Dear Sir ,
As per discussion held on 15-3-2023. Please find our revised proposal for property
maintenance services @ Sumadhura Eden Garden-Facility Services for the Year 2023-2024
as follows:
TYPE OF CONTRACT:
1. The given Contract will be for period of one year from the date of agreement.
2. The scope of the work covered under this contract of service is for office area
maintenance only.
3. The cost includes towards man power, administration, and our management fees only.
Housekeeping cleaning chemical, consumables, Equipment and spares at extra cost.
4. The man power deployed will be during office hours (9 AM TO 6PM) on job training to
be imparted to the staff deployed will be under the scope of us. For operation beyond 8
hours or during national holiday/off days either compensatory off within the same
billing month will be provided or will billed extra @ 2 times standard man hour rates
of total value of concerned heads.
5. Preventive maintenance schedule and necessary check lists will be prepared by EEM
for the entire system maintained by us at the beginning of the year.
6. All Tools/Equipment’s required for carrying out the maintenance work shall be
provided by the client.
This Contract is purely a Service Contract involving the provision of Services and
Labour only. No sale of any material, spares shall be affected by this Contract.
PAYMENT TERMS:
1. Sumadhura/Enliven will collect the CAM charges on quarterly basis from all the owners
2. Monthly maintenance bill cycle (Every Month) will be submitted on or before 4 th of the
month.
3. The bill should be cleared for payment within 2 working days from the date of the
submission
4. Price would be subject to escalation in the following contexts.
Change in labour laws and declaration of minimum wages from time to time.
Imposition of new taxes, duties or levies during tenure of contract.
Additional work over & above the scope of contract.
Validity:
Our offer is valid for 30 days from the date of the offer.

ANNEXURE I
FACILITY MANAGEMENT:
Facilities manager is the individual charged with taking care of the day-to-day maintenance, upgrades,
and management of these systems.
Facilities managers are accountable for supervising Services like Security, Housekeeping &,
Janitorial Services, Pest Control, Garden & Landscape, Vendor Management to create Safe
and healthy living environment.
Facility managers will need to complete daily inspections and communicate directly with
association/Decision makers to ensure that the services are running smoothly every day.
Close all individual flat and community issues and record the same and repair the breakdown
with due intimations to the concerned users.
Conduct and document regular facilities inspections
Responsible for making sure that buildings and their services meet the needs of clients.
Supervise maintenance and repair of facilities and equipment
Oversee facility renovations and refurbishment.
Check completed work by contractors and vendors
Ensure efficient utilization of facility maintenance staff
Respond to facility equipment alarms and system failures
Provide prompt response to requests and issues from facility occupants
Maintain All Residents ownership and tenant Details in office.
Ensure Approved move-in and move-out formalities of the residents and maintain the same in
association office.
Follow up maintenance charges as per schedules and maintain the records of the same.
SECURITY SERVICES:
Supply of well-trained unarmed Security (male/female) Guards with uniform as per site
requirement
Control access Entry & Exit gates to the facility and related premises during hours specified.
Surveillance and vigilance will be ensured, Monitoring all the CCTV cameras.
Maintaining in-coming and out-going Register, Material inward and Outward details, Security
register and attendance
Housekeeping register and attendance, House maid register, Vendor register, Courier register,
Flat owner shifting register
Frisking Management-Will have a Frisking for all vendor’s/Service staff to avoid loss or theft of
the property at Entry/exit.
Drop letters / BESCOM bills in respective mailboxes.
Issue identity cards to domestic help, maids, cooks
Respond promptly and appropriately to all security-related emergencies.
Patrol the entire facility to provide a visible presence to discourage vandalism or unauthorized
entry.
Maintain resident’s entry log at the clubhouse. Record all residents entering the clubhouse and
using the swimming pool
Issue and maintain clubhouse play equipment's and assets log.
Regulate the residents to drive within the permitted speed limits inside the premises.
Maintain visitor register with all relevant details -Such as name, flat no, vehicle no etc.
Vehicle /Parking management-All Residents vehicle details will be recorded, and parking will be
ensured in the allotted parking slots shared by management. Visitor/ Guest vehicles will be
allowed to park with due approvals of Residents /Management with time bounds
Service/support staff management-Service staff personal data and employment data will be
checked and maintained. The authorized staff will be allowed to work in agreed categories and
time bounds. Any changes will be recorded and updated to concerned authority.
Key Management-All utilities /equipment keys with identity tags will be managed with recorded
entries and issued to authorized personnel.
Vendor Management-Vendors will be allowed with due authorization of resident/management
with required security formalities like-check their statutory ID’s, work permits and move in tools
entries.
HOUSE KEEPING SERVICES:
Well trained housekeeping staff will be deployed as per site requirements.
Daily collection of waste from all the areas.
Cleaning all Periphery, Common area, Car Parking, Corridor & Staircase, Club house, Common
Rest Rooms and all Common Amenities
Cleaning and moping of common floor areas.
Cleaning the Elevators, Corridor & Stairs.
Cleaning common area restrooms.
Cleaning staircase handrails & steps
Cobweb cleaning reachable area only up to 10 feet under scope.
Training will be provided by Housekeeping Trainer for Housekeeping service staff monthly.
Sweeping the parking areas and walk through around the premises.
Garden waste collection to dump near garbage yard.
Record all the operations daily in the check list and maintain the same.
GARDENING
Remove weeds from planters.
Mow turf for trimming lawns in Garden
Remove and dispose of trash and debris from planters.
Cutting, Pruning the plants and hedges to maintain the Aesthetic beauty.
Remove broken or damaged plant material.
Trim and shape plants.
Maintain the wall garden at the entrance, clubhouse and near the Water Body.
Inspect and treat, as needed, for disease and insect infestations.
Troubleshoot issues with sprinkler with support from plumbers.
Record all the operations daily in check list and maintain the same.
Electrical Maintenance:
Subject Knowledge staff will be deployed for Electrical maintenance service.
All individual flats minor (only) complaints like any electrical tripping issues, replacement of switches
/ MCBs, minor faults in the electrical circuit boards, fixing of bulbs will be attend by Electrician, Note:
All the required materials to be purchased residents and Electrician will fix the items without any
charges
Address all individual flat complaints till the Main MCP of all the flat
Maintain and repair electrical systems in Common area, utilities, and amenities lighting and
Parking area. They make sure that electrical systems are safe and running efficiently.
Regular inspection of all the electrical equipment and maintain daily activity logbook and
electrical asset status.
Identify and inspect all electrical equipment in the clubhouse and common area for blown bulbs,
tube-lights, dooms lights and initiate action.
Inspect for exposed wires, electrical leakage, motors are at optimal working condition etc. in
Common area, transformer yard, lift machine room.
Check clean and Maintain panel rooms for any issues and check for auto changeover mode
periodically.
Ensure the HVAC and Fire system in Auto-mode, any issues noticed escalate the same.
Check and maintain all the earth pits and add saline solution as required.
Electrical fixtures and equipment general Maintenance & break down maintenance
DG check-up, operation, and cleaning.
Document the hours of DG usage per day and corresponding diesel consumption.
Radiator coolant levels in DG to be checked and topped up as required.
Maintain sufficient Diesel stock to manage power shutdowns.
Record all the operations daily in check list and maintain the same.
Plumbing Maintenance:
Subject Knowledge staff will be deployed for maintenance service.
All individual flats minor (only) complaints like water blockages, tap fixtures changes, water
leakages, findings will be attend by plumbing staff, Note: All the required materials to be purchased
residents and Plumbing staffs will fix the items without any charges
Address all individual flat complaints.
Performs inspections of plumbing water lines for any leakages.
Inspect all fixtures in the clubhouse rest rooms, sauna, guestrooms for leakage and fix.
Maintain and repair Plumbing Lines in Common area, all amenities and in Parking
area, make sure that plumbing systems are running efficiently.
Perform Preventive Cleaning of utility Drain lines in common area as required.
Check all common area fixtures for any leakage.
Check basement and Rainwater Harvesting drains for any blockage.
Record all the operations daily in check list and maintain the same.

EXCLUSIONS OF CONTRACT
1. If any incidental and unforeseen expenses arise regarding outside agencies and
localbodies, floods, explosions, earthquakes, the same will have to be paid directly
by the client other than scope of work submitted by the vendor.
2. Third party liability is not in the scope of this contract.
3. Any other activities not specifically mentioned by us
4. Periodic water tank cleaning to be outsourced and the charges shall be included in the
maintenance amount as per site requirement
5. Civil works, flooring granite / tiles work at extra cost.
6. As value added service, we will work on the cost saving activities and try to reduce the
CAM charges based on discussion in the monthly meetings.
ANNEXURE IV
GENERAL TERMS AND CONDITIONS
1. Lead time of 30 days shall be given to us before deployment of our staff to the site after
the award of the contract.
2. We will not be responsible for any loss/damage/destruction of any part of parts of the
equipment, which may occur during the process of handling
3. We shall not be liable for the delay in adherence to time schedule or performance of
duties in case of force majeure conditions occurring during the course of the contract
period.
Such force majeure conditions will include Earthquake, flood, fire etc. or any form of
natural Calamities. Strike, Dharma or any other form of unseen stoppage of work, however
please note that in the event of strike, bandh having declared in advance we shall take
necessary measures to operate and maintain the facilities.
