BOOTHS AND BAZAAR

GUIDELINES

 Ingress will start on Day 1, December 4, 2023 at 5 AM and will end December 8, 2023 at 5
PM. Booths and Bazaar displays should be ready before 8:00 AM on the first day.
 The booth/Bazaar must be manned at all times during the exhibition hours: 8:00 a.m. to
5:00 p.m. Set clear operating hours for the booths. Ensure that vendors arrive and leave on time
to maintain consistency.
 Each booth/bazaar must have a maximum of 5 personnel at any time. An attendance
sheet will be provided daily for each booth starting 9:00 a.m. and it will be collected at 3
3:00 p.m. Promote the bazaars and booths through various communication channels to maximize
attendance.
 The names of organization and a list of their bazaar products (Agricultural, nutrient
products, food and educational products), materials, equipment, and other paraphernalia
must be submitted to the Organizing Committee through online form sent by the
Secretariat on or before November 24, 2023
 Alcohol and Substance Use: Prohibit the sale or consumption of alcohol and illegal
substances on the premises.
 To ensure that all booths are safely and securely constructed. Vendors must bring their
own tables, chairs, and necessary equipment. Electricity requirements should be
communicated in advance to event organizers. A floor plan will be provided as your
guide.
 The organizations are responsible for maintaining the cleanliness of their booths. Trash
bins should be placed nearby, and must dispose their waste properly.
 Decorations should not obstruct walkways or adjacent booths. Signs and banners should be clear,
well-designed, and not offensive.
 Keep noise levels reasonable, especially if booths are close to each other. Consider the proximity
to any performance stages and other activities.
 Organizations must adhere to all school rules and regulations. Event organizers should monitor
compliance and address violations promptly.
 Encourage the use of biodegradable or reusable materials to reduce environmental impact.
 Encourage vendors to offer unique attractions or games to enhance the event experience.
 Top 3 winners for the exhibition of booth and bazaar will be announced after the end of the event.
 The decision of judges is final and irrevocable.
 Vendors should clear their booths promptly at the end of the event. These guidelines should help
ensure a successful and safe Intramurals event in 2023. It's essential to communicate these
guidelines clearly to all participants and regularly monitor the event to ensure compliance.

NOTE:

 The Organizing Committee will provide the designed focal organization the layout of the
booths/bazaar and other pertinent information.
 Activities cooking, use of pyrotechnics/fire and smoke are strictly prohibited in the venue.
 Products with strong or overpowering smell must be packaged properly.
 The participating organization may design and decorate of their respective booth/bazaar based
on their esthetic and specifications given in terms of booth size (floor, width, and height).
 The organizing committee will not be held liable for loss of valuables or other items.
 The Organizing Committee will select winners in the following categories;

Major awards:
1st placer
2nd placer
3rd placer

Minor Award:

Most Creative Booth

INTRAMURAL EVENT BOOTH:

Size: A typical intramural event booth measuring 3m wide x 2m depth x 6 feet high.

Structure: It usually consists of a sturdy, portable structure like a tent or canopy to provide shade and
shelter.

Features: The booth may have tables, chairs, signage, and information materials for event participants
and attendees.
