Promotion:


• Support marketing efforts to promote the Center's programs and services.
• Assist in organizing events, workshops, and promotional activities.

9. Record Keeping and Filing:


• Maintain organized records of client contracts, waivers, and agreements.
• Ensure compliance with data protection and privacy regulations.

10. Billing and Financial Tasks:


• Prepare invoices for clients and process payments.
• Keep track of financial transactions and expenses.
• Assist in budget management and financial reporting.

11. Others:
• Complete tasks based on the assignment of EIY CEO.
Qualifications:

• Bachelor's degree in Business Administration, Communications, or a related field.


• Proven experience 3-5 years in operations, program management, or a similar role.
• Excellent organizational and time management skills, with strong attention to detail.
• Exceptional customer service and interpersonal skills, with the ability to communicate effectively with
clients and stakeholders.
• Proficiency in using productivity tools and software, such as MS Office Suite and CRM systems.
• Analytical mindset with the ability to collect, analyze, and interpret data to drive operational
improvements.
• Strong problem-solving abilities and a proactive approach to resolving operational challenges.
• Ability to multitask and prioritize tasks in a fast-paced environment.
• Knowledge or interest in public speaking and communication skills development is a plus.
