CHAPTER 1: INTRODUCTION

1.1. Reason for choosing the topic company

People are becoming increasingly concerned about their and their families' health as
social life improves. As a result, a healthy diet is obtaining more attention, particularly with
the rise of scientifically-based dietary approaches and vegetarianism, which promotes
physical and mental health. In addition, the environmental impact of meat and dairy
consumption is becoming increasingly recognized. The livestock industry is accountable for
14.5% of global greenhouse gas emissions, spurring deforestation and depleting valuable
resources.

This industry also adversely affects animals-humans consume most of their


sustenance. Most people have opted for a flexitarian diet, actively reducing the animal
products they consume, whereas some have adopted a vegan lifestyle. Globally, the
consumption of plant-based foods is on the rise, propelling the creation of new products in
various food categories.

The plant-based milk market has been steadily expanding, creating the ideal setting
for the launch of Oatside Milk. We're thrilled to provide new variations of Oatside Milk
and distinctive Christmas-themed packaging as part of our commitment to supporting
plant-based goods. We are confident in the long-term viability and security of plant-based
milks such as oat milk. Our goal is to make the most delectable products that will appeal to
both established plant-based milk users and those who have never investigated or tried
these alternatives before. We hope to reach a wider audience with our Festive Flavor
program by spreading a good message about plant-based products.

1.2. Overall about the OATSIDE company

Founded by Singaporean entrepreneur Benedict Lim, who previously served as the
Chief Financial Officer at Kraft Heinz Indonesia, OATSIDE emerged during the
lockdowns of the COVID-19 pandemic. Benedict's journey began with home experiments,
where he explored various ingredients and extraction methods to craft oat milks with
distinct flavors and textures. The official establishment of OATSIDE took place in May
2020. Over the course of 18 months, the team dedicated their efforts to comprehensive
research and development, the construction of production facilities, and the establishment
of the brand's foundations. OATSIDE proudly set up its headquarters office in Singapore.

1.3. Overall about the OATSIDE milk product

Oatside is a distinct Asian take on oat milk, providing a creamier and maltier feel
than standard plant-based milks. Oatside is committed to purity, therefore its products are
free of gums, emulsifiers, and preservatives, it has less sugar than cow's milk, and it uses
only natural ingredients like actual oats, cacao, and hazelnuts. These substances have been
shown to improve heart health, lower cholesterol, and boost the immune system. Enjoy the
healthy goodness of Oatside, a more nutritious option for your daily diet.

OATSIDE currently has three flavors of oat milk products:

OATSIDE oat milk is now available in 11 countries across Asia. Specifically, their
products are being sold in Singapore, Malaysia, Indonesia, Korea and Taiwan. Entering
new markets requires a lot of planning and strategy. Oatside may spend time researching
the market, establishing distribution channels, and ensuring that they have sufficient
resources to meet the needs of Vietnamese customers. Oatside is now presented in
Vietnam, and has been implementing campaigns to promote products such as Oatside
Summer Tour.

The ambitious initiative "Festive Flavor: Introducing Limited Edition OATSIDE


Products for Christmas'' is set to take place in the bustling metropolis of Ho Chi Minh City.
This city, known for its strong energy and vibrant market, is a great location for the launch
of new 'OATSIDE MILK' brand items.
The project is scheduled to commence on the 15th of October and will span over two
months, culminating on the last day of the year, the 31st of December. This strategic timing
takes advantage of the festive season, a period when consumers are more inclined to try new
products.

A substantial budget of 500 million VND has been set aside for this project. This
significant investment emphasizes the significance and potential of this endeavor. It will be
used for a variety of purposes throughout the project, including product development,
marketing, distribution, and other operational costs.
In conclusion, this project represents a significant step forward for ‘OATSIDE
MILK’ in expanding its product range and strengthening its presence in the Vietnamese
market. This project is primed for success thanks to precise planning and execution,
intelligent timing, and hefty investment.

CHAPTER 2: DEFINING PROJECT

2.1. Five General Steps for Collecting Project Information

2.1.1 Step 1: Defining the Project Scope

 Definition of Project Scope

The project scope is essential in establishing the groundwork for the project plan. It
entails outlining your project's ultimate aim or objective, which typically involves delivering
a particular product or service to your client or consumer. The primary purpose of defining
project scope is to precisely describe the final product that will be delivered to the end user.
This, in turn, functions as the focal point for all planning activities related to the endeavor.

PROJECT PURPOSE

The purpose of the project "Launching new OATSIDE product limited edition in
Christmas festival" is to introduce a special limited edition of OATSIDE milk products
during the Christmas season, creating a memorable and festive experience for customers
while promoting the brand and expanding its market presence.

OBJECTIVES

The project aims to successfully execute a dynamic and effective Christmas season

campaign in Ho Chi Minh city. This campaign aims to introduce new products and
packaging tailored for the Christmas season to attract customers, promote the OATSIDE
brand. The initiative is set to run from October 15 to December 31, 2023, covering the
entire Christmas season, with a budget not exceeding 500 million VND.

2.1.2 Step 2: Establishing Project Priorities

 Definition of Project Priorities

One of the primary jobs of a project manager is to manage the trade-offs among time,
cost, and performance. To do so, project managers must define and understand the nature of
the priorities of the project. They need to have a candid discussion with the project customer
and upper management to establish the relative importance of each criterion

A project manager can manage the project trade-offs by completing a priority matrix
for the project and identifying which criterion is:
Constrain—original parameter is fixed.
Enhance—a criterion should be optimized.
Accept—a criterion is tolerable not to meet the original parameter.

(1) The cost has been fixed and cannot be changed.

(2) The project's timeline must be strictly adhered to, spanning 2,5 months and aligning with
the holiday season. The project's completion is set for December 31, 2023. Given the
importance of the upcoming holiday season, meeting this deadline is vital for the project's
overall success.

(3) To prevent budget overruns, adjustments to the project's design are acceptable as long as
they stay within the approved budget. This measure safeguards against design modifications
that could lead to excessive expenses.

(4) Ensuring the new milk product satisfies predetermined quality standards is paramount.
Quality should not be compromised, and any product quality alterations should be avoided.

(5) The project's primary objective is to promote the OATSIDE milk product to consumers
and leave a lasting impression on customers. Creating marketing strategies and campaigns
that resonate with the target audience and build brand recognition is required.

2.1.3 Step 3: Creating the Work Breakdown Structure ( WBS)

 Definition of WBS

Work Breakdown Structure (WBS) is a project management tool used to break down
projects or tasks into smaller, more manageable components. The WBS breaks down the
project scope into smaller work packages, allowing for better planning, scheduling, and
control of the project

Work Breakdown Structure (WBS) helps managers to better facilitate evaluation of


cost, time, and technical performance of the organization on a project. It also defines
communication channels and assists in coordinating the various project elements.

A work breakdown structure (WBS) organizes the project's deliverables, sub
deliverables, word packages in a structured manner.

The WBS of our project starts with the total project objective , known as the top-level
or level 1 is “Festive Flavor: Introducing Limited Edition OATSIDE Products for
Christmas”, which is useful to top management. At the second level of the chart, there are
7 deliverables that are suitable for middle management as they assist in organizing and
establishing a comprehensive overview of the project's scope.

The project breaks down into smaller components at each sub-deliverable. For
example, the Marketing deliverable has levels down to level 3, which include three sub-
deliverables: Developing the Marketing Strategy, executing marketing campaigns, and
creating marketing collateral. These tasks have been decomposed down to the work package
level.

Each level represents a more detailed breakdown of the work, with the lowest level
being a work package. First-line managers are in charge of these work packages, ensuring
that the tasks are completed on time and within the allocated budget.

2.1.4 Step 4: Integrating the WBS with the Organization breakdown structure
( OBS)
 Definition of OBS
The OBS depicts how the firm has organized to discharge work responsibility. As in
the WBS, the OBS assigns the lowest organizational unit the responsibility for work
packages within a cost account. The intersection of the WBS and OBS represents the work
packages necessary to complete the sub-deliverable located immediately above and the
organizational unit on the left responsible for accomplishing the packages at the inter-
section.
 Purpose of OBS
The OBS aims to provide a framework to summarize organization unit work
performance, identify organization units responsible for work packages, and tie the
organizational unit to cost control accounts.
 Organization breakdown structure
The project involves the collaboration of seven functional departments: Research and
Development Department (R&D Department), Manufacturing Department, Quality
Assurance Department, Marketing Department, Sales Department, Service Department, and
Logistic Department.

Each department within the project is assigned distinct tasks and responsibilities to
their expertise.
The R&D team conducts market research to identify customer needs and
potential product opportunities. They work with the other departments to turn product
requirements into detailed specifications. The team develop and test products (receipt
of OATSIDE) and implements thorough assurance processes to ensure they meet
performance standards. They also keep up with industry advancements and integrate
cutting-edge technologies and trends into their product development strategies.
The marketing department plans strategies to advertise the company's
products. Investigate and generate content tailored for diverse media platforms. Craft
engaging content, visuals, and multimedia content to communicate information and
connect with customers on different levels effectively. Utilize the unique features of
each platform to optimize content reach and engagement. Stay attuned to trends and
audience feedback on these platforms, adapting content strategies.
The Service Department delivers exemplary post-sale services and ensures
customer satisfaction. The responsibility of the department is to address customer
needs and concerns quickly and effectively. This involves providing support,
troubleshooting, and offering solutions to enhance the customer experience.

The Manufacturing Department's range of roles aimed at transforming raw
materials into finished products (new flavor and packing of OATSIDE milk). The
production manager is in charge of coordinating activities and making sure that
production timelines and quality standards are met. Coordination across several
teams to ensure that resources are available as soon as possible.
The Logistics Department works with the Manufacturing Department,
logistics department to ensure a timely and steady of raw materials. In distribution
and transportation, the Logistics Department plans the delivery of the finished
products to retail locations.
The Design Department crafts a packaging to aligns with the brand's identity
and captures the new milk flavor. Their responsibility is to develop labels and
graphics. They also collaborate with the Manufacturing Department to ensure the
translation of their designs into tangible products.
The Quality Assurance Department is tasked with maintaining standards of
quality. The team also tests and checks each stage of production, from raw materials
to the finished product. They work together with the manufacturing and design
departments to ensure that the final products align with the quality requirements.

 Integration of WBS and OBS


By integrating the data from Step 3 with the organizational chart, we achieve a
seamless alignment between the Work Breakdown Structure (WBS) and the Organizational
Breakdown Structure (OBS). This crucial step ensures that project tasks and responsibilities
are well-defined, allowing for efficient coordination and execution. It clearly maps who is
responsible for each task, promoting accountability and streamlining project management.
This integration enhances communication and transparency within the project team,
fostering a more effective workflow and contributing to the overall success of the endeavor.

2.1.5 Step 5: Coding the WBS for the Information System


 Definition of WBS Coding System
The Work Breakdown Structure (WBS) coding system is a hierarchical system of
codes used to represent elements in a project's work breakdown structure. The WBS coding
system assigns unique codes to each element in the hierarchy, allowing for easy
identification and reference.
The coding system typically uses a numbering scheme to represent the hierarchical
structure of the project. Each level of the hierarchy is assigned a unique code, and the codes
are structured in a way that reflects the relationship between different elements.

2.2. Responsibility Matrix

As mentioned in the WBS and OBS, this matrix will illustrate the project resources
assigned to each work package or activity. Responsibility matrices are used to illustrate
connections between work packages or activities and project team members.

Responsible who is responsible for executing the task, which is then assigned to them.

Accountable who has decision-making authority and how that power is delegated
throughout the project team.

Consulted who is able to offer insight into the task, from team members to stakeholders.

Informed who is updated on what in terms of progress and performance, as well as


when and how this information is disseminated.

This RACI matrix helps ensure that tasks related to launching and selling the new
OATSIDE Milk Christmas-themed product are clearly defined and assigned to the

appropriate individuals or roles, thereby facilitating effective execution of the product
launch.

2.3. Project Communication Plan

Communication is a key component in coordinating and tracking project schedules,


issues, and action items. The plan maps out the flow of information to different stakeholders
and becomes an integral part of the overall project plan. The purpose of a project
communication plan is to express what, who, how, and when information will be
transmitted to project stakeholders so schedules, issues, and action items can be tracked.
The communication plan is usually created by the project manager and/or the project team
in the early stage of project planning.

2.3.1 Define stakeholder


A stakeholder in project management is an individual, group, or organization affected
by the result of a project or commercial endeavor. Stakeholders are interested in the project's
achievement and might be from within or outside the organization supporting it. They are
significant because their decisions might have a favorable or unfavorable impact on the
project. Stakeholders in the project at hand will be classified into two groups: internal
stakeholders and external stakeholders.
Internal stakeholders are those who are a member of the company, employed by it, or
are intimately affiliated to it. Internal stakeholders are critical to the organization's
performance and functioning, and their interests are inextricably linked to the attainment of
company objectives.
- Project Manager is the person responsible for managing the whole project to
ensure it meets its objectives and is delivered on time and within budget.
- Team leaders including the Quality Assurance manager, Product manager,
Product R&D manager, etc., are responsible for developing the new edition of
oat milk.

- Staff: working from different departments, participating in various stages to
create, design, and manufacture new flavors introducing limited edition Oatside
milk products under the direction of managers.
- Sponsor: These are individuals or organizations that have invested money into
the project and have a financial stake in the success of the new oat milk
collection

External stakeholders: The people, organizations, or institutions that exist not within
the company but have a stake in or are influenced by its operations, choices, including
results are referred to as external stakeholders. These stakeholders do not function in the
organizational structure but have a major effect on or are impacted by the conduct of the
company. Knowing and keeping up interactions with external stakeholders is critical for the
business's performance, credibility, and long-term viability.

- Suppliers: These are the companies that provide the raw materials needed to
produce the oat milk, such as oats, water, and any other ingredients.
- Consumers: These are the individuals who will ultimately purchase and
consume the new oat milk collection.
- Regulatory agencies: These are government agencies that ensure the new oat
milk flavor complies with all relevant food safety and labeling regulations.

To have a suitable stakeholder management strategy, we have used the Power/Interest


Grid to classify stakeholders according to their authority level and also their level of interest
in the project results:

 High power, low interest:


- Project Manager: They have the authority to make decisions. However, they
may not be actively involved or interested in the project's day-to-day aspects
due
- Regulatory agencies have the power to halt the project if regulations are not
met, but they do not have a direct interest in the product itself. Their aim is
frequently associated with public welfare, and they actively endeavor to ensure
that businesses follow established regulations and rules.

 High power, high interest:


- Team leaders must regularly monitor project progress, report to stakeholders,
and support team members through guidance and training to ensure
performance and positive interactions to achieve project goals.
- Sponsor: They have financial power. Besides that, They keep a tight eye on the
business's accounting records, prospects for growth, and general strategic
direction to ensure that their investment is delivering good results.

 Low power, low interest:
- Suppliers: They provide necessary materials but may not have a direct interest
or significant power over the project outcome.

 Low power, high interest:


- Customer: While individual consumers may not have much power, their interest
is high as end-users of the product.
- Staff have high interest in the product but lack authority due to low position in
the organizational structure, often having to work under the direction of
managers.

 Limit of communication plan


However, when using methods of communication such as email and team meetings,
there are still some things that could be improved for this project. Email does not convey
nonverbal elements, such as body language or tone, and can create misunderstandings or
lack clarity. Not only that, email messages can get lost among hundreds of other emails or
get stuck in the inbox. Setting a Recurring Schedule has specific limitations, such as loss of
flexibility. The Recurring Schedule can become rigid and not adapt to fluctuations in the
project or plan. Furthermore, some project stakeholders may not be able to participate at the
scheduled time, which can lead to a lack of performance.
When using tools and media, managers must be flexible in combining many different
media, take advantage of their advantages and simultaneously recognize their limitations to
optimize. Increase efficiency in communication and project management.

CHAPTER 3: CONCLUSION

In conclusion, the impending Christmas launch of 'OATSIDE MILK's new seasonal


goods in Vietnam is a potential endeavor. Our strategic strategy and customer-centric
approach have led us to success. We are set to create a memorable and successful holiday
season by connecting our product offers with the cultural significance of Christmas in
Vietnam and the distinct tastes of local consumers.

Our comprehensive marketing plan, which includes both online and offline platforms, is
designed to increase exposure and interaction. We intend to actively monitor client feedback
in order to develop a strong market presence and generate excitement about our seasonal
products.

In a competitive market, our dedication to quality, sustainability, and customer


happiness distinguishes us. We will constantly adjust our strategy in response to client input,
aiming to exceed their expectations throughout the holiday season.

Launching these new items during the holidays is more than a financial opportunity; it's
