Benefits Prime Reports

Benefits Prime Reports


The Benefits Prime Reports Guide provides information on the delivered reports to assist benefits
administrators in evaluating employee and benefit plan data.
Report overviews and step-by-step instructions are included based on the following tasks:
• Create and run reports
• Save reports
• Schedule reports
Benefits Prime reports include data currently available in UltiPro. Schedule reports at regular intervals
or rerun reports manually after data is updated or imported to ensure you are viewing the latest data
results.

Benefits Prime Reports Management


Use the Reports menu to select, customize, save, and run reports.
Reports are managed using four tabs.

Tab Name Description


Reports Displays the Reports main page with sections: Total New Hires (includes
links to Overall Enrollment Details and Reminder Emails), Report History,
and Recommended Reports, which is a list of the most popular reports
used by benefits administrators.
My Reports Displays favorite reports, saved reports, report schedules, and a 90-day
history of generated reports. Select an individual report to view its
complete report usage history. The Generated Reports List provides report
processing details, such as the file name, job request, and time the report
was generated. The Load Parameters provides the report parameter details
used to generated the report.
Available Reports Displays a list of available reports with totals by categories:
Recommended (12); ACA (2); Audit (15); Benefit (4); Census (4); Change
History (5); Enrollment (3); Graphs (2); Payroll (3); Premium Billing (2);
and All Reports (45).
Report History Displays a history of all reports that were run in the last 90 days.

Search for Benefits Prime Reports


Use a search filter to search for specific reports.

NAVIGATION: Menu > Administration > Benefits Prim Admin > Data &
Tools > Reports > Available Reports
• To view all reports, select the All Reports tab.
• To view reports by category, select the related link. For example, select Audit to view a list of the
15 Audit reports.
• To filter the search by specific criteria, enter a keyword in the search box, and then press Enter.
• To sort the list, select the report headers (Report Name or Last Run). The default is Report
Name listed in alphabetical order.
• To add a report as a Favorite, select the star. The report is now available in the My Favorites
section.

Create and Run a Benefits Prime Report


To create and run a Benefits Prime report, select the report and data you want to include in the report,
and then select whether you want to view the report in a new browser window or download the report
as an Excel spreadsheet.
Use filters and report options to customize report details to ensure the reported data provides the
needed information.
Options available to create a report vary depending on the selected reports. On the Create tab, complete
the available selections for the individual report. Reports that address time-specific needs require a
date, plan year or calendar selection before you run them. Select the Reset Parameters link to reset all
selections on the page and return to the default settings.

Tools > Reports > Available Reports
1. From the Available Reports page, select the desired report.
The report page displays with the report name, report description, and the Create tab with the
report parameters.
2. From the Create tab, select the report parameters. The parameters that are available depend on the
type of report.
For example, when creating a Benefit Report, you can show only active employees or retirees in
the report.
3. From the Run Report tab, select View to view the report in a new browser window, or Download
(xls) to export the report to Microsoft Excel (XLS) format.
4. Select Run Report.

Run Report in the Background


The Run Report in Background option is used for reports that contain a large data set that requires
additional time to generate. When the report is ready to view, you can indicate how you want to be
notified.
NAVIGATION: Menu > Administration > Benefits Prime Admin > Data &
Tools > Reports > Available Reports
1. From the Available Reports page, select the desired report.
The report page displays the report name, report description, and report parameters.
2. From the Create tab, select the report parameters. The parameters that are available depend on the
type of report.
3. Select the Run in Background tab.
4. Select the method to use to be notified when the report is ready to view:
• In the E-mail field, enter an email address
• Check the Create a ticket box
5. Select Run Later.

Save a Benefits Prime Report


When you edit and run a report or create a new report, you must name the report and save it to retain
your changes for future use.
NAVIGATION: Menu > Administration > Benefits Prime Admin > Data &
Tools > Reports > Available Reports
1. From the Available Reports page, select the desired report.
The standard report page opens and displays the report name and report description.
2. From the Create tab, select the report parameters. The parameters that are available depend on the
type of report.
3. Select the Save this Report tab.
4. Enter a file name in the Report Namefield.
5. Select Save Report.
The report is now available from the My Reports tab. Saved reports are only accessible by the
individual who saved the report. To share a report, you must download and send it. You can also
create a ticket and upload the report to a ticket for the customer to retrieve.

Schedule a Benefits Prime Report


Schedule reports to run on a regular basis.
NAVIGATION: Menu > Administration > Benefits Prime Admin > Data &
Tools > Reports > Available Reports
1. From the Available Reports page, select the desired report.
The standard report page opens and displays the report name and report description.
2. From the Create tab, select the report parameters. The parameters that are available depend on the
type of report.
3. Select the Schedule Report tab.
4. Select Create New Schedule.
5. Complete the schedule parameters by specifying the time zone, start time, and the recurrence (for
example, daily, weekly, or monthly).
6. Complete the Observer Notification Configuration section, as follows:
a. Check the Create Ticket On Report Generation box
b. Enter one or more email addresses to be automatically notified when the scheduled report is
available.
c. Complete the subject and body of the email.
7. Select Save .

The report is now scheduled to run at the specified intervals.

Benefits Prime Available Reports


Report categories provide a quick way to locate reports for specific reporting needs. Each report
contains parameters that are easily configured.
Benefits Prime reports are grouped into categories. The number in parentheses indicates how many
reports there are in that category. Select a category to filter the report list.
• Recommended (12) - Reports that are the most popular.
• ACA (2) - Affordable Care Act reports that identify Form 1095-C changes and potential penalties.
• Audit (15) - Reports that examine employee and benefit information in detail.
• Benefit (4)– Benefit and enrollment reports that are customizable.
• Census (4) – Reports to obtain official counts of employees or their dependents or reports based a
particular status.
• Change History (5) - Reports that provide historical data for benefits, dependents and employee
demographics.
• Enrollment (3) – Reports that provide enrollment status (Complete, Incomplete, Not Started) by
plan year.
• Graphs (2) - Graphical view of enrollment statistics or employee active and terminated.
• Payroll (3) - Reports to access benefit deduction information.
• Premium Billing (2) - Reports to compare billing periods, and an in-depth customizable premium
billing report.
• All Reports (45) - Listing of all reports in alphabetical order.

Abandoned Shopping Cart All Reports Lists employees who have not completed their

Beneficiary Report Audit Lists all beneficiaries for a specified benefit.
Benefit Counts Report Benefit Lists, by plan and coverage level, the benefit
count totals based on the total number of elections
for all benefit types.
Benefit Report Benefit Provides a customizable report to show which
coverages employees are enrolled in.
Benefits Changes Report Change History Provides a customizable report to show election
changes across employees for a plan year.
Billing Variance Report Premium Billing Provides a customizable report to compare two
billing periods and identify the differences.

Employee Graph Graphs Provides a graphical view of current employees
and terminated employees.

Enrollment Form and All Reports This report shows all active and/or terminated

End of Plan Year Payroll Lists employees and adjustments that exist on

EOI Report Audit Lists employees with pending coverages awaiting
Evidence of Insurability (EOI) or summarizes
historical EOI actions that were taken.
Extended Billing Report Premium Billing Provides a customizable report for extended
billing.
HCR W2 Report All Reports Provides information, beginning with the tax year
2013, to help with reporting employer-sponsored
healthcare contributions and coverages on each
employee's W2. The employee's SSN, Last Name,
and First Name are automatically included in the
report.
Incomplete Enrollments Enrollment Lists employees who have not completed benefits
Report enrollment by plan year.
Life Event Report Audit Lists employees who have a current life or
processed life event during a specific period.
Newly Enrolled Dependent Enrollment Lists employees with dependents who are newly

Total Payroll Deduction Payroll Provides a report to show the total payroll

Validation Data Report Audit Provides a listing of all data validation errors for
the specified plan year.
