Letter Writing

Formal Letters

If the subject is any unknown authority, the letter would be considered from formal category. For
example, letter to airport manager, hotel manager, mayor of local council, newspaper editor etc. An
additive identification of formal letter can be that if ‘Dear Sir or Madam,’ is written after ‘Begin your
letter as follows’, it will be for sure a formal letter.

Starting Salutation:

Dear Sir or Madam,

Dear Sir/Madam,

Semi-formal Letters

If the subject is a person who you know personally but he/she is an authority too, then it will be
categorized in semi-formal letter. For instance, your employer, your landlord, head of your
department etc. In addition, colleagues and neighbors are also categorized in semi-formal letter as
both of these are neither formal nor informal. If ‘Dear____,’ is written after ‘Begin your letter as
follows’, then the letter would be either semi-formal or informal (depending on the subject).

Starting Salutation:

If the subject is male: Dear Mr (Surname),

If the subject is female: Dear Ms (Surname),

Ending Salutation:

Yours sincerely,

Informal Letters

An informal letter is written if the subject is part of your social circle. For example, your friend(s),
family member(s), relative(s) or office friend(s). If ‘Dear____,’ is written after ‘Begin your letter as
follows’, then the letter would be either semi-formal or informal (depending on the subject).

Important Note:

1. Do not write addresses (even fake ones) in letter ever.


2. Do not use contractions in semi-formal and formal letters.
3. Use appropriate tone for letter.
4. Do not write idioms in letter.
5. Do not write religious, political and/or controversial comments in letter.

Letter is graded on same criteria as of essays. Only difference is of examples which are replaced by
purpose of letter, which should be clearly mentioned.

Letter’s weightage is 1/3 of total writing bands and there should be minimum 150 words written in
allocated time of 20 minutes.

You should spend no more than 3 minutes for brain storming, 10 to 12 minutes in writing and rest of
the time for revision of the task you wrote to make sure your score is up-to-the-mark.

Better the brain storming, better the task will be. Focus on flow while writing to make letter easily
understandable.
