Shift Allowance Policy

1. Objective
To facilitate and compensate for employees working in ‘24/7 rotational shift’ in order to meet business
needs of the organization and clients.

3. Policy Statements

3.1 Eligibility
3.1.1 All Delivery employees up-to E5 ( Including S1 &S2), Consultants, Trainees who are part of
client engagements referred to as “Employees” here after, working in Projects operating in 24x7
rotational shifts by roster, are eligible for the shift allowance as defined in table 1.0.
3.1.2 The policy will not be applicable to employees in fixed shift projects which are not operating in 24X7
environment.

3.2 Shift Allowance

3.2.1 Shift is defined as a 9 hours contiguous time window including breaks.


3.2.2. Based on the business requirements, an employee will be required to work in multiple shifts
round the clock as per the roaster. Week-offs will be given on any two days of the week based on
the rosters to provide adequate rest to employees.

3.2.3 The four standard shifts along with applicable shift allowances are given below (Table 1.0)

3.3 Governing Rules

3.3.1. In case, the actual shift is different from any of the defined standard shifts, the shift under which
maximum working hours fall, would be applicable for shift allowance computation.
3.3.2. Shift allowance amount is inclusive of all the expenses including meals and remains constant
irrespective of the shift being on a weekday, week-off or a company declared holiday.
3.3.3. The shift allowance will be paid along with the monthly salary depending on the number of days an
employee works in different shifts.
3.3.4. All payments received under this policy shall be governed by the Income Tax Act and the rules and
guidelines thereof to be borne by the employee.
3.3.5. As far as possible, Reporting Managers must ensure all the team members doing similar work get
equal opportunity to work in the various shifts and equal personal /rest time for work life balance.
3.3.6. It is the Reporting Manager’s responsibility to ensure proper management of roster and timely
submission of shift allowance details to HR Payroll.
3.3.7. Any exception to these policy guidelines will be considered case-to-case basis and the same should
be approved by the BU/Delivery/ Functional and HR Head. Justification for exceptions will have to
be recorded and documented in all cases.
3.3.8. Any matter not specifically covered under the above guidelines shall be referred to Head – HR for
necessary advice.

3.4 Process

3.4.1. Reporting Manager who is responsible to assign shift duties to the members should publish a
roster approved by DH and maintain records of attendance during these shifts as per the shift
allowance template monthly. (i.e. from the 25th of the month to the 24th of the following month)

3.4.2. The dully filled Shift allowance template has to be approved by the BU/Delivery/Functional/HR
Head and must be submitted to HR-Payroll on or before the 25th of the month OR on the last
working day on/before the 25th

3.4.3. Delayed shift payout submission requests beyond 2 months has to be approved by the
BU/Delivery/Functional/HR Head and Finance Head.

3.4.4. Individual payouts would be made along with the salary in the month of submission of the
template.
