MODULE TITLE Materials control in Housekeeping

2) define the concepts of measures avoiding losses of supply;

Materials control in Housekeeping

After reading this INFORMATION SHEET, YOU MUST be able to:


1) learn how housekeeping materials are controlled;
2) define the concepts of measures avoiding losses of supply;

the overall responsibilities assigned to executive housekeepers.

ADMINISTRATIVE FUNCTION
 refers to the adequate selection and purchasing of supplies and equipment,
their proper use and suitable control of the amount of money invested
while ensuring the existence of a sufficient amount of goods to supply the
needs of the property.
 The classification of material is a prerequisite to the process of controlling
the large number of items used in the housekeeping department.

The Executive Housekeeper


 is ultimately responsible for the control of assets in the housekeeping
department.
 The control of expenses of fixed and operating assets is achieved by
maintaining budgets, sound purchasing procedures, and inventories.

Purchasing Housekeeping Material


 The function of buying goods in lodging institutions is a highly specialized
job.
 Buyers must be:

Purchase Order
 It is a sales contract stating the specifications of the product to be delivered
and the conditions of involving payment.

Inventory Control
 The functions of purchasing, receiving, storing, issuing, and accounting for
housekeeping material must be managed efficiently.
 The range of inventory used in the rooms division of lodging operations is
quite large, varying from textiles, guestroom furnishings, and amenities to
sophisticated department equipment and supplies.

Controlling Stocks Requisition and Issuance


 All housekeeping supplies are managed and controlled by the assigned
employee.
 Some control measures o stock requisition and issuance:In the case of
delivery from the suppliers, supplies shall be received by the hotel stock
clerk with proper documentation and checking on their quality and
quantity.
 These supplies then are stored in the central storeroom.
 Requestors or end users just like housekeeping supervisors are given
supplies only what are needed for the day.
 Requisitioned should only be for replenishing used stocks to maintain the
par stock.
 Stock requisition form is used in requesting supplies to be done on a daily
basis.
 To avoid losses and discrepancies, justified and approved requisitions shall
be presented for items to be released.

Housekeeping Supplies

1. Physical Inventory – supervised by the housekeeping supervisor , involves


counting all housekeeping supplies or stocks physically which is done
weekly. Usually done during Monday for beginning and Sunday for ending.
Also done by the stock clerk followed by a checker to counter sign the
inventory report.

2. Perpetual Inventory – wherein stock custodian compares the actual count


to the estimated closing balance after deducting all issues, consumptions,
including damages or losses. Also purchases and issuances are recorded
through a bin card or stock card which ensures that the balance on hand is
always updated.
