Leave Policy

1. Scope & Applicability


The policy is applicable to all employees of Azentio Software Private Software (All Full
time employees)

2. Types of Leaves: The types of leave available to the employees are given below:
i. General Leave (GL)
ii. Casual Leave (CL)
iii. Sick Leave (SL)
iv. Compensatory Leave (CO)
v. Maternity Leave (ML)
vi. Leave without Pay (LWP)
vii. Special Leave / Transfer Leave

Leave Policy

i. General Leave (GL)

 The GL entitlement, for all full time employees , shall be 12 working days per year or
pro-rata for partial period of service in financial year, credited to respective employee
leave accounts at the beginning of each quarter as per the table above.
 All leaves must be pre-approved by immediate Reporting Manager.

ii. Casual Leave (CL)

 CL shall be applied in advance. However, in case of emergency employee needs to


take an approval on the same day by any mode of communication.
 CL shall not be clubbed with General Leave / Sick Leave.

iii. Sick Leave (SL)

 SL is for personal illness only.


 SL shall not be clubbed with CL .
 If SL is for 3 consecutive days or more, it is mandatory to submit a Doctor’s
certificate/ Prescription containing nature of ailment / relevant reports.

Note: Accumulated sick leave balance if any (applicable only to those employees who
have joined before 1st April 2010) will be carried forward till it is fully utilized by the
employee.

iv. Compensatory Leave (CO)

 Employees (Grade G5 & below) are eligible for CO if they worked on any Sunday/
National Holidays with the prior approval of their Reporting Managers, unless they
have a Sunday working as per their allocated shift .
 CO has to be availed within 2 month of it being credited.

v. Maternity Leave (ML)

 ML can be granted only to a female employee who has worked for a period of not less
than 80 days, in 12 months immediately preceding the date of her expected delivery .
 The ML period shall not exceed 26 weeks(Including Holidays & Weekly offs) for two
surviving children and 12 weeks for more than two surviving children.
 Commissioning mother & adopting mother (who legally adopts a child below the age
of three months) shall be entitled to maternity benefit for a period of 12 weeks from
the date the child is handed over.

 Employees who need to avail ML will be required to make an application to their


immediate Reporting Manager at least 2 months in advance to ensure proper
handover of their current roles & responsibilities.
 The approved application along with the Doctor’s certificate certifying pregnancy and
the expected date of delivery should be submitted to HR Department before the
employee goes on leave.
 In case of miscarriage or medical termination of pregnancy subject to production of
proofs as may be prescribed, an employee shall be entitled to take leave for a period of
six weeks immediately following the days of her miscarriage or medical termination of
pregnancy.
 Maternity Leave can be clubbed with any leave. An employee on approved Maternity
Leave will receive full pay during the period. However, employees governed / falling
under ESIC bracket will need to avail salary benefits etc. from ESIC offices. HR
Business Partner to assist employee here in consultation with Compliance team.
 This policy of Azentio Software Private Limited will be governed by the regulatory
requirement of Maternity Act, 1961 and read along with amendments thereof.

vi. Leave without Pay (LWP)

 Any leave taken without having any leave balance and any unapproved / rejected leave
application would be considered as Leave without Pay.
 Absenteeism will be treated as LWP.
 Under extreme exigencies management can grant Leave without Pay. Such requests
shall require a detailed explanation from the employee, citing the reasons for Leave
without Pay and has to be recommended by the BU Head.
 Leave without pay will include all intervening week-offs and Company declared public
holidays.

vii. Special Leave / Transfer Leave

 Leave on account of Transfer from one region / country to another will be credited as
per Transfer policy prevailing at that point of time. This is outside the yearly leave
entitlement. This leave will be credited by HR on the request of the employee. The
employee must avail this leave within 15 days of his/her transfer to the new location.

4. Procedure for Leave application


 Employees should apply for leave through the application in use, which will either be
approved or denied by the Reporting Manager.
 In emergency cases where the leave cannot be applied for in advance, it should be
submitted within a day from the date of return from leave.

 Employees proceeding on leave without a valid leave application and approval will be
deemed to be on LWP with salary being deducted for those days.

5. General Conditions
 Every type of leave detailed in the above clauses need to be specifically applied for by
the employees and duly authorized by the employees’ Reporting Manager against
respective applications.
 Employees will have to ensure that whenever they have not swiped / signed in for
attendance, they regularize it in the Attendance System by either applying leave of
absence or applying for exception approval for being on tour or training or on duty.
 Non-compliance for application of timely leave will lead to LWP (Leave without Pay)
deduction from salary.
 Leave should always be applied for in advance & be approved before availing. In
special circumstances, extension of leave should be applied for before expiry of the
previous leave.
 Employees remaining absent for 10 consecutive days without any intimation, will be
deemed to have left the Company and would be treated as ‘absconded from services’.
 Unauthorized absences will be liable for strict disciplinary action as per Disciplinary
Action

 Leave encashment is not allowed at any time.
 In case an employee resigns from the services of the Company, leave balances will be
prorated depending upon the last working day
