KIKShift Business Development Program

• Digital Inventory – Maintenance of a Digital Inventory of Parts (Filters,


Wipers, Fluids, Batteries etc.) should be held on a common work Laptop
to ensure we don’t double order parts we already have and use up
whatever is held in stock by us.

Benefits – i) Will save the workshop on costs bared for parts in stock.
ii) Minimal Profit generation.

Cost of Implementation – NIL

• Pre Delivery Inspection – A thorough PDI will be held prior to delivery of


any car which will include a Full Checklist for all the work done on the
car as per client’s requests which will be done by the Designated Floor
Manager along with the Head Mechanic which has been assigned to the
Vehicle.

Benefits – i) Improved Customer Satisfaction.


ii) Reduction in cars coming in for Repeat Jobs.

Cost of Implementation - NIL


• Vehicle Acceptance Inspection – Upon accepting a vehicle into the
Workshop at first the Job Card will be filled by the Designated Floor
Manager followed by a Test Drive of the Vehicle by the Floor Manager
and the Head Mechanic to ensure the problem of the vehicle is properly
understood.
Benefits – i) Proper Diagnosis and Understanding of problem in the Car
coming in for work.
ii) Provides a proper Backtrack for a Situation of Improper
Work done on a car that has come in.

Cost of Implementation - NIL

• Designated Roles System – A designated Role System with Heads for


Each Department i.e. Parts, Car Pick and Drops

Establishing a Fixed departmental type role system not only among the
floor managers but between mechanics as well will ensure a smoother
work flow and will make it easier to find the root cause of an problem or
hold up happening in the garage.

Between Floor Managers one will be kept in place for parts ordering as
well as be in charge of coordination for the parts ordered as well. Car
pickups and drops will be done only at the start and end of the day
unless for RSA or for outsourced work.

Between Mechanics splitting the team into teams under three separate
divisions where one division handles all labour intensive work such as
Wear and Tear Parts Jobs which will be headed by Musa with 2 Co-
Mechanics under him, the next would be a general service division that
supervises labour deficient jobs but usually tends to be a quick
turnaround which will be headed by Chand with 2 Co-Mechanics under
him. Third, we have a section of Restoration projects headed by Radhe
with 2 Co-Mechanics under him. Lastly, we have the division with a
heavy level of diagnosing required as well as systematic procedure which
will be headed by Sagar with 2 Co-Mechanics under him. For required
Projects intertwining of between each department will be done.

• Balanced Wage System w/Sick Leave, Increments and Reduced Disparity-


Setting up a standardised Wage System with equal pay for working on
the same grade of job will help reduce disparities between employees
and will also boost their morale.

Currently we do not provide and Sick Leave in the Year for employees
which poses a huge barrier for our employees who tend to come into
work unwell which leads to an underperformance as well as a
decrement in quality of work being done.

• Weekly Employee Consultation Program- A weekly team meeting will be


held every Saturday at the end of the working hours to discuss issues
being faced by employees in case of held up work as well as personal
problems.

• Redefined Working Hours- Currently we run on a 10-hour work shift out


of which the first and last hour are wasted by labourers as they tend to
take their own time to prepare for the day and towards the end of the
day they tend to laze around on their phones in various corners of the
workshop. If we were to change the work hours from 9:30 AM to 6:30
PM while implementing stricter rules in terms of being late to work and
imposing a fine on that day’s income for any employee who shows up
late. Doing this will benefit the workshop in terms of Employee Morale
and will also enforce a sense of Discipline within our workforce.

• Vehicle Designation to Floor Managers- Each Floor Manager will be


assigned vehicles as they come into the workshop to reduce the
confusion within the work of one car and will also funnel the
responsibility onto a single manager instead of a larger group. Each floor
manager will handle vehicles assigned to them from start to finish from
Job Cards completion until the PDI before handing the vehicle over to
the client. Floor Managers will also be in charge of arranging for
payments from clients and following up with them for payment
completion unless, the client holds personal relations to the workshop.

• Daily Work Tracking System using White Board - A tracking Board will be
designed which lists the cars under the watch of each Floor Manager
while also tracking the work going on, on each of those cars and tracking
the latest update on each cars work which will be updated each time any
task is carried out in respect to any car handled by the respective floor
manager.

• Fixed Inventory of Parts held in Stock (Essentials) - Holding Certain


Essentials and Consumables in stock is a must for example Wiper
Blades / Grease / Coolant / Double Sided Tape / Silicone Tubes. Etc.

• Updated Job Cards with Type of Job to be mentioned


Mechanical/Cosmetic Diagnostic Reports/ Designated Manager Assigned
as well as Head Mechanic along with checklist for Protocol List as well as
Prior Work Done.

• Pest Control for Workshop - Having rats in a workshop where we hold


cars worth multiple Crores of Rupees is totally unacceptable and is an
easy and cheap fix that needs to be taken care of.
• Weekly Workshop cleaning and Organising – Maintaining a weekly Clean
Up program which will be done collectively by all the employees will
ensure time saved as well as a higher worker efficiency and morale.
Every Saturday at 6:00 PM before everyone heads home for 30 minutes
all vehicles will be assigned to their designated places as well as toolkits
and props will be kept back in their respective places so that time can be
saved for work on Monday.

• Protocol Daily/Weekly and Monthly Checklist – A checklist for tracking


whether all employees are following Policy, Protocol and Procedures.

• Functional Worker Uniforms – Giving our workers Uniforms which will
be in the form of Dungarees to go with a pair of Jeans and a KIK T-Shirt
will be made for each Mechanic as well as providing them with a
Washing Service for their Uniforms once a week every Saturday.

• Payment of Salaries on Time – Each employee lives a life of the bare


minimum and has dues to pay at the beginning of each month which will
only be possible if Salaries are paid on due time which is the 1st of every
month and no later. We can provide our employees with this right of
theirs by ensuring that we begin collecting and putting aside funds for
Dues of the Workshop as well as Employee Salaries.

• Collection of Payment before Delivery of Vehicle and NO LATER- Making


sure payments are collected before deliveries are completed is the only
way to make sure our clients pay their dues on time. Getting a card
machine that also allows UPI Payments is an easy and quick solution to
getting our Payments in sooner as 9 out of 10 clients are ready to pay by
card or UPI on the spot but due to our lack of accepting those methods
we miss out on so many payments.

• Designated Cash Collector along with Issuance of Payment Due Notice


Letter –
• Ensuring Funds coming in are being split and designated into a Profit and
Dues fund – Whenever accepting a payment by ensuring we keep aside
the profits from that particular billing aside from the amount due to our
vendors will ensure smoother payments to our vendors on due time and
will hence let the workshop flow smoother.

• Work Status WhatsApp group to be established between Head


Mechanics Floor Managers and Bosses along with established format –
Any task being taken up by any employee on any car will be posted to
the WhatsApp group so that anyone can track what last work was done
on each car as well as figure out why each car is being held up. A Time
stamp will be there on the WhatsApp Message to show when the last
update was sent. All work tracking will be done through the WhatsApp
chat instead of the never ending trail of asking each and every one in the
workshop only to end in a blame game and further wasting time.

• Hiring of additional Runner Boys – A minimum of 2 Runner boys is
needed at the workshop to ensure smoother flow of operations.
